Abstract Website Redesign For A Local Cafe
Atlassian is one of the biggest IT companies in Australia and is located in Sydney; its
activities involve coming together with different organizations with the aim of developing
softwares, managing projects and also managing content. This report focuses on redesigning the
website of a certain local cafe which the organization Atlassian took part in development. The
report will be outlining the objectives and challenges faced during the development of the project
when both traditional SDLC and Agile methodologies are used to aid the development of the
project. Milestones of the report will include defining the scope statement of the project,
providing a work breakdown structure, milestones of the project to be undertaken with their
timelines, estimating the cost, allocating the resources and identifying and mitigating all risks
that are likely to occur during the development of the project. To ensure that the project
efficiency and flexibility are maximized during the development process, agile scrum
methodology will be incorporated with the project in the report. The report will clearly highlight
all the processes that will be involved within the project to help the organization Atlassian
redesign a website for a certain local cafe in Sydney. Through critical analysis and informed
decision-making, Atlassian aims to address socio-cultural and technical issues that could impact
project success. Principles adopted from the PMBOK will be helpful in helping Atlassian to
develop the project. They will reshape the website of the local cafe such that it is able to broaden
its market in Australia.

Introduction
Atlassian is one of the biggest IT companies in Australia, which was established in the
year 2002 and is located in Sydney. Its activities involve coming together with different
organizations with the aim of developing softwares, managing projects and also managing
content within the projects. The organization's objective is to help all teams who are on the verge
of developing projects to maximize their potential, especially when it comes to either developing
or improving the softwares of other organizations. This organization is able to offer tools that
promote collaboration with other organizations in the management and development of software;
these tools also offer efficiency to the productivity of the collaborated companies and industry
while developing any software. Atlassian is able to streamline the production of different
softwares with the tools and techniques it offers.
Atlassian involves itself in several activities that help it to be popular and unique to other
similar organizations and companies. With the help of self products including Jira, which is used
in planning and tracking any ideas provided by the stakeholders, confluence which brings
together all the documents and collaborates the team members; Jira service management, which
collaborates developers and operation team to work together, loom which is used for recording
and sharing messages to catch a bigger market and jira product discovery which isolates different
ideas and prioritize the important ideas. Apart from the above products offered by Atlassian, the
main agendas of the company are to develop different softwares for companies, like the redesign
of the local cafe website, management of projects like collaborating with all teams to be involved
in the development of the local cafe website and managing the content within the project.
Atlassian's tools are used by teams in diverse sectors, including technology, finance, healthcare,
and education, reflecting the versatility and broad applicability of its solutions. This report will

focus on how Atlassian is going to redesign a website for certain local cafes in terms of software,
as the development of softwares is one of the activities Atlassian offers.
Problem identification and the solution
To start with, the current website of the cafe needs to be updated, such that it has the old
design of the website, which does not have the current trs of similar websites, which makes it
attractive to users. With the outdated design, different customers or users of the website have a
bad insight into the website, which can make the cafe lose some customers and opt for another
cafe (Dang, (2020). Secondly the website navigation could have been better designed and made
it easier for the customers to navigate through different pages of the website when they want to
make an order or any other interaction. These challenges can frustrate the customers and make
them lose interest in the cafe.
Another challenge experienced with the current website is that the website has limited
functionality, such that it only allows the customers to view the available foods, and it needs
some functionalities like making an order of food and delivery. Also, the customers are not able
to make any reservations in the cafe using the website, and finally, there is no ordering system to
pay for the food; instead, one has to be physically available in the cafe to order and pay. This
challenge could have improved the effectiveness of the website and have resulted in losing
customers (Eckhardt, 2019). Furthermore, the website needs to be more responsive to different
devices, including smartphones and tablets, which makes it easier for customers with access to
personal computers. This affects a significant portion of potential customers who access the site
via mobile devices. Finally the website needs to include a page where the customers can give
their feedback on the foods that the cafe offers. This makes it hard for the customers to share
their perceptions of the foods.

