NOTE: These questions are to be answered formally and neatly on a separate page or pages that are located after your last required screen capture in your cover page document. Answers are to be given in complete sentences. Grades will be reduced for poor grammar, misspelling and incorrect punctuation. This is applicable for all questions across all assignments.

Each question asks for explanation along with your answer. No explanation will automatically result in no points being earned for a question. This is applicable for all questions across all tutorials.

Questions about SD01, Each Worth 2 Points

1) Assume when completing this exercise that you forgot to enter one of the zeros in step 1, such as shown in the screen below. Note the error message at the bottom of the screen after completing step 4.

Graphical user interface, text, application Description automatically generated

What kind of application control (discussed in the SAP Chapter 1 text) is present in this situation? Explain.

2) Which transaction-related internal control objective (discussed in the SAP Chapter 1 text) is most enhanced in this situation? Explain.

Questions about SD05, Each Worth 2 Points

1) Assume when completing this exercise that you tried entering a dollar sign ($) for your first material in the amount field when completing step 4. SAP would not have allowed it. If your computer speakers were on, you would hear an error sound when trying to enter a dollar sign in the field.

Graphical user interface, application, table Description automatically generated

What kind of application control (discussed in the SAP Chapter 1 text) is present in this situation? Explain.

2) Which transaction-related internal control objective (discussed in the SAP Chapter 1 text) is most enhanced in this situation? Explain.

3) Is this a preventive control or is this a detective control? Explain.

Question about SD08, Worth 2 Points

1) In this exercise, you create a customer material information record for a customer that uses a different naming convention for inventory items than you do. In a later exercise (SD20), you use this record to help process an order of those inventory items for the customer.

Which does the customer material information record directly enhance – an organization’s value chain or an organization’s supply chain? Explain.

Questions about SD11, Each Worth 2 Points

1) In step 8 of this exercise, you entered the customer’s purchase order number as you create a customer inquiry for a possible sales order.

Recognize that a customer may not actually have a formal purchase order at the time of inquiry and may simply be gathering information about a possible purchase. Because of this, no value is required on the cust. reference (purchase order number) field. However, it is strongly advised to ask if there is one so it could be entered when creating the inquiry.

If there is not a purchase order when creating the inquiry, there should be when creating the sales order (see SD12).

Which transaction-related internal control objective (discussed in the SAP Chapter 1 text) would be most enhanced by requiring the customer’s purchase order number at the time of either an inquiry and/or sales order? Explain.

2) In terms of database terminology, what kind of attribute is the purchase order number on an inquiry document? Explain.

Questions about SD20, Each Worth 2 Points

1) In this exercise, you created a sales order using a customer material information record. In which exercise did you create the customer material information record?

2) You created sales orders in this exercise, as well as SD12 and SD19. In SD12 you looked at the availability of the items ordered. Although not told to in SD19 or this exercise, SAP automatically checks availability, and notifies if quantities are not sufficient for the sales order.

Checking inventory availability is one of two important checks during the sales order process. What is the other check? Explain, including the application control that could be implemented for such a check.

3) Which transaction-related internal control objective (discussed in the SAP Chapter 1 text) is most enhanced by the other check? Explain.

4) Is this other check a preventive control or is it a detective control? Explain.

Questions about SD Exercises, Worth 4 Points in Total

The Chapter 1 text of this case discusses “Roles and Profiles.” This discussion emphasizes the need for proper separation of duties within organizations for reducing the threat of errors and fraud.

Please recognize that in this case, you have access to more areas than a typical employee would (or should) have in an actual business. For training purposes of learning about SAP, students are allowed to perform all transaction related roles in the entire system. This greater access across functional areas allows students to gain practical insight and appreciation into the interrelationships of an organization and its ERP system, such as SAP.

Consider the following pairs of duties. For each pair, identify whether they are compatible or incompatible. Explain why, referring to the names and descriptions of exercises, as well as using the process from the textbook homework on separation of duties.
