The industry has several components and departments which make the operations and logistics for
the healthcare world to continue to run in a transitional and effective manner. From the Infectious
Control team to the training and certification team, and even the post-secondary education and
careers team for recent college graduates, it is vital to have these different roles and functions
even though the management of the information can differ between each other. The Cancer
Registrar operated by certified individuals who are part of the National Cancer Registrars
Association administrator (NCRA) credentialing. Billing Coding specialists, earn their certification in
properly understanding the current and past medical terminology and have some clinical
knowledge to transcribe diagnoses/procedural codes into billable ICD codes. These are positions
that do not necessarily require a nursing or medical doctor academic degree; however, higher-up
management, such as the chief information officer (CIO), will typically earn their Master of
Business Administration in Healthcare Management and no necessary need to have earned their
medical degree. The CIO in part is responsible for making important decisions regarding the
current technological functions within the business, the importance of keeping up with an
organization of the number of equipment ordered where it falls within budget. The discussion is
then brought to the C-class committee and possibly the board of direct to further discuss the
management and distribution of funds and the equivalent purposes behind them. The roles differ
for nurses when they are in different demographics such as stated above a nurse would work more
with technology in a family practitioners office of insurance agency versus a nurse working in a
local hospital. This is because those specific jobs require billing and coding, patient information,
and record keeping. A nurse working in a local hospital would intake a patient's basic information
such as name, date of birth, weight, bp, and concerns that need to be discussed with the
physician. The main desk for check in at a hospital would have paperwork and form for the patient
to fill out requiring insurance info and home address and more private information such as social
security number.
This affects the management of information efficiently because the nurse based on her position
and employer would let, he/she know what is required of him or her. In my personal experience I
think every medical facility should have medical desk clerk who tends to patients about their
information. This would allow less access to private and personal information and less security
breaches for the hospital and patients. Such as working with MHS Genesis in military hospitals a
clerk takes your information and places a medical bracelet on your write that shows your name
and date of birth and time you were put into the system for vitals etc. This allows your physician
and nurses to investigate the system of what care you have already received and what you
currently need.
Where I work, we have several different systems that are used differently for the different
organizational roles. One example is Netsmart my Avatar. The Netsmart website describes the
system. “My Avatar is an electronic health record (EHR) specifically designed for organizations that
provide behavioural health and addictions treatment services in community-based, residential, and
inpatient programs. It offers a recovery-focused suite of solutions that leverage real-time analytics”
(Schlesinger, 2022). e The system security allows each role in our organization to have different
workflows. A substance abuse counsellor working in acute care/detox has a different set of
functions than a counsellor that is focused on outpatient maintenance and support. e The accounts
receivable staff can use the system for electronic remittance processing. The Quality Assurance
group, “tracks key performance indicators to measure meaningful use compliance, revenue and
organizational goals” (Ibid).
Netsmart, as a company, also provides software for other industries. Besides behavioural health,
their systems can be configured and installed for use by the functional roles in Geriatrics, Public
Health, Vital Records and Referrals, Paediatrics, etc (Delivering value-based care through
technology: Netsmart 2022). Besides the complexity of managing information for different
industries, the software also supports different information and reporting that is required in
different states.
The important thing about this software is that it is integrated. All the client information is
available in one system so that an employee in any role in the company can access it, if they have
the proper security credentials. It also has workflow so that each role can complete their part of
the information and notify the next department. There are some things about this system that are
clunky and requires the same information to be entered multiple times which is why we are
looking at possibly finding a new system.
