My client, Dr. Barbara Smith received the enclosed letter dated December 02, 2012 from you concerning a proposed income adjustment to her Form 1040 for Tax year ending December 31 , 2011. In response, Dr. Smith has asked me to follow up with you and resolve this matter. Comment by Owner: , use commas before and after interrupting words in a sentence. Comment by Owner: Do not use a 0 for single digits. Comment by Owner: Omit unnecessary words. Comment by Owner: Be specific here. What will the following resolve? State clearly that you will explain each discrepancy.

Your notice indicated that Dr. Smith’s 2011 tax return is missing 3 sources of reported income as follows: Equity Annuity payment $2,656, Insurance and Annuity Association payment of $1,213 and $275 in book royalties. Comment by Owner: Follow this colon with a bulleted list of the discrepancies so that you can explain each of the three issues in a checklist format, enabling the reader to quickly and easily distinguish each of the three different discrepancies because they are in a list. Comment by Owner: The explanation of each is required in conjunction with mentioning the amount of each so the reader doesn’t have to switch between different areas of the message to determine where the amounts are present. Keep similar ideas next to each other in the same paragraph or the same sentence.

Upon reviewing Dr. Smith’s 2011 tax return it is clear that while 2 of the items you claim to be missing are in fact listed in schedule B and on line 16 of said form 1040 there is one source of income that seems to be missing. In light of this oversight, I have amended Dr. Smith’s 2011 tax return, to include the missing income and enclosed it with this letter, please respond via mail if you agree with my findings and confirm this by mailing a revised tax bill to Dr. Smith reflecting the change in reported income for her 2011 tax return. Comment by Owner: This is the main idea. You are requesting a revised tax bill BEFORE you will send any additional missing income tax payments. Put this main idea first.
