Weighted Decision Matrix

In order to support its defined strategic goals Manage Your Health, Inc. and as a result I have identified four specific web-based applications and services which can help to meet the objectives.

Project

Strategy Support

Financial Benefits

Additional Benefits

Value

Recreation & Wellness Intranet Project

Employee Assistance

Reduced Health Insurance Premiums - $30 per employee annually

Fitter, more motivated employees

Low risk and development cost

Health Coverage Costs Business Model

Reduce Internal Costs

Reduced Health Insurance Premiums – $20 per employee annually

Increased auditing and reporting options on healthcare expense

Low risk and development cost

Cross-Selling Summary

Improve Delivery of Products & Services

Increased profits

Increase sales

3 year profit surplus

Web-Enhanced Communications System

Reduce Internal Costs

Cost Savings

Improved customer service

High development costs but higher surplus

As the table outlines, all of the four offerings provide some compelling advantages and from a purely financial outlook we can further collate each project:

Recreation & Wellness

With 25,000 employees in total, a saving of $30 annually per employee provides

a total cost saving of $750,000 over a four year period.

Health Coverage Costs

Again, with savings based on a per employee basis this would equate to

$500,000 although development costs of $100,000 leave a total of $400,000.

Cross-Selling Summary

Profits increased each year by $1m for 3 years to give a revenue of $3m with $800,000 to be subtracted annually in development and maintenance costs. Total surplus due would therefore be $600,000.

Web-Enhanced Communications

Profits increased each year by $2m for 3 years to give a revenue of $6m. Development costs of $3m with a 20% cost each year gives a total cost of $4.8m so surplus due is $1.2m.

Project Charter & Scope Statement

A. General Information

Project Title: Intranet Creation Project

Brief Project Description: Development and Creation of a site-wide Intranet

Prepared By: Natasha Williams

Date: May 20th, 2015

B. Project Objective:

Explain the specific objectives of the project. For example: What value does this project add to the organization? How does this project align with the strategic priorities of the organization? What results are expected? What are the deliverables? What benefits will be realized? What problems will be resolved?

The creation of an Intranet for the organization will provide enhanced communication and collaboration options for the organization while also allowing for security to be maintained due to the internal nature of this specific configuration.

It is therefore expected that the solution will, once delivered, support the achievement of strategic objectives through increased efficiency of information sharing. This will be demonstrable through the deliverable of a site-wide Intranet which is accessible by all users with restrictions based on their roles and responsibilities.

This will also resolve the problems of relying solely on file servers for fulfilling storage requirements and allow for enhanced auditing and reporting of contents and their

access.

C. Assumptions

List and describe the assumptions made in the decision to charter this project. Please note that all assumptions must be validated to ensure that the project stays on schedule and on budget.

In order to proceed with, and deliver the Intranet Creation Project then there are the following assumptions which have been made:

-All users will have access to the Intranet

-Departments will control their own content

-Specific estimates will be required as to the initial content requirements

D. Project Scope

Describe the scope of the project. The project scope establishes the boundaries of the project. It identifies the limits of the project and defines the deliverables.

The objective is to deliver an appropriate and effective Intranet site for Manage Your

Health which provides up to date healthcare information for employees. This is designed to address perceived shortcomings with the availability and accessibility of such information.

Information which is provided on the Intranet should be confirmed by appropriate healthcare and HR personnel.

List any requirements that are specifically excluded from the scope.

There will be no provision for links to third party sites or applications included in the

Intranet site development.

E. Roles and Responsibilities

Describe the roles and responsibilities of project team members followed by the names and contact information for those filling the roles. The table below gives some generic descriptions. Modify, overwrite, and add to these examples to accurately describe the roles and responsibilities for this project.

Resource Constraints

Project Budget $200,000

G. Project Risks

Identify the high-level project risks and the strategies to mitigate them.

Risk Mitigation Strategy

H. Success Measurements

Identify metric and target you are trying to achieve as a result of this project. For example, overall cost savings of $50K or reduce processing time by 25 percent.

The result should deliver savings of approximately $750,000 against an initial outlay of $200,000.

It is assumed site will be operational within 6 months from the date of commencement.
