An accounting information system (AIS) is “a system that collects
records, stores, and processes data to produce information for decision
makers. It includes people, procedures and instructions, data, software,
information technology infrastructure, and internal controls and
security measures,” (Romney et al., p. 10, 2021).
I currently work at one of the largest museums in the country,
which is recognizable across the globe. When I first started there about
a decade ago, we were using various systems across the museum,
however in recent years, under new management, the business unit has
been using Workday Inc. This is a system software company that
specializes in “solutions for finance, HR, planning, and spend
management,” (Workday, Inc., n.d.). Other departments within the
museum has been using Tessitura CRM software, which is compatible
with Workday, Inc. Tessitura CRM software is a “unified platform
driving mission critical business functions in one single database –
ticketing and admissions, fundraising, memberships, marketing,
business insights, education, online, mobile, and more,” (Tessitura
Network, n.d.). In general, museums are a major source of knowledge,
they make us familiar with architecture, art, civilization, culture, history,
religion of our country. We can see many things of artistic, cultural,
historical, traditional, and objects of scientific interest. The
Metropolitan Museum of Art truly represents its mission statement, “of
collects, studies, conserves, and presents significant works of art across
all times and cultures in order to connect people to creativity,
knowledge, and ideas,” (MET Museum, n.d.).
Workday applications allows the museum to utilize the human
capital management, which covers various departments such as our
human resources, benefits, recruiting, payroll, time tracking, and talent
management. While management includes our financials, revenues,
expenses, and procurement areas. As an accounting manager at the
museum, I would not look to make changes to the internal control
structure, which would better protect data. While taking into
consideration the personal attitudes, values and culture of the staff and
the museum, as well as the ethical considerations, of the data the Met
collects and uses, there is a high standard set with accountability every
step of the way. I am able to recognized the five key components of
internal control, which is integrated into the museums culture on a daily
basis. The museum has its written policies and procedures, which each
member on staff is consistently held accountable in making sure we
adhere to these guidelines. Basis on my limited interaction with a few
members of the financial teams, I am aware that they perform
reconciliation regularly, the Workday system allows managers to
review and approve processes and transactions in a timely manner. This
system forces the financial team to maintain adequate supporting
documentation, which are time stamped. This was made possible
through senior management efforts of providing adequate training to
staff, which allows them to perform self-evaluation of their internal
control.
