A report on procedural and technological advancements in Supply Chain Management (SCM)
software for Lost Pines Outfitters reads as follows:
Executive Summary:
This document describes the intended technical and operational improvements to the current
Supply Chain Management (SCM) system at Lost Pines Outfitters, which will lead to a more
automated workflow and an integrated SCM software system.
Background:
Lost Pines Outfitters' SCM workflow is currently divided into three parts:
1. The Purchase Department is responsible for the vendor management.
2. The Production Department is responsible for the production process.
3. The Marketing and Sales Departments are responsible for the dealer management.
Each department has its own legacy software running in the business at the same time, making
workflow cumbersome and slow because data must be transferred from one system to another
every day, using significant man hours.
Introduction:
Considering the current scenario at Lost Pines Outfitters, it is proposed to adopt an integrated
SCM software to streamline the workflow while taking advantage of the technical
advancements provided by the integrated automated software solution, SmartWay SCM.
Objective:
The following are the main goals of SmartWay SCM:
1. Simplify the existing workflow.
2. Automated, transparent departmental transitions.
3. Improved vendor and the dealer management
4. Improved coordination and collaboration.
5. Automate to eliminate manual errors.
6. A more profitable bottom line because of the cost-effective solution.
7. Every day, save at least 4-man hours across all the departments.
8. A better experience for both customers and employees.
DESCRIPTION
A contemporary system keeps track of both in-store and online order fulfillment. The in-store
element of this arrangement houses both the storefront and the warehouse. Purchases made in
the store are manually recorded in the internal inventory tracking system. The online store for
this system starts with the first purchase process and concludes with delivery and customer
service follow-up. The system starts with a customer order, which is sent to the warehouse for
fulfillment when the customer submits it online. When an order is sent from an online retailer
to a warehouse, an employee uses an internal system to find the item or items from the order,
creating a feedback loop. The cycle is finished when the item is retrieved off the shelf and
delivered to the fulfillment division. The warehouse worker then updates the inventory
software so that potential clients may see whether an item is still for sale. There is another
unintentional loop in this system when the order is taken out of inventory and sent to
fulfillment. When the order reaches the fulfillment department, it is packaged for shipping and
a shipping order is created. The label was printed, attached to the package, and the order was
shipped. The following arrangement causes the cycle to start all over again. One of the
interactions apparent in this system is customer service, and their ongoing assistance and
follow-up after the sale is complete and in the customer's hands. By displaying that the
company is actively participating in the client's transaction from beginning to end, this stage
gives the customer a positive experience.
RECOMMENDATION
I recommend updating the current system to include better inventory tracking and the installation
of more PCs for employee use. Additionally, I advise setting up shipping tracking software. I
believe that tying the warehouse system and the point-of-sale system together would make it
possible to continuously update the inventory. Additionally, the warehouse manager will no
longer need to manually update the warehouse database to reflect sales from retail stores. A
cloud-based inventory management tool is called Cin7. Keeping track of warehouse supplies,
sales, and orders from both online and offline retailers would be made simpler as a result. As a
result, the warehouse and online store could maintain an exact inventory in real time. This
change might make the company more productive. There is a feedback loop present here.
MODELLING NOTES
The operational workflow of Lost Pines Outfitters will be significantly simplified by reducing
unnecessary man-hour waste because of the above-mentioned proposed implementation of a
fully integrated and automated SmartWay SCM. Additionally, the entire SCM software system
will also be technologically upgraded from the existing individual legacy systems to produce
real-time analytics, all of which will be done without charge.
CONCLUSION
The benefit of system thinking in a business setting is that it makes it possible to identify issues
with the existing system. I was able to use system thinking to investigate the issues and develop a
solution to assist the business in switching from its old system to the upgraded one. We will be
able to track inventories properly, in my opinion, if we update our inventory software and give
employees access to more computers. It will give the most recent computer inventory figures for
both online and offline sales. Instead of manually upgrading the system, managers will have
more time to concentrate on other aspects of the business.
