One of the most important responsibilities of worship leaders is effective and accurate calendar and
budget planning. The purpose of this project is to equip you with practical skills to facilitate strategic and
effective ministry organization, while at the same time providing a framework for realistic budget
planning. This is a 4-part assignment consisting of: 1) Calendar; 2) Budget and Ministry Action Plan; 3)
Worship Schedule; and 4) Budget Presentation PowerPoint and Script.
You have 1 of 2 options as a guideline for this assignment:
You may complete this assignment based on your current ministry setting.
If you do not have a current ministry, complete this assignment for a church that averages
1,000 in worship attendance.
This assignment is due by 11:59 p.m. (ET) on Sunday of Module/Week 7.
Part 1: Calendar
Prepare a 2-page Music and Worship Ministry Calendar listing for the current calendar year:

This calendar will serve as the basis for Parts 2 and 3 of this project.
Part 2: Budget and Ministry Action Plan
You will prepare a 8–10-page Ministry Action Plan that provides a detailed budget request to
support the calendar developed in Part 1 of this project. The budget will be for the current
calendar year. Length will be determined by the number of ministry groups and projects.
When planning your budget, funds should be requested for:
o Adult Choir (100 members)
o Student Choir (60 members)
o Children’s Choir
o Orchestra
o Hand Bells or similar ensemble
o Worship Teams (Adult and Youth)

Part 3: Worship Schedule
Using a Worship Planning Grid, you will plan a detailed worship schedule for 3 months (May,
June, July). This plan should include:

Wednesday PM, etc.). Make this practical by using your church’s worship service structure
Choir features (specific titles and publishers) for all services
Instrumental features (specific titles and publishers) for all services
A minimum of 6 soloists, duets or trios (title and publisher)
A minimum of 3 Ensemble Features (title and publisher)
Special Emphases or Themes (i.e., Father’s Day, Patriotic)
Preludes/Offertories for each Sunday (which group or person will present?)
At least 1 Dramatic Feature (include publisher or full script)
At least 5 Video Features (include title, vendor and/or website for download)
The Worship Planning Grid should serve merely as an example; you are encouraged to use your
creative skills and practical experience to enhance and improve the form.
Part 4: Budget Presentation PowerPoint and Script
You will submit a 5-minute overview of the budget designed as if being presented to a finance
committee of a local church. The presentation PowerPoint should highlight unique aspects of the budget
request. Along with the PowerPoint, you must provide a WORD or PDF document with the “narrated”
presentation, as you would use if giving this presentation in front of a finance committee.

WELCOME TO MOUNT PLEASANT HIGH SCHOOL SELECT CHORUS

Dear students and parents,
I am looking forward to working with every one of you; and, believe that each of you are
energized after what I hope was a fabulous summer break. The Choral Program here at Mount
Pleasant High School is designed to allow students to develop musical knowledge and skills while
learning multiple forms, and diverse types, of music. Throughout the year, in addition to enhancing
musical knowledge, skills, and abilities, students also will learn – and practice – self-assurance
and cooperation. This class meets on Day 1 schedule at 11:00 am in Wing D, Room 103 unless
notified by the instructor.
As a member of the Select Choir, which is Mt. Pleasant’s advanced choir, I will expect a great
deal from you this year: Numerous hours of diligent practice; collaboration with fellow choir
members and me; and the commitment to be responsible for your own actions. For the length of
time that we cooperate as a group this year, we will create the capacity to an generate extremely
fun and energizing classroom atmosphere while making excellent music.
In order to help us reach our potential, this handbook will provide important details that will
outline expectations, requirements, and events for this year’s the choral program. I am urging each
of you to read the handbook deliberately, ask questions about ideas that are unclear, and mark your
calendars, so they align with choir itinerary.
Additionally, please fill out the form on the last page of the handbook and return it to me
immediately. This form will be the first student homework assignment of the year

1. Call time for the fall, holiday, spring, and awards concert is at 5:30 pm.
2. Cellphones should be stored away in the locker
3. No foods or beverages are allowed in the pre-concert preparation area or in the
auditorium except for water.
4. If you must leave a concert early, please consult with the teacher before the concert.
5. If you must leave the auditorium for any reason, please leave at the end of an entire work
(When the audience is clapping) unless it’s an emergency.

