Assignment 2 ICM_COMP1260 Fall 2014 Guidelines:
1.) Assignment 2 is designed to examine your skills on the advanced features available in MS Word 2010, including, but not limited to, complex text formatting, styles, section properties, table of contents, text box, columns, graphics, footnotes/endnotes, WordArt, mail merge, etc.
2.) All your documents must be in the OOXML format, which means that all the word files you submit must have an extension of “.docx”.
3.) Format your document according to the “General Document Specifications” below and follow the section of “Three Steps to Complete the Assignment”.

Assignment Description
Assignment 2 is about a book club founded by ICM students. This club publishes fine quality illustrated versions of old books that are no longer covered by copyright (e.g., the works of Shakespeare or Dickens). Pick a name for the book club that somehow incorporates your own name. For example, student John Smith might choose Smith’s Book Club. As the chief editor of the ICM Book Club, you are responsible for preparing a brochure for November 2014. The club members are all from ICM (e.g. ICM students, staff and instructors). You need to create a 9-page MS Word document first and then use the mail merge function (available in MS Word) to send the brochure to five different reviewers for preview. Their basic personal information are contained in a single table (one-page data document). Therefore, the assignment, that you need to submit, should consist of the following two files: � FamilyName_FirstName_ Data_A2.docx � FamilyName_FirstName_ Brochure_A2.docx
General Document Specifications:
� The regular body text (Normal style) of the document should be in full justification with a serif font and font size of 12pt. Heading 1 and Heading 2 should be a serif font with 16 and 11 font size, respectively. Headings should have a background shading that extends over to the width of the page.
� Create a new style named as “YourInitials_Header” for all the headers. � Page numbers should appear only where specified. � You must insert a section break (next page) at the end of each page (except the last page) in order to set the
proper page orientation and header for each page. � The Brochure document must contain at least two footnotes. � Create a new named style, with both character and paragraph formatting different from Normal, to use for
sidebar text on the second detail page. The text size should be larger than Normal. Name it with your last name: e.g., “Smith Sidebar”.
Three Steps to Complete the Assignment
Step 1: Create the data document (FamilyName_FirstName_Data_A2.docx)
� This document will be used as a data file to mail-merge with the main document. � It must be in a landscape orientation. � Insert a table with 8 columns and 6 rows. This document has no other content. � First row of the table must show the field names; e.g., FirstName, LastName, ICM Status (student or staff or
instructor), Gender, Mother Tongue, Region (Asia or Africa or Middle East, etc…), Address, and Postal Code.
� The rest of the 5 rows will have the information of 5 club members (reviewers) of the letter in the main document. You can make them up or use names of real people, such as celebrities or famous politicians, etc.
Assignment 2 ICM_COMP1260 Fall 2014 Step 2: Create the Brochure Document (FamilyName_FirstName_Brochure_A2.docx)
The main document (Brochure) should have ten pages: a one-page Cover Letter, a Brochure cover page, an ICM schedule page, a Cover Page of the Book, a Table of Contents, three pages from the three chapters of the classic novel that you picked, and an Order Form page. Specific formatting requirement for each page is given in the following 7 sections. You do NOT have to compose any content for this Brochure except for the Cover Letter page and the Notes page.
Section 1: Cover letter to be sent to five reviewers [Cover Letter Page] Compose a cover letter with standard layout (portrait orientation), including address block, salutation (such as Dear Ms. Green), body and closing (such as Best regards…). No page number should be displayed anywhere in this page. Refer to Figure #1 in the Figures PDF file. � Create your own logo for your club using WordArt. Or you may also use free logo-generator website like
www.cooltext.com. Insert the logo such that it is only displayed in the header of this page. � The body of the letter must contain a letter to the five reviewers and ask them for comments. Briefly tell the
editors about the content of the attached Brochure. � Mail merge:
o Merge fields for the name and address of the editors (recipients). o Insert a date field on top of the address block that always displays the current date. o Use mail merge to link this document with the data document. Linking is automatically performed at
Step 3 of the Mail Merge Wizard (select recipients). You will then be able to generate personalized copies of cover letter for all the editors.
o Use IF…THEN…ELSE option of mail merge so that the letter displays ‘‘Please show this brochure to your other English native speakers and let me know their comments’’ if the reviewer’s mother tongue is English. Or ‘‘Please show this brochure to other international students whose mother tongue is not English’’ if the reviewer is an ICM student whose first language is not English.
Section 2: Brochure Cover Page � This page must be in landscape orientation. � This page CANNOT have any header, footer or page number. � Create your cover page using text box and images. Use clipart for your image sources to avoid any copyright
issues. � Insert a large text box to cover the whole page (including the footer and header area) and set a background
color for the text box. DO NOT use the “Page Color” option in MS Word. � Same logo created in the cover letter above should be used in this cover page consistently. � Refer to Figure #1 in the Figures PDF file.
