Information and Communications Technology

Support, Maintenance, System Security

KEEP Records on maintenance

Document the systems modifications, fixes, security updates

Track and document installation of all software and versions

Track security software

Why are we concerned about downtime?

Either we are doing maintenance at planned downtime,

Or

Something unexpected happened to the system and it had to go down!

WE TRY to plan ahead, avoid unplanned downtime– by keeping our system well “tuned up”

Our computer needs tuneups, too!

Specifications for security planning

Security Awareness and Training-

Remind employees to be alert for malicious software that may come through as email attachment or accidentally downloaded from Internet.

Train all users and establish guidelines for creating passwords and changing them during periodic change cycles.

Define Maintenance:

Software maintenance includes Activities to provide cost-effective support to a software system. Hardware needs to be maintained and updated. Software needs updates, especially security updates to fix vulnerable areas. Also, the network needs to be maintained.

Include Help Desk functions

Your plan should include basic help desk functions for hardware and software

Who will staff the help desk– onsite or remote persons?

What will be the hours for helpdesk?

Computer doctor to the rescue!

Maintenance plan

Maintenance plan includes:

Who will do system updates:

The vendor? The Hospital/ facility staff?

How will we be notified of updates?

Describe level of support: Annual software updates? Twice a year?

Responding to user requests– how will these be addressed?

Include security updates

The system shall be updated to reflect systems security updates as modifications occur to the (Microsoft, Unix, whatever we use) operating system

Say things like, “The system shall include twice- annual updates to address system speed and functionality issues”

How does this fit into my Plan?

The Maintenance Plan is a part of the Systems Life Cycle

It is part of the final phase

Can be one of the most costly, post-implementation

Wrapping up the project plan!

Remember to include staff training in your Plan

Sufficient staff training will minimize help desk calls

Have a plan for training the staff as they approach the closure phase

Designate Super Users who can help out other employees

Other pieces of our Plan

Try to structure some requirements in your final Plan around pharmacy, Mom/baby, nursing Assessments departments