CHOIR TRIP:
MOUNT PLEASANT HIGH SCHOOL SELECT CHORUS IN JACKSON, MISSISSIPPI:
The Mount Pleasant High School Select Chorus, an ensemble that performs the choral works
of the African American choral masters including Moses Hogan, Rollo Dilworth, and Jester
Hairston will participate in the African American Choral Festival from April 17th through 21st.
Any parent interested in volunteering for this trip must attend an informational meeting on October
3, 2017. Selected parents will be required to obtain a copy of a Bureau of Criminal Identification
(BCI) from the Attorney General’s Office in downtown Providence, Rhode Island.
ACCOMMODATIONS
In compliance with Mount Pleasant High School’s policy, I encourage students with a
documented disability needing academic adjustment to contact me immediately. Requests for an
academic or physical accommodation should be made within the first week of school except for
unusual circumstances. Students and their parents also should fill out the Request for
Accommodation Form which currently resides in the guidance office (Room 211). For
clarification, a disability is an impairment that limits a person’s movements, senses, or activities.
Disability includes, but is not limited to, physical impairments, mental impairments, visual
impairments, hearing impairments, intellectual impairments, and learning disabilities.

ATTENDANCE & GRADING POLICY
Attendance & Participation:
Attendance is the backbone for having a collective and successful ensemble; therefore, it is the
backbone of your grade. Each student is expected to attend every class session for the entirety of
the event.
If a student misses due to illness, a doctor’s note must be submitted to me by the next
rehearsal to excuse the absence.
Pre-scheduled significant major events will be considered on a case-by-case basis
Unforeseen emergencies will be handled on a case-by-case basis.
Participation and attendance are separated into three areas: attendance, material, conduct, and
effort which will be evaluated at every practice. The grading policy for concert choir is as follows:
Attendance & Participation (60%) – attendance, participation, material, behavior
Homework & Assessments (20%) – sectionals, sampling, folder checks, self-evaluation
Performances (20%) – attendance, attire, and knowledge of repertoire
Grading Scale:
A+ = 97-100 Highly Excellent Exemplary
A = 93-96 Highly Excellent
A- = 90-92 Excellent
B+ = 87-89 Very Good I expect this level of performance – or better!
B = 83-86 Good

Homework & Other Assessments:
Homework assignments for this course will consist of: (1) Writing the assigned solfege for
their voice part in the score (music); (2) Marking breath marks in their music and other markings
given by the instructor; (3) Uploading homework assignments to SmartMusic; and, (4) Bringing
in a signed form acknowledging the handbook (see the last page of this handbook).
Sectionals will be done weekly. Each sectional will be dedicated to singing one of the pieces
from the repertoire on solfege. During sectionals, students will be tested on sight-singing, which
will frequently occur per teacher’s request. For more information on how the students will be
assessed, please check the rubric section of the handbook on page 12.
Self-evaluations will be done after each listening of the selected homework submitted on
SmartMusic. Each student will be required to playback recording and assessed themselves on their
performance. An example of the self-evaluation form is on page 13 under the rubric section of
the handbook.
Further information about these assignments and assessments will be given during our first
meeting, and any other time questions arise. If a student is absent, they should immediately contact
me to determine what assignments they missed.
Performances:
PLEASE NOTE: Each concert is weighted heavily in the final grade calculations. Unexcused
absences from concerts will drop your child’s grade significantly. Also, students MUST know the
repertoire completely and wear the appropriate attire; otherwise, their grade will drop significantly.
If a student misses – or will miss – a concert due to an illness or a family emergency, please contact
me immediately.
Plagiarism: Music plagiarism is the use or close imitation of another author's music while
representing it as one's own original work. Plagiarism in music now occurs in two contexts—with
a musical idea (that is, melody or motif) or sampling (taking a portion of one sound recording and
reusing it in a different song) (https://en.wikipedia.org/wiki/Music_plagiarism). Students will
have the chance of composing a mini choral piece; they must be sure not to duplicate a selection