It was important for the local cafe to address the issues to improve the website in order to
improve the interaction with the customers. Atlassian, being the organization which is able to
provide better services of software development, is chosen by the local cafe. Atlassian, with its
abilities, will be able to address the challenges associated with the local cafe website. The
redesign will include a modernized design of the website that involves all the current trends of
different websites (Eckhardt, 2019). Also, the website will have better navigation, which will
help the customers navigate through different pages of the website. The new website will include
different functionalities like ordering and paying for food through the website making
reservations for the customers in the cafe, among other other functionalities like allowing
customers to give their feedback about the cafe and its foods. Finally, the new website designed
by Atlassian will be responsive to all devices, including smartphones and tablets.
Project Proposal
Scope Statement
The local cafe website has limitations to the cafe to achieve its organizational goals since
it has limitations on some functionalities. The website is not able to deliver functionalities and
design issues like having an outdated design and the navigation not revealing to the customers,
not responsive to smartphones and tablets, and failure to allow customers to leave feedback
involving the cafe make it hard for the cafe to achieve its goals and objectives by affecting hoe
the cafe engages with its customers and users (Li, & Luximon, 2020). Atlassian has been given
the mandate to redesign a new website for the local cafe that will address the above issues and
help to improve the engagement of the cafe with customers.

Objectives
● To design a website that follows current trends and eliminates outdated design,
Atlassian will develop a website that aligns with current websites and the goals of the local cafe
to help the cafe achieve its organizational goals (Beaird et al., 2020). A current design will help
attract more customers to the cafe.
● To develop a website with a better navigation structure for easy navigation of the
system by customers (Beaird et al., 2020). The current cafe website does not have good
navigation, which makes it hard for customers to navigate through the website. The navigation
will make it easier for customers to navigate through the websites while ordering food.
● To design a website that has functionalities like ordering food, making
reservations, and allowing users to pay online for the foods, among other functionalities. The
new design will add new functionalities to the website, which will make customers experience
more activities on the website (Beaird et al., 2020). Some of the functionalities include adding an
ordering system that will allow the customers to order food online with the payment also being
done online and will be part of the functionalities to be added to the website. Also the new
website will include a feedback back platform for the customers to express their experience with
local cafe products and services through the website.
● To design a website that is responsive to smartphones and tablets other than PCs
only. The current website is responsive to PCs only, making it hard for customers with
smartphones and tablets (Beaird et al., 2020). Atlassian will design a website that is responsive to
smartphones tab, lets, and other relevant devices. This will broaden the market as many users use
smartphones and tablets rather than using PCs.

● To design a website that allows customers to give feedback based on their
perceptions of the cafe. Customers need a place where they can express their experience with the
local cafe website in order to allow the cafe to make changes and improvements to the tier
products and services, especially the different types of foods tier offers (Beaird et al., 2020).
Outcomes
● A modern, branded website design.
● A good navigation of the website to the customers (Sungboonlue et al., 2022).
● Add more functionalities to the website
● A website that is responsive to all devices
● customer feedback platform to the website for customers to leave their comments.
Deliverables
These Deliverables collectively ensure that the project is well-defined, targets key issues,
and delivers a comprehensive solution that significantly enhances the cafe's online presence and
customer engagement that is expected to be delivered during the development of the project will
include:
● Project planning documents: a plan on how the website is going to be designed,
including the WBS, Project Network, Gantt chart, risk management plan and cost management
(O'Connor & Koo, 2020).
● Development deliverables: This involves developing a fully functional website
with features like good navigation, a current design, additional functionalities and customer
feedback.

● Technical documents: This documentation will include the new;y designed
features of the websites, including the new functionalities, any other specifications of the project
and the other technical specifications (O'Connor & Koo, 2020).
● Testing deliverables: This will include all tests conducted on the project during
development, including user acceptance testing, unit testing and any other kind of testing.
● Deployment deliverables: This will involve how the website will be deployed and
put into action and what should follow after it has been deployed.
● Training and support: This will involve training the local cafe staff on how to
operate the website. It will also include all the user manuals and other post-launch support
documentation (O'Connor & Koo, 2020).
● Final project documentation: Summary of project activities and outcomes, lessons
learned, and recommendations for future projects.

Human resources
Different personnel control the development of the project milestones, collectively
ensuring that they are completed on time (Burkova et al., 2019).
● Project manager: This person is in charge of the project and ensures that different
teams work together to complete every goal of the project.
● UI designers: These are the personnel from Atlassian who ensure that the website
interface is well-designed and appealing to customers and users.
● Web developers: These are the people who will develop the website's new
functionalities, including the ordering system, payment and customer feedback (Burkova et al.,
2019).
● Quality Assurance testers: These are the people who will ensure that the project
developed meets the requirements of the local cafe.
● IT support staff: These are the people who support the website and maintain it by
improving it based on feedback from customers and users.

