Assignment: Your Past Event

Once the Professional Conference Organizer (PCO) has determined the objectives for a meeting, the next important task is to select the destination. This is the general location of the event. It does not include selecting the facility and additional sites.

According to the Convention Industry Council, destination is the third most important factor in the initial planning process (behind knowing the audience, and meeting objectives).

You have been asked to plan a 50-year anniversary celebration and meeting for 1000 employees of a well-known consumer food products company located in Kansas City. In the past they have held their previous conventions in: Chicago, New York, Los Angeles, and Las Vegas in the U.S. This year they are looking to go somewhere new.

Checklist:

 As the PCO you will analyze the factors below and consider your given client parameters to suggest two possible cities for this year’s convention.

 Provide a minimum 2–page synopsis of the two cities you will recommend to the client assuming that budget is not a factor in your choices.

 Make sure you explain the reasons for choosing each city as each relates to the client parameters and factors (see list below) under consideration.

 Remember, the client is going to accept your recommendations, so be specific as to why each location would be a good fit. This will enable your client to select the meeting destination from your choices.

Client Parameters:

The event should be held in the last quarter of the year.

Identify 2 possible cities (other than the previous years’ cities) with a venue large enough to host the banquet with about 1500 attendees (which includes some spouses).

Factors:

Season

A selection of hotels/conference facilities, etc.

Availability of off-site event venues

Attractions in the destination

Consider ease of air transportation to conference destination

Ground transportation

Crime
