The successful implementation of Electronic Health Record (EHR) systems in healthcare
organizations centers on the effective application of change management theories. EHR
implementation is not merely a technological shift, but a transformational process that impacts
policies, staff behavior, workflows, and patient care. This paper explores the relevance of change
management frameworks in aligning EHR-related policies and procedures with the needs of
stakeholders. Drawing from peer-reviewed sources, this paper identifies the major challenges and
implementers of EHR adoption and evaluates the role of leadership, organizational culture, and
user engagement in driving sustainable, compliant, and outcome-driven implementation
processes. The discussion concludes that strategic change management improves long-term
system adoption, regulatory compliance, and ultimately, patient health outcomes.6

Introduction
Change management theories are essential in the health sector, especially when
implementing Electronic Health Records Systems (EHR). These theories provide structured
approaches to guide organizations through the complex process of change. EHR implementation
is not merely a technological shift but a transformational process. In health care, where the team
and workflows are greatly impacted, effective management of change can make a significant
difference. As health organizations move on to EHR systems, they face challenges such as team
resistance, workflow interruptions and concerns about patient care quality. Change management
theories help organizations recognize and face these challenges. By applying these theories,
health leaders can improve the adoption of the new technologies team, optimize workflow
efficiency, and finally improve patient results.
Heath and Porter (2019) emphasize the importance of effective change management
strategies to overcome resistance to new technologies in healthy environments. When employees
are involved in the change process, they are more likely to support new systems like EHRs.
Participatory approaches, based on theories such as Lewin's change management model,
encourage the contribution of the front-line team, allowing them to express their concerns and
suggestions. This engagement leads to higher morals and a smoother transition to the new
system.
Understanding Change Management Theories in Healthcare
Theories such as Lewin’s Change Management Model, Kotter’s 8-Step Process, and the
ADKAR model offer frameworks that can guide EHR adoption by aligning organizational goals