already composed; however, they can compose in a similar style, but they must be careful not to
use exact melody lines, etc.
Variations: In music, variation is a formal technique where the material is repeated in an altered
form. The changes may involve melody, rhythm, harmony, counterpoint, timbre, orchestration or
any combination of these (https://en.wikipedia.org/wiki/Variation_(music). Students will
perform variations such as singing a cantus firmus over a polyphonic composition; the student will
be expected to create their line and variate the melody the second time around.
Sampling: this is more common in a music production class setting and mainly for solo artists;
however, students will explore different music samples. Sampling is reusing music from an artist
for performance purposes. Students will find a sample of their favorite RnB/Pop song, and they
will use the sample to perform over it. Furthermore, students will use these samples and create
their lyrics and perform in front of their peers. More information will be forthcoming!

Note to readers: As I was redeveloping my choral handbook, I wanted to make sure it was helpful
for the student and parent(s). Notably, given what I believe are my unique circumstances, I also
was interested in what my mentors – folks who I consider experts in my field - had to say about

Expectations of a Choir
Member
Rehearsals:
1. In order to be a member of an individual choir, you must attend
combined choir rehearsals and performances.
2. When you first join the choir, you must attend two consecutive
rehearsals before you can sing.
3. If you miss over a month of rehearsal, then you must start over
with two consecutive rehearsals.
4. When you are unable to attend rehearsal, you must contact an
officer or your section leader.
Services:
1. Choir members are expected to be in the choir stand 15
minutes before services begin.
2. Sunday services begin at 11:00 a.m., so we should be in our
seats at 10:45 a.m.
Special Performance:
All special performances, such as musicals, members are to be present
one hour before, and afternoon and evening services 15 minutes before.
Duties of Officers
President
An elected officer who presides over the choir, leads in
making decisions to carry out the program of the music
department that has been set by the Minister of Music.
Vice
President
The elected official who assists the President and has
the authority to take charge when the president is not
present. He/she assists the President in carrying out
their responsibilities.
Secretary
The elected official in charge of the meeting minutes.
Keeps lists and words of songs, and is responsible for
group communications.
Section
Leader
This member is appointed to call members, take
attendance, and to tape for absent choir members. They
should have the vocal ability to assist others in their
section in learning how to sing their section’s part in a
song. They are also the contact person, when a member
is ill or cannot attend a rehearsal or service. They must
be faithful in attendance, a good role model in conduct,
cooperation, and preparation.
Director
Person appointed to assist the musicians in teaching
and directing songs.
Musician
A Person who accompanies the choir on their
designated instrument. They are a person who sets the
atmosphere for worship in rehearsals by being focused,
prepared, patient, and proficient. Organists and
keyboardist may also be required to teach, train voices,
and play. They must 1) take their jobs seriously 2) be
timely 3) be prepared 4) keep their rehearsal and

I. Title
Music and Multimedia Budget
II. Proposal Background
In the year of 2018 I will be seeking a budget of $ 7,500 that will be used to fund
the music and dance ministry. I am requesting that these funds be appropriated in
this particular breakdown: Music= 5,000 & Dance= 1,000. Notably, the resources
that I chose reflects our foresight, but speaks directly to the different visions
Rochelle and I have received from God. One goal I have is to emphasize the need
for education in 2018. The education portion will come from workshops; more
importantly, the education should come from each leader seeking and researching
on his/her own. This profound budget will enhance the research of each leader.
We hope to gain new perspectives and more knowledge with the resources given
to fund our efforts.
I am willing to give an oral synopsis of the budget proposal if requested.
III. Proposal Timeline
The proposal was sent to Antoinette Ferrara on June 27, 2017. Upon further
review, Antoinette Ferrara will review proposal for clarity. The proposal’s due
date is June 30, 2017. Antoinette Ferrara and I will meet as often as needed

