Project Description
* The significance of this development is to provide the City of Tucson Attorney with Case Management Software
* The primary challenge of this project is to provide an established, open system standards-based solution that necessitates little or no custom software development to meet the requirements stated in this solicitation
* The desired outcome of this project is to improve productivity for the City of Tucson Attorney in this management of cases.
Measurable Organizational Value (MOV)
- The principal measure of value for this project is to provide the City of Tucson, AZ with a case management software application to increase the efficiency of the City Attorney and staff. In addition, provisions are implemented for a new case management application to replace the use of the outdated software. Employee satisfaction with the new progressions can be reviewed and applied further to examine the business progress of this project.
Project Scope
· The City of Tucson Attorney’s office with the offices of staffing and secretaries will renovate to new computer systems, upon approval. Also, a new implementation copy of the new case management software in a client/server configuration to allow all members of the City Attorney’s staff real-time access to modify case details and information.
Project Schedule Summary
For this project, a realistic timeline needs setting to complete the project. “A very significant part of the planning process is a timeline. The schedule will repeat postmortem to determine whether the project remains on track, when a project ends, what initiated deviations, and how problems are handled in the future” (wiseGEEK, 2011).

Delivery of resources anticipated on October 15, 2013
+ First computer outfitted and installed with case management server on October 16, 2013
* Milestone – Effective installation of initial case management client computer and software on October 17, 2013
+ Start transmission of earlier records from old system to new system on October 18, 2013
* Milestone – Effective installation of all equipment for testing
+ Complete install of two additional client computers with software on October 21, 2013
* Milestone – New System Live
+ New systems live on October 28, 2013.
* Project Goal – Successful installation and testing of all three clients.
+ Ongoing testing, maintenance, and customer surveys to determine satisfaction with the case management software.

Project Budget Summary
The assessment of the City’s cost total for the system will contain components including all or some of the following: installation, hardware, software, hosting fees, consulting, travel, maintenance, and training.

* Adhering to the schedule is essential to keep labor costs within budget.
* Customer satisfaction is important to project success, so testing must meet or exceed customer standards.
Resources Required
* People – 2 Information Technology staff for hardware and software installation and configuration.
* Technology – The technology requirements for this project are minimal outside of the computer hardware being purchased.

* Communications Plan
* The communication plan to circulate the news regarding the new case management software will happen via several methods. The city has a daily newsletter, which will administer daily reminders about the change. An email will also be sent from the city office to employees regarding the new case management software implementation.
* Scope management plan
* The primary aim of the scope management plan is for the Logistics and facility managers to ensure that no unauthorized computers are operational with the case management software due to security issues.
* Implementation and project closure plan
* The technical implementation of the case management system for City of Tucson Attorney’s office will have security features to safeguard employees and litigants from information theft via strict username and password guideline enforcement. In addition to the new security processes, outside intranet access to the facility will encounter restriction placements.
