Guidelines for Developing Standard Operation Procedure (SOP)

TEC 5133 Total Quality Systems

Task:

Develop one (1) standard operation procedure (SOP) for each of the three

departments you identified.

Guidelines:

1. A department may involve many operations. Select a typical operation for each department.

For example, a “lunch” department has the mission to serve lunch for a group of

employees. To prepare for the lunch, the following activities (operations) may be

needed:

 Prepare utensils

 Set up table

 Prepare drink

 Make peanut butter jelly (PBJ) sandwich

 Make dessert

 Clean up the table

 Clean up the dishes

 Others

You are only required to select one operation to develop detailed SOP for the purpose

of this course. For example, you may select “Make peanut butter jelly (PBJ)

sandwich” as an operation.

2. Develop SOP based upon the quality guidelines (vision, mission, guiding principles) developed on previous step.

3. Using the process model and continuous improvement concept, develop a flow chart for the operation you selected. Please note that this flow chart is required for your

document, in order to reinforce the process model concept.

4. Focus on the specific step or procedure. Using the SOP, anyone can do the job without extensive training or prior knowledge. For example, with the SOP of making

PBJ sandwich, an inexperienced person can follow the steps and make a good

sandwich.

5. Use concise, clear and unambiguous language. People can perform their jobs consistently regardless the workers or time.

6. The procedure should be written in a step-by-step format.

7. It is a good idea to use numbers (1, 2, 3, …) to show the steps.
