1. Project Stakeholders Management:

a. Target / Users

· End-User

This project mainly focuses on helping people live in Darwin region to sell second hand items. Also, it helps people to find something, which they might need just for a functional item but not a perfect product. In other words, anyone who lives in Darwin have the credential to use this platform to auction or purchase items.

· Purpose of using it

There are various reasons that people would use it. Firstly, the platform provides a service that will offer reasonable price to buy the items that have been posted on the platform. If people need money or want to sell something urgently, they can use this platform to achieve their needs. Secondly, buyers who want to buy used items with more warranty can buy from the platform if the items are sold by it. Finally, buyers can purchase items from the platform at home because it provides delivery services.

· The way to use

Users will be able to register their personal account from the platform. They can post or search items on the SGTPD website, which is a mobile first designed website. Also, they can download the application from play store or apple store if they are android or iOS users respectively. The mobile first website and mobile application are user-friendly. It allows users to complete advertisement posting by any mobile devices within 3 minutes.

· Change control processes

In order to make sure the project is on the right track even though there are changes. There are serval processes or procedures we can use to keep the project in the right balance the baseline plan and the changed plan. (SkillMaker 2016)

Proposing a change

The process allows everyone in the team or stakeholders to give a proposal of change, but a description of change and the expectation of benefits are required. All change requests will be added into a change log.

Summary the impact of change

Project manager needs to make a summary of the proposing, which includes quantifiable benefits, unquantifiable reasons of change, the estimation of cost difference, impact of time schedule, extra needs of resources, and new risks and problems.

Making the decision

In this process, an authoritative person will make the decision of change by the information that the project manager and the change requester give. The final decision will be three types, such as ‘Accept’, ‘Accept with comments’ and ‘Reject’.

Implementing

Once the change has been implemented, a backup plan is necessary in case that some unexpected issues happen.

Closing the change

If the change requester checks and agrees the implementation, the project manager will close the change log. (Duncan 2011)

· Methods for updating and refining communication plan

Instance Messaging

Although face to face meeting is good, it is not suit for everyone or certain situation. By using the online messaging software, such as Skype, Messenger, and Facetime, the efficiency of team meeting is significantly increase. It provides the way for discussion cannot be done by sending Email.

Using Project Manager Software

The main reason to use project management apps or software is every project team member can see their status and responsibilities visually. It is difficult to check their tasks processes and make sure that individual tasks are progressing stably.

File Sharing Application

File sharing and discussing is always a way of communication in a team. However, it is wasting time to pass those files in physical way to the team. As a result, using file sharing application is also an efficient way to communicate. Team members would be able to access and edit file on their own workstation.

Risk neutral

The project team risk main attitude is neutral, which means that the team is not going to find or ignore risks. However, the risk attitude might change in the process of the project plan.

As the team find a risk, they will decide what to do according to the risk register, and the average probability and impact of the risk are above medium rate, the project team will try to avoid the risk to occur. In order to avoid the risk, in the project process, project manager needs to communicate with team and to reschedule if it is necessary.

If the average probability and impact of the risk are in low rate area, the team will follow the risk management plan to deal with the risk to mitigate.

d. Risk management planning

It is important to have a plan to deal with the risks when they happen. The plan is for reducing an unexpected impact or controlling the negative results. There are a few ways to mitigate the risk.

Before a risk occurs, it is important for every role in the project team to know what he should do in order to ensure that when the unexpected risk has happened, things will run smoothly. For example, the risk owner will know what risks they are responsible, and the developer follows the risk owners’ instruction to mitigate the risk.

When a risk occurs in the project process, it is vital for the risk owners to communicate and discuss with the project manager about how to minimize the impact of the risks. Also, the risk owner needs to inform the project team to implement the strategy of risk management.
