Project Initiation
Project Description and Need
This project entails opening a catering service from the existing theme with an already
established organic food market in an urban center at the junction of four farming regions. A
catering service shall be established to sell quality and organic foods from a 25-mile radius.
Specifically, the market has indicated an augmented demand for more organic and fresh foods,
which will assist in strengthening the business by fulfilling the need. The catering service is
2
anticipated to be launched in 30 days in line with the celebration of the market's 10th
anniversary.
Stakeholders and Impact
1. 1. Customers: The primary beneficiaries of the proposed business are the
customers, who can access quality, organic foods through catering services. The
following project will meet the increasing needs of consumers for fresh agricultural
products produced in the nearest possible locality.
2. 2. Local Farmers: These stakeholders provide organic produce and other food for
human consumption. The project will increase their sales and guarantee their market,
essential for expanding businesses.
3. 3. Market Employees: Following the target market and the new catering service
staff are vital stakeholders (Akinradewo et al., 2022). These could alter with the new
service, and new employees may be required to be hired to help with the extra business
that might be generated.
Feasibility Analysis
• Scope: The defined project scope involves creating a catering service company
that delivers lunch orders within one hour and caters to special events within a one-week
notice. During the initial stages, the promotion strategy entails free lunches for the first
ten companies that subscribe.
3
• Cost: For the launch, $ 7,000 was allocated for the start-up, while the current
expenditures are over $7,700. Solutions must also be employed to curb expenditures and
guarantee sustainability so that market prices can be affordable.
• Timeline: The project's launch date is fixed at 30 days. Although doable, it must
be well organized to complete all the tasks on time.
Project Planning
Milestones and Timeline
1. Finalize Catering Menu and Suppliers: By Day 10
2. Marketing and Promotion Campaign: By Day 20
3. Launch Event and Initial Deliveries: By Day 30
SMART Goal
Open a regular catering service that supplies well-prepared, organic meals to neighboring
clients within a 25-mile range within 30 days and reach the breakeven point in 1 year without
affecting the regular retail operation budget and partnerships.
Potential Risks and Management
1. 1. Supply Chain Disruptions: The problem of not getting the organic produce as
required was evident in the case of lettuce. This can be managed by developing menus of
multiple suppliers and planning for contingencies, including short-term usage of non-
organic methods, while informing the clients in advance.
4
2. 2. Budget Overruns: The current expenses have also raised the float, which is
always a nasty factor for the budget. This threat can be managed through internal controls
such as strict budget control, strict economies whereby the organization looks for cheap
suppliers, or cutting unnecessary expenditures (Nicholas & Steyn, 2020).
Project Execution
Addressing Budget Overruns
For the 10% budget overrun issue, we could possibly look for options to trim costs, like
negotiating for lower prices with suppliers, using fewer quantities of expensive supplies, or
looking for more sponsorships to cover the costs. For instance, instead of using organically
grown lettuce sourced from a farther company, one may use non-organic lettuce and obtain the
client's agreement on the facts.
Addressing Scheduling Conflicts
If the schedule is an issue, such as the lateness of lettuce delivery, we could reshuffle the
timeline by moving to less critical tasks and focusing on the important ones (Pinto, 2020). For
example, sourcing the second supply of lettuce or changing the project plan to incorporate
organized vegetables that are in stock can assist in achieving the set project goals.
Project Monitoring and Control
Impact on Scope Due to Conflicts
5
Delays in schedule and financial issues will likely change the scope of the work
undertaken. However, the matter continues, and the budget increases beyond our estimate. In that
case, some items related to the launch event may have to be omitted, or the number of free
lunches we promise to offer may also be reduced. Likewise, schedule conflicts could result in
new deadlines or mustering compromises, such as changing the number of set menu choices until
the next interval.
Project Closure
Improving Planning
1. 1. Enhanced Budget Monitoring: Better and more strict approaches to budget
regulation and control from the initial phase could help avoid budget overruns. Financial
forecasts and checks could also be a good idea to maintain the project's financial health.
2. 2. Flexible Scheduling: Such forecast manipulations could include increasing
flexibility in the project's scheduling and having measures to address any hitches, for
instance, in the supply chain.
Addressing these planning areas can help future projects avoid some of the timeline and budget
conflicts encountered in this project.
