Business Description

Hotel Storm Kisii is a tourist resort that offers the facilities of holiday accommodation, reserving hotels for clients, vacation apartments, and other services for customers. They conduct their business in Kenya, Uganda and other regions in East Africa (Trillo, 2002). The hotel is roughly situated ten kilometers from the town center along the busy Kisii to Kisumu highway. Furthermore, it the most upscale and elegant hotel in Kisii town providing modern lodging which renders more than just a wonderfulnight sleep. The hotel structure encompasses eclectic décor, which includes a variety of periods and comforts. They are integrated together through the utilization of magnificent colors, exclusiveshape, and finish. This design sought to offer clients a suitable and serene place to stay and relax while on their holidays. The customers that require bookinghotel, holiday apartment should access their offices, which are located in Kisii town for verifying the availability as well as consultation.

Lately, the hotel management has seen the need for changing their reservation pattern from manual to theonline or web-based system(Grady, 2014). This approach will assist them to manage the clients booking effortlessly. It will aid the hotel management to secure their data. Moreover, automating the system will assist the employees to keep arecord of their customer’s online reservation request. With this, the hotel management will freely reply feedback to the clients and hotel reservation process will be efficient.

Statement of the Business Problem

Hotel Storm Kisii encompasses a manual booking system that faces some challenges when issuing booking request of clients. Most of their booking transactions are recorded manually(Grady, 2014). For instance, hotel staffs record customer’s room reservation transactions in logbooks. This approach makes it strenuous for management staff to keep booking records updated all the time. Additionally, the use of the current system hinders the customers from issuing their feedback online.

The information in the logbooks is not fully secured. The account books are kept in office racks that might be easily broken into in case the management staff is not careful. This feature demonstrates that security of the logbooks is vulnerable to physical attack. Besides, the attacker can manipulate the recorded information for personal gain.

The manual logbooks consume too much space of the hotel offices. The management staff stores their record books on the shelves, which take too much of their office space. Because of this, a lot of reception’s office space is wasted on keeping booking files.

Business Requirements

Functional Requirements

1) The online hotel booking system will supportcustomers’reservation, and they can modify their booking details. The system willpermit only authorized users to access the reservation platform. The customer will access the system using their authorization details, which the system generates after submitting their details.

2) The customer can make ahotel reservation. He fills the Start Date that indicates the date that he will occupy the room. Additionally, he fills the End Date, which outlines the date that he will abandon the hotel room. He selects the number of adults and children to lodge the room. He then checks the room availability by submitting the required details.

3) The customer can choose the number of rooms that he feels are convenient for his stay. He can select the type of room, which the hotel offers. For instance, the client can select deluxe, standard single, standard double and superior. All these rooms are fully air-conditioned. He then reserves the room.

4) The customer fills his contacts details. The system requires him to put in his first name, last name, address, residential city, country name, zip code, email address, password, and his phone number. The system confirms these details when the customer agrees to abide by the hotel’s terms and conditions.

5) The system prints customer’s reservation details. The client can make room reservation payment via PayPal or using Visa card in case he is from the local region.

6) The customer can cancel their reservation from their authorized account. Besides, they can modify their booking details from their verified account.

7) The system will send reservation verification email if the customer payment is successful. The clients can make reviews about the hotel services, holiday apartment and rate them.

8) Clients can send feedback or contact the hotel organization for reservation purposes. Additionally, they can view the company background information and the amenities. They can view the gallery of the rooms, hotel restaurant, and bar.

Description

The customer will visit hotel website from a computer or any digital device, which connects to the internet. He will access the Hotel Storm Kisii booking system. He gives feedback during the booking process. Additionally, the staff will provide thecustomer with aconfirmation code. The customer will receive this code and begin to book anempty room. The guest can check empty room, which are in the hotel by utilizing the system. If the empty rooms are available, he will submit his personal details to the system. The hotel staff will receive guest’s reservation information. Nevertheless, the guest can edit or cancel his reservation. The system engineer maintains the overall system(Leffingwell & Widrig, 2000).

The Use Case Scenario

Use Case: Register

Actors: Customer, Administrator

The customer is prompted by the registration form. He creates a new username and password by filling the required details on the form. The admin providesthe customer with the ID number. The username required during registration can be an integer(Kulak & Guiney, 2000).

Use Case: Login

Actors: Customer, Administrator.

They will be prompted with the login form. They will enter their username and password(Kulak & Guiney, 2000). The customer can change his password in case he forgets the initial password. He does this via clicking on the link Forgot Password.The administrator updates customer password. Heissues or delivers the new password to the customer.

Use Case: Book Hotel

Actors: Customer, Administrator

The customer is prompted with the booking form. The screen displays customer’s First name, Last name, email address, check in Date, check out Date, No Rooms, and Room type. He clicks on the buttonReserve. This action generates a confirmation number that is sent to customer’s email address.

Use Case: Book Room

Actor: Customer, Administrators

The customer is prompted with the tabBook Room. The tab leads the client to a Book Room Page. The customer can check the room types, room prices via clicking on click to view rates link. As a result of this, the administrator updates the room type details, such as the room prices.

Actors: Customer, Administrator, Reservation Manager.

The customer is prompted with the reservation page. He fillshis first name, Last name, email address, phone number,and country. The administrator adds the customer to the system. He can update the hotel details. Besides, the reservation manager can cancel customer reservation.

Use Case: Generate Reports

Actors: Administrator

The administrator can print the type room report, which specifiesthe room type booked by customers. He can print the room rates reports thatindicate accommodation cost of various rooms such as deluxe, standard single, standard double and superior.Additionally, he can update the room rate reports.

Use Case: Generates Profits Reports

Actors: Administrator

The administrator can update profits reports. He determines this via multiplying the number of reserving customers by the cost per room. He can check client’s payment balance.
