RE: WW IT Organizational Changes
Introduction and Purpose:
Over the last few years growth of the WW has not increased and it remained stagnant since the economy has a slow growth, In order to improve the growth of the organization , few IT organizational changes are required that will help the WW to improve the overall business. Overall business can be improved by improved by improving the current business operations, changing the roles and responsibilities of the staff members, upgrading to the new technology systems and IT portfolio management system.
Leadership Philosophy:
The leadership philosophy of the organization is quality first and speed always that is the management should need to improve the overall services while managing the workload in order to provide the quality of the service with improved speed. The memorandum addresses all the key issues in the current implementation and the solutions for those key issues. This memorandum includes all the organizational changes in the staff and their responsibilities, key services of the CIO organization and the key milestones achieved by the CIO organization.
Internal IT strategies:
The internal IT strategies that are needed to be incorporated are IT organizational restructure; technology change; process improvements; IT portfolio management and staff performance management. (Holmes, A. 2006). IT organizational restructure include hiring 5 more application developers and hiring two more people in the networking team in order to reduce the number of the networking issues for the applications maintained within the WW . Application developers will help to improve the development time of the applications. Current implemented technology for the accounting, route optimization, freight tracking and fleet maintenance all these applications are based on an older technology. In order to improve the overall business and to reduce the cost associated with the IT requires the organization to shift to the cloud computing based systems though this system will improve the overall performance and will reduce the cost associated with the implementation. The cloud based applications can be accessed from anywhere and anyone authorized to access the system can access the system easily. The next set of the change that is required in the internal It strategies are the improvement in the internal processes; all the internal operations are managed in a better way through the new systems. The new systems are targeted to improve the overall operations within the organization. The next change in the IT internal strategy is the IT portfolio. IT portfolio includes implementation of the Accurate Financial system, this system is intended to replace the old system with the new system; this system will help the operational managers and the dispatchers. This system will help to arrange the shipment sequence in a best possible manner since it includes locating the address on the maps with the help of the zip codes; another change is needed to be incorporated in the fleet maintenance system, this system is intended to store the information of all the vehicles. The fleet management system needed to be mobile since this will help to operate this in a mobile manner. The another project that is needed to be incorporated under IT portfolio is the management reporting system this will helps the management to get the updates through this system .The last change in the It portfolio is the implementation of all the applications on mobile application that will help mobile reporting and mobile management of the systems. The last change is the implementation of a system to manage the performance of the staff; this system will evaluate the performance of the staff. Implementation of this system will keep the staff and the employees motivated.
Current IT department Structure:
The current IT organizational set up of the WW includes 22 people, 7 out of the 22 people are programmers, the another six people are help desk professionals these professionals are used to support the customers, the remaining of the current team include 2 network engineers, a financial system specialist, two shift supervisors, a computer security expert and CIO and her two personal assistants,
· Application Programmers: Application Programmers are included in order to develop the applications for the internal support.
· Help Desk Professionals: Help desk professionals are included in order to support the entire systems
· Network Engineers: Network Engineers are included in order to support all the network of the organization destinations.
· Financial System Analyst: This analyst is used to track all the financial activities within the organizations
· Shift Supervisors: Shift supervisor is intended to maintain all the shifts within the organization
· CIO: CIO is the head of the team who is intended to lead the team.
· CIO's Personal Assistants: CIO's assistants are added in the team in order to assist the CIO's in her activities.
New CIO organization:
The difference between the IT Department and a CIO Organization is the CIO organization is more organized since this team is headed by the CIO of the organization. The CIO helps to make the IT department more organized and more structured in all terms such as services management, staff management, portfolio management, better performance management, better track of all the performances and this organized structure of the CIO organization helps the organization to manage the workload in a much better manner and additionally all the services are managed in a much better manner. (CHOY, J., 2000).
Key Services:
The key services of the CIO organization include financial management that includes cost management, budget management and better accounting management providing better data entry systems with the help of zip codes through the size and weight management. Additionally it helps to provide the management of the staff through the staff performance management system. This system helps to evaluate the performance of the staff. Another key service of the CIO organization is to fasten up the pickup and delivery of the goods. The CIO organization also helps to provide the management of the hours of the drivers and to provide the cost reduction system.
New CIO Organization Structure:
The new IT organizational set up of the WW needs to include 35 people, 12 out of the 35 employees are application programmers, the another 10 people are help desk professionals these professionals are used to support the customers, the remaining of the current team include 5 network engineers, 1 financial system specialists, 2 shift supervisors, 2 computer security experts and CIO and her two personal assistants. Additionally , out of the 12 application developers 1 team leader is selected; out of the 11 help desk professionals one manager is selected ; 1 network engineer is selected as the team lead .(John, D. A., 2004). The Application programmers will now report to the team leader and the team leader will then report to the personal assistant. The Help Desk managers will then report to shift manager will take care of the shifts. The network Engineers will report to their Team Leader and additionally the shift manager will coordinate with the team leader of the team to manage the shifts. The Financial system analyst will manage all the financial activities. The CIO will ensure all the key operations of the IT department in a better organized manner and the personal assistants will assist the CIO in all the IT operations.
Key Milestones:
The key milestones of the organization are implementation of the accurate financial system, management reporting system, mobile application system, route optimization system and freight tracking system and fleet management system. The another set of milestones include supporting the IT systems at multiple locations, maintaining the Sarbanes Oxley financial audit and the reporting systems, maintaining the vehicle safety , maintaining the FCC reporting requirement through the multiple number of hours of reporting .
Conclusion:
The clear and organized structure of the IT department helps to provide better management of the services in a most cost effective manner and I am pleased to say that these changes will help the organization to provide quality pick and drop of the freights in the most efficient manner. The first set of changes in the internal IT strategies helps to improve the overall IT department and its processes. As a result of the new organizational structure the number application programmers /developers are increased to 12 and all these application developers will directly report to me. The implementation of the new information systems will help to manage all the information of the freights and route information in a much effective manner. As we continue to improve our organizational structure, the realignment of the resources will help to manage the overall systems in a better way.
I am proud to see the organizational set up of the IT department and am very much excited about how the new organizational changes will help to bring the continued success for improved profit. Carol
