Plan’s Implementation
A plan’s implementation is a document that is developed to reflect its future goals. The plan most of the times indicates where the body needs to be in the next three, four or five years to come. The plan is developed such that it has a structure and various responsibilities that dictate what should be done by a particular group of people. There is the board of director. The liability of the board is to provide a link between the organization and the outside environment where the organization functions since the board are normally nonprofit in nature. It is also responsible for ensuring that the community meets the goals it’s supposed to meet, to come together with the needs of the community that must be addressed are met. The Board also participates in the plan development and implementation. It also approves the plan. There is also the executive leadership that handles implementing the plan. It’s the body that works hard to ensure the goals of the program are implemented. It also carries out the actions that have been written down in the project to ensure that the program is implemented (Goleman, 1998).
There is also the quality improvement committee. The committee handles necessary changes to ensure the plan meets the goals and is standard. It acts as an overseer to ensure the services provided by the organization are quality and meet the set standards. The other body is the medical staff. The medical staff handles health advice to the group. It addresses the health hazards that are likely to face the team and advises accordingly on how to overcome the challenges. The team is also responsible for giving medical care and advice to the employees who fall sick. There is also the middle management. The responsibility is to oversee the execution of the plan at the average level. The team makes sure things are running smoothly without delay in line with the set policy. It ensures the program is implemented on the intermediate level. Lastly, there is the department staff. These are members who are placed in the various departments. Their duty is to meet the objectives of their respective departments that are in a line with the plan (Geier, 1999).
Communication is a very crucial tool for the success of any organization. It helps an organization monitor how the performance is fairing on. It is essential for an organization to have a clear communication channel to ensure activities run effectively in the company. The performance activity outcomes are usually communicated to the stakeholders of the organization since they affect each stakeholders starting from the customers to the top management. There is a data manager who handles communicating performance activity outcomes. He is in charge of preparing data reports after the data has been collected (Simms, 2000).
It is necessary for each and every member of the staff to be educated on the plan. When every staff is aware of what’s happening, and what is expected of them, it becomes easier to implement the goals of the scheme. Initially, the board handles coming up with the idea. After the board has initiated the plan and approved it, then all the staff and stakeholders are informed about the program. Most of the times, the education of personnel begins with a ceremony where the strategic plan is launched. At this point, every staff becomes aware of the existence of the scheme and the goals that are expected to be met by the set period. After the launch in a ceremony, the staffs are generally taken for a retreat for several days where an exposition of the plan takes place. During this time, each staff is explained for their responsibilities. Training is also carried out in departments with each being taught what is expected of them at the lowest level. It makes it easier to implement the plan when the staffs resume work since they know their part and they were involved in the plan from the beginning (Kelly, 2004).
It is important for an organization to conduct an annual evaluation of the project. The assessment is important as it helps the organization determine where they are in terms of implementing the program. One of the elements that is usually evaluated is a time frame. It helps determine whether the organization working within the set time-frame or not. It is necessary for the plan to be achieved within the set time-frame. Another element that is typically implemented is the budget. It helps determine whether it has been possible to stick to the set budget or not. The resources are also evaluated. It helps establish whether the resources have been available that are necessary to meet the plan for that specific year. The challenges and also the successes of the year are also evaluated and compared to help determine the areas that need to be improved in the coming year. It’s important to monitor the effects of changes that have been implemented. It is normally possible through establishing the success that the organization has achieved since the changes were evaluated. Interviews are also done in the various departments to determine the challenges the staff is encountering. The time was taken to offer services are also monitored to establish whether there is an improvement since the changes were implemented (Geier, 1999).
The external bodies have an influence on the performance of the organization. The government agencies make the group put extra effort since it has to pay tax to the government by the end of the day. The company has to go an extra mile to ensure even after the taxes are paid, and they have achieved the goals they intended to make. The accrediting bodies keep the organization on toes. It makes the organization keep up to the standards else it risks being denied the license to practice. The body ensures that the services provided are quality and meet the customer demands. The professional interest groups keep the staffs on toes in terms of improving their knowledge often. The body ensures that the staff is continually advancing career-wise in improving the quality of services they provide in the organization (Goleman, 1998).
One of the challenges that can interfere with the implementation of the plan is insufficient resources. The body may fail to get the finances they require to implement the set goals. Another challenge that can interfere with the implementation is time. The goals may be requiring more time than expected to be implemented. Another factor is when the personnel with the required skills are not available to execute the set goals. One of the strategies that can be put to ensure quality implementation is defining clearly the sources of the funds. It will help to implement the plan successfully since the company will have set the sources of the finances. The other strategy is having a time allowance since sometimes time may be insufficient. The contribution will ensure the goals are met at the defined times. The last strategy is having personnel with the relevant skills consulted early in advance and having a back-up in case one of the staff fails to implement the skills (Kelly, 2004).