Technical requirements
Apart from the human resources the project requires other technical resources that will be
involved in the development of the project. These technical resources of the project will include:
● Hardware requirements: Servers will be required where the website will be
hosted, and they should have Adequate hardware specifications to handle website traffic and
ensure optimal performance.
● Software requirements: An IDE, including Visual Studio code, will be required to
code and develop the project from beginning to end. Content management software, such as
CMS, will also be required. Testing software, such as Selenium, will also be required.
● Network requirements: Reliable internet access will be required to connect
different teams to develop the project and access some internet resources.
● Database management requirements: The project will require a relational
database, as the website will require a database to store its data in tables.
Resources allocation constraints
According to the deliverables that the project must be accomplished it is a time
constraint. This is due to the fact that all the milestones must be accomplished in time. Each
milestone has a time set for each milestone to be completed for the next milestone to commence
(Pellerin et al., 2020). Every milestone must be completed in time unless an exception is made,
especially when there is an improvement or advancement of the milestone to be made; hence,
time can increase or reduce. Time is an important aspect within the project hence making the
project a time constraint. Although resources are also important, time is the most crucial part of
the project.

Cost estimation
To estimate the cost of the project while developing the website, we will use the bottom-
up estimation (Alshammari, 2022). This type of estimation involves coming up with the cost of
every resource being used in the project and calculating the total cost of the resources to
determine the total cost of the project. Wike considering labour, materials, equipment and
overhead expenses, each item cost will be determined first and the total cost estimated for the
project.
Risks identified
● Scope creep: As the project is being developed, there is a risk of several changes
that will lead to the expansion of the scope (Khosravi et al., 2020). This expansion of the scope
creep results in the increase in resources hence increasing the costs and can interfere with the
Budget of the project. Also, this can result in an extension of time and delays in the project. This
type of risk should mitigated at the earlier stage of the project, where all the stakeholders should

come together and identify all the requirements of the system and during the developmentally,
the crucial changes should be approved in the project.
● Resources constraints: The development of the website can cause a shortage of
resources, especially human resources, for instance, web developers, since web development
requires skilled personnel who can develop a better-performing website. With enough resources,
the cafe website will be completed on time, which also can result in the development of a low-
quality website. Cross-training team members can mitigate this type of risk to cover key roles,
maintain a list of backup resources, and schedule buffer times.
● Misunderstanding between the stakeholders: Different stakeholders within the
development of the website can have misunderstandings. For instance, in interface design, such
different stakeholders want a different design of the website (Khosravi et al., 2020). This
misunderstanding can result in the project delaying and taking longer time to complete as
expected until they come to an agreement on what design they want. This type of risk can be
mitigated by regular meetings between the stakeholders and clearly defining the requirements of
the project and what the organization as a whole wants from the project.
● Issues with security: During the website's development, gaps could be left, which
attackers can exploit, exposing the website's data and even customers. This can be mitigated by
employing testing at each milestone completed to ensure no vulnerability is left during
development.
● Integration failures: During the development, there is a risk of integrating features
like the payment gateways failing to successfully integrate with the website. This can result in
potential failure to deliver key functionality like payment (Khosravi et al., 2020). To mitigate

this risk should look for a backup plan and a simple one to replace the payment gateways once
they fail to work with the website.

Organization and Execution of Sprints
All the involved sprints in the project will last approximately two weeks each; the sprints
will be organized as follows:

● Sprint planning meeting: Every team meets to identify the sprint to work on and
when to deliver it (Layton et al., 2020).
● Daily standup - these are daily meetings organized to be able to analyze the
progress of each team.
● Sprint review - focuses on what has been increased from the previous sprint.
● Sprint retrospective - feedback is provided and improvements made. (Garzaniti,
2019)
Conclusion
The cafe needs an upgrade of its website to maximize and improve its interaction with
customers. The local cafe chooses Atlassian as one of the organizations that are able to develop
quality softwares for organizations as their organization to deliver the upgrade and redesign of
the website. Atlassian plans the redesign of the website, and all requirements of the project are
highlighted. Some of the improvements that are expected to be made by the project are better
design with current website trends, added functionalities like an ordering system with its
payment, a better navigation menu to allow customers to navigate easily and a feedback platform
for the customers. With these features in the new website the local cafe will be able to improve
the interaction of customers with the website and enhance its market.
