Re: Backpack Project
Introduction:
As the new project/program manager with Freedom Inc. I am writing this memo to introduce our new
backpack design. They will be designed specifically for the US Army and other military branches with
Ground and Special Forces operations. Our new design will have a refrigerated pouch and radio
modules. The project will spread out over a year and a half and to be completed in 2017. The units of
backpacks are to be delivered to our customers in stages. The first delivery is of 100 units, and all
additional 50 units will be every three months. Also, the project is to be completed in milestones. This
will allow for review of the backpack project and will ensure a successful completion.
Customer: As stated above, our current customer base will be strictly the U.S. Army and other
military branches with Ground and Special Forces operations. After the project is completed and with
success, it can then be sold to the general public.
Initial program action items
As the project manager, the action items are as followed:
1st action item for the project is to assess and to ensure that all preparations are in order. This allows
the backpacks to have a timely delivery as promised to our clients.
The 2nd action item is to facilitate a budget for the project. It needs to address all the necessary
materials and other costs involved in the project. A budget is imperative. A budget is done to ensure
that the project will stay on course and not cost the company any unnecessary expenses during the
production process of the backpacks.
The 3rd action item is the making and delivering of the backpacks. By this, it will ensure the work will be
completed and have an established plan that all deadlines are to be met.
Project Risks / Risk Mitigation strategies:
1.) Overestimating costs with the proposed budget associated with the project. Again, the
project will need a projected budget of all the supplies and materials in the making of the
product.
2.) Meeting all delivery schedules and deadlines is a risk. For this to be carried out, a plan of
action is imperative. All individuals working on the project will follow this plan so the deadlines
are met as projected.
3.) Having the milestones off track is another risk. These are vital. The project is to be done
at different stages and will lead to a successful completion. To prevent this from happening a
schedule will be developed to facilitate proper preparations and appropriate management of
the design, development, production and the delivery of the products to our clients.
Memo Conclusion:
In conclusion, for a successful completion, the backpack project will rely greatly on proper planning
and follow up on the production process. Identifying risk and having a well-developed risk mitigation
strategy will facilitate the timely completion of the project, within the projected budget.
