There are various strategies that will have to be employed by the project manager to achieve the intended goals and objectives. These strategies will act as the guidance for the company who will work on initiating the project of constructing an emergency department in Arizona. These strategies have to be formulated and enforced by the project manager. These strategies will take care of various aspects such as budget, permanent and temporary resources, quality assurance and communication.
The first strategy that will be used in the project will be to organize a management committee that will be comprised of all the people from all the groups involved in the project. These include laborers, organization, customers, and stakeholders. It is necessary to involve all the groups in the management of the project resources so that there may be no conflicts and to improve the motivation of each group (Padilla & Carr, 1991). For example, the stakeholders have to be represented in the management of the resources so that they can ensure that that their investment is not being misused. This strategy will increase diversity in the management team hence ensuring good management of the resources.
The other strategy that will be used in the project will be to ensure that there are documented agreements between the organization and the management. There are many contracts that have been breached because there is no documentation to accuse the other party. This issue has made many projects to be stopped before completion while others have been stagnated to be resumed after some time (Pich, Loch & Meyer, 2002). This strategy will help in ensuring that there is evidence of supplies that will be made and the costs that have been agreed by both the organization and the suppliers. The contract has to be signed by all the parties involved so that in the case of contract breach that can be evidence that will be used to take action against the party that has broken the agreement.
Quality is an important factor for the prosperity of the project; because the emergency department is of low quality then it will not be able to serve its intended purpose. The project has come up with the strategy that there will be frequent tests by respective specialists on the quality of the construction. For example, the company will be hiring random engineers apart from the ones contracted so that they may test the quality of the building. They can test the design and the durability of the walls. This strategy will help in ensuring that the project will have constructed an emergency department that is of top quality. This will also prevent the company from using a lot of money in coming up with a low-quality emergency department (Larson & Gray, 2011).
Communication is essential in any project so that there can be a passage of information from one party to the other. For example, there may be a need for communication between a laborer and the project manager. There must be a good communication process in existence so as to ensure easy communication. The project has the strategy that there will be open call-lines for all the leaders of all the groups that comprise the project. People will be consulting their leader in case, of any issue and then he will pass the message to the intended person. These numbers will also be provided to all people in the project so that in case their leader is not around they can still communicate. For example, laborers will have their leader. This is the person who will be passing all the information to the project manager.
Documentation is important for any project. This is because these documents are the ones that are used in case, there is a need for reference in future. The project management has come up with the strategy that all processes of the day should be recorded and forwarded to the project manager. For example, laborers have to record the amount of cement they have used that day. These documentations can be forwarded to the organization if need be so as to show the resources used. In case the processes are not documented daily then there may arise issues such as theft of construction materials by laborers, and also misplacement of project funds (Pich, Loch & Meyer, 2002).
There are changes that may arise when the project is still in process. There should be strategies that will explain how the project management will initiate the changes. The strategy to be used in this aspect is in the case of need for a change; an individual should forward the claim to the project management team who will discuss on whether the change is worth being initiated or not (Larson & Gray, 2011). This is because the change will interfere with the schedule of the project, and also the budget. In case the project management allows the change then it will allocate the necessary resources for the initiation of the change. This shows that a party should not implement a change that they see necessary. This will ensure adherence to the work plan of the project.
The budget of the project is one of the resources that require intense management so as to prevent misuse of funds. There are strategies that will be used in managing the funds of the project. The first strategy is that all money transactions will be made by the management, and the transaction has to be authorized by the project management team (Andersen & Grude, 2009). This strategy will help in preventing individuals from authorizing transactions that could lead to misuse of funds. The other strategy that will be used in managing the project funds is that receipts should be issued for all transactions. These receipts will be used as evidence of who the money was sent to, and how much was sent. These are the receipts that are used in making sure that the project is working with the estimated budget. The third strategy that has been formulated about the budget is that in case a transaction is to be more than the assigned budget then it should be put on hold until the management team discusses the issue with the management. This strategy will help in ensuring that the project is within the budget and that there will be the identification of transactions that required more money than the initial budget.
Projects require a strategic plan so that they may achieve their objectives and goals. However, these strategies should be taking care of all the processes and resources that are employed in the project. Again, the management team needs to be vigilant in the enforcement of the strategies so that the project can be completed according to the work plan.
