Introduction.

  • Social media was once simply considered as a fad
  • However its continued growth and preference has changed every bit of how people socialize and engage in both professional and personal issues.
  • Its impact in the workplace is measurable as policies of the human resource are being adjusted to keep up with the pace of these social norm. (Barbara, 2014)

Social media is simply an internet based tools that are used in tablets, computers or smartphones that help in keeping in touch among people and provide a platform for interaction. It allows for people to share ideas, views and information. Examples of well known platforms for social media include; twitter, Facebook, LinkedIn, among others

Intranet among the employees.

  • Intranet is a secure and private network that includes relay messages and global chats for employees in the workplace.
  • Can be used as a broadcast memorandum or for announcements.
  • Intranets increase productivity and also reduce the time spent on social networks that are external during the working hours. (Herder, 2009)

If the staff of an organization is interested in socialization and engagement online then there is much need for capitalization of intranet by creating it administratively.

A number of large organizations are establishing intranets that are meant for employees only that encourages social media communication among them.

Importance of social media in the workplace.

  • Social media allows for direct communication for either big or small users for it is a democratic platform.
  • It assigns cultural relevancy in the world at large.
  • Provides exposure for an organizations website and this is very elemental in the success of the organization’s brand. (Barbara, 2014)

The cultural conversations today are so much shaped by the use of social media as majority of the users are up to date with the viral content and latest trends that the business should take advantage in order to maintain online relevancy.

In terms of brand success, organizations have to put their website contents in the forefront in all their digital efforts, this is because website contents do function as foundations authoritatively for the brand and hence its success.

Advertising through social media.

  • Advertising through the social media is a form of marketing via the internet
  • It involves activities such as sharing videos, images and other contents for purposes of marketing.
  • It can involve any kind of content in the social media network that is paid for.
  • Advertisement options vary depending on the type of social media network used. (Ferreira et al 2009)

Advertising through the social media has all its focus in the services of the various social networks and among the major benefits of such method of marketing is that, the advertisers (organizations) can take the advantage of the social media users’ information regarding their demography in order for them to appropriately target their advertisements.

  • The following tips will ensure an effective and stable advertising over the social media for organizations;
  • Use of free media for the testing of the paid social adverts.
  • Taking advantage of features that are targeting
  • Frequently rotate advertisements
  • Small samples should be used for testing content used in ads
  • Different use of ads in different social platforms should be understood. (Herder, 2009)

Social media policy.

  • Policies should be developed so that whatever is or not acceptable at the workplace in regard to the use of the internet is known
  • Be respectful to colleague workers, suppliers, customers that do work for the organization.
  • Accuracy and honesty is needed when posting news or information.
  • Only Respectful and appropriate content needs to be posted. (Herder, 2009)

We know that social media can be very rewarding and much fun in the workplace, however, there are a number of risks that are presented by it and this requires responsibilities from the employees to ensure that social media in the workplace is solely for the benefit to the organization.

The various posts and communication of information or any kind of content over the media including; blogs, journals, websites, chat rooms among others needs to be guided by policies to avoid risks.

  • Efforts for controlling the media by having clear policies and guidelines have been devoted
  • Use of social media in the workplace should only be promoted as a tool for working;
  • E.g. exchange of policies, products, services and other common interests among the employees.

  • Don’t identify clients online
  • Respect other on social media
  • High standards of integrity should be maintained to the colleagues and clients
  • Dual relationships should be avoided i.e. both professional and personal

  • Open communication is facilitated, enhancing information delivery
  • Gives employees an opportunity for discussing ideas, ask questions, share links and post news.
  • A wide audience is targeted, hence an effective tool for recruitment
  • Inclusion and diversity is promoted
  • Interests of people are directed to specific and useful websites.

Disadvantages of social media.

  • Outlet for comments that are negative about an organization by the employees
  • Potential for employees to use social media for the distribution of offensive and objectionable material
  • Hackers can commit frauds and launch virus attacks.

Despite the pluses regarding the social media tools and sites, security issues and employers legal liability exists in a number of organizations, for both personal and official use of social media in the workplace by the employees.

Conclusion.

  • Peoples lives have been changed in many ways by use of social media.
  • Human interactions in organizations have also experienced these changes
  • Positive behaviors that are influenced by social media should be used for the maximization of benefits generated by utilizing them in different platforms

Information distribution and collaboration through the social media is a great involvement to the employees within an organization with the aim of sharing information, resources and news. Social media is a powerful tool for communication in the workplace more so to the engaged audience.
