1) In step 8 of this exercise, you entered the customer’s purchase order number as you create a customer inquiry for a possible sales order.

Recognize that a customer may not actually have a formal purchase order at the time of inquiry and may simply be gathering information about a possible purchase. Because of this, no value is required on the cust. reference (purchase order number) field. However, it is strongly advised to ask if there is one so it could be entered when creating the inquiry.

If there is not a purchase order when creating the inquiry, there should be when creating the sales order (see SD12).

2) You created sales orders in this exercise, as well as SD12 and SD19. In SD12 you looked at the availability of the items ordered. Although not told to in SD19 or this exercise, SAP automatically checks availability, and notifies if quantities are not sufficient for the sales order.

Checking inventory availability is one of two important checks during the sales order process. What is the other check? Explain, including the application control that could be implemented for such a check.

The Chapter 1 text of this case discusses “Roles and Profiles.” This discussion emphasizes the need for proper separation of duties within organizations for reducing the threat of errors and fraud.

Please recognize that in this case, you have access to more areas than a typical employee would (or should) have in an actual business. For training purposes of learning about SAP, students are allowed to perform all transaction related roles in the entire system. This greater access across functional areas allows students to gain practical insight and appreciation into the interrelationships of an organization and its ERP system, such as SAP.