Calendar
Music and Worship Ministry calendar for the current calendar year n
Any unavoidable conflict with one of the music and worship days stipulated in this calendar will
be communicated to the team in due time.
It is paramount to note that there are events that, as the leader, one cannot miss or have
exceptions. These include leader retreat that will be happening on Saturday of every month.
Also, there will be inclusive facilitation that will be taking place after church service. These
events are critical, and as a leader, it is paramount to arrange the schedule accordingly.
Mission trip: A 3-day mission trip that does not conflict religious holiday will be attended in
July. A mission trip is an annual event that occurs every year. A student should inform the school
in advance to be offered options that will help them meet the course requirement before
attending the mission trip. A note from the church leader will be provided to the course
professors to confirm that the worship leader will participate in the mission trip.

Music and Worship Budget
Proposal background
The budget is a guide that is always in a state of change. The reason being that budgets are ever
in a continuous process of possible revision. In this regard, this budget will be divided into two
parts the budget determination, which involves allocating funds based on the priority of the items
that require revenue. The other part is the budget accountability. This is paramount to counter
check how well the estimated budget is realistic.

In preparing the budget, we will determine the necessary details as this will ensure that all
activities match the dates and are compatible and consistent. Also, using the calendar will
identify actions and organize them in chronological order to ensure that all urgent businesses are
prioritized and assigned funds in time. In this proposal, I will prepare a ministry action plan with
a detailed budget request.

Proposal Timeline
This proposal will be sent to the church financial team to debate on it and see if it is within the
set allocated revenue for the worship ministry. I will keep regular contact with the finance team
to modify the document as per their recommendation. The timeline for this budget is due before
the end of July.
Proposed Equipment
Even though the church has enough instruments, we deemed it necessary to replace some
obsolete instrument and worn out. Also, a fund for repair and maintenance has been included in
the budget.
Ministry Action Plan
Worship planning

Work with pastor and church elders in planning regular worship music during church service.
This will include vocal and instrumental presentations that usually scheduled to take place at
different times.
Preparation for the Worship Services
Considering that leaders need to work with pastors and ensure a smooth flow of events during
services, proper preparations are necessary. So regular rehearsal on new worship songs will be
done at the scheduled rehearsal time.
Musical Instrument Learning
Rehearsing is mostly done with the musical instrument, so those playing musical
instruments will be practicing playing the device during the scheduled rehearsal time.
The worship ministry's goal is the coordination of various activities related to church
service worship. As the worship ministry leader, my team comprises of Sound ministry leader,
special music coordinator, prayer ministry leader, instrumentalist team leader. This team of
leaders are also part of the group that will be going on a mission trip. The team of leaders are
elected to their position by the church and are expected to serve as per the specified terms.
Duties of the worship ministry
1. Prepare a budget to be presented to the church finance team
2. The worship ministry leadership also must monitor the budget and report expenditure to
the church finance team

3. Work with the pastor in preparing the church service schedule
4. Offer consultation to the pastor and assess worship patterns on Sunday worship.
5. Make regular update about the work of my team to the leadership of the church.
6. Preside over when I am called upon as the worship ministry leader.
Core Responsibilities
My core responsibilities are:
1. Provide leadership the worship ministry by overseeing the choir's activities, ensure that
the church experiences quality worship every service, and offer mentorship to the youth
of the church.
2. Encourage creativity in my team. This will help ensure that members come up with new
songs.
3. Carry the worship team vision.
4. As the worship leader, one needs to ensure that a trajectory is set on how everything will
move forward. This preparation involves praying for the teams and identifying essential
songs that will bless everyone listening.