Section 3: ICM Academic Schedule The purpose of this page is to remind students about the important dates of the current fall semester 2014 and release the academic schedule of the upcoming winter semester of 2015. This information can be found in a MS Word file, available on the website of this course in the ICM portal website. Copy the two tables from the Word file and paste them into this page. Refer to Figure #2 for general formatting information. � Two different table styles (available in MS word) must be used and applied to differentiate two tables. � No headings on this page.
Vertical alignment must be set as “Center” for this page.
Assignment 2 ICM_COMP1260 Fall 2014 Section 4: Cover Page of the Book Create a single page in portrait orientation with the name of one of the books and the author, vertically and horizontally centred in large type on the page. Use a background that looks reasonable for the cover of a book. The background should cover the entire page (no margins should be visible). You may use the Cover Page feature, or insert a picture or a rectangle with a textured pattern into the header and expand it so that it covers the entire page behind the text. There are to be no other headers or footers on this page. Refer to Figure #2 for general formatting information.
Section 5: Table of Contents This page will contain an automatically generated Table of Contents. It is filled out with the names of the Heading 1 and Heading 2 lines from the rest of the document. It should therefore be one of the last things generated when producing this document. � This page should have a thin page border around the outside, 1 cm from the outside of the page. � This page should have no header and no footer. � The Table of Contents should have at least 7 lines of content. You are allowed to insert new headings in the
text that were not in the original document, but mention on the Notes page that you have done so. � Refer to Figure #3 for general formatting information.
Section 6: Detail Pages [Page #1, #2, #3] As demonstrated in the class, go to the website http://www.cs.cmu.edu/~rgs/alice-table.html (Project Gutenberg) to copy part of Chapters you selected from one of the Classic Books written by Lewis Carroll. � You need to insert a page number for this page at the footer. The page number should be started at 1 and
showed as “Page 1 of 4”, meaning the first page of your four-page Brochure. � Each detailed page should have a header containing the name of the book from which the text on the page
was taken. Apply the new style “YourInitials_Header” you created for all the headers. The footer should show the page number, starting with page 1 on the first detailed page.
� Each detailed page should have a major (Heading 1) heading across the top that spans the width of the page. The first paragraph of text after this heading should have a dropped cap. As stated above, you may add extra section (Heading 2) headings as you like provided that you mention on the Notes page that you have done so.
� The first detailed page should use two-column text underneath the single column heading, and it should have a picture that spans the two columns at the bottom of the page.
� The second detailed page should use two-column text underneath the single column heading. You need to use a continuous section break to achieve this. o It should have a “Pull Quote”, a sidebar between the two columns, in which you quote a provocative
phrase or sentence that appears elsewhere in the page, using your sidebar style. o You have at least 2 heading lines on this page, with at least one in each column.
� The third detailed page should use single-column text underneath the main heading. o It should have a non-rectangular illustration, with text wrapped tightly around the picture content (that
is, the text boundary does not follow a straight line). [Hint: “Edit Wrap Points” is grayed out for most picture files, unless you create an irregular shaped graphic by setting the background colour to “transparent”. This is done in Picture Tools ... Format ... Recolor ... Set Transparent Color (using the eye-dropper to touch the background). You need to select a suitable illustration with a uniform-coloured background. An easier approach may be to adjust a picture shape after clicking on the picture with Picture Tools ... Format ... Picture Shape.]
� Refer to Figure #3 and #4 for appropriate settings.
Assignment 2 ICM_COMP1260 Fall 2014 Section 7: Notes Page [Page # 4] � This page should be in single column format. It should have no header, but a page number footer like the
detailed pages. � The page should have a major heading of “Notes” at the top.
o There should be a note for every location in your document where you obtained text or illustrations from an outside source, or where you made it yourself. Give the source of the material, and state why you think you can use it here.
� The page should have a major heading of “Order Form and Prices” partway down. Create a form that could be cut out and mailed in to order the books. It should contain your company logo, ruled areas to write in a mailing address (with the fields shown in the sample), and a checklist of the books available for order. The form should be created using table cells and borders, text, and the logo image; no text boxes, drawing tools, or other images should be used. o In each price row, include the name of the book (possibly abbreviated), and a price in dollars. The price
should use a decimal tab to line up the prices at the decimal point. The tab should also have a dot leader between the end of the book name and the price. The check box can be inserted as a symbol or as a bulleted list. Recall that Ctrl-Tab must be used to advance to the next tab within a table cell.
� Refer to Figure #4 for appropriate settings. � Page number should be showed as “Page 4 of 4”.
Step 3: Submit the assignment!
The assignment must be submitted through the assignment submission form available on the portal (http://learning.icmanitoba.ca). The submission form is time sensitive and will not accept any submissions after the deadline.
