The creation of a web based system registration system is of much importance to any learning institution. The creation and management of an accurate, up-to-date information regarding a student’s academic career is also of very much importance to the management of any University. A few decades ago Universities, Colleges and other learning institutions used to rely on paper records to store, maintain and track student’s information regarding registration, classes, exams and academic progress. The design and implementation of a comprehensive student registration system and user web interface is a major breakthrough which allows users the accessibility of information and the receiving of services online.
The student online registration system features the tracking of users’ access and ensuring the conformity to data access guidelines. The system will increase the efficiency of the institution’s records management, decrease the workload of staff members needed to access and deliver student records to users throughout the day, and ultimately assist in filing of records for future reference. It is anticipated that the system will enable efficient day to day activities in the university in all its departments and ultimately allow the staff members to improve in service delivery to its students and external parties.
Since the institution has three departments namely; administration, department coordination and student affairs, I will implement a student registration system in a way that the student registration process could be atomized. Currently the information at the University is processed through manual systems which is very time consuming, untidy and very difficult to amend. The University does not have a proper IT infrastructure which can be used to register students at the moment. Due to this situation the University is facing a handful of challenges since it lacks accuracy, has a low speed of response and has non-systematic storage allocation.
The student registration system will allow the registration of students in an automated criteria allowing students to register for various courses. I have proposed that when a student registers for any class, his admission will be made on the basis of his previous records which will be maintained in a database. The students who wish to register at the institution will be provided with the available full course details through the web based registration system such that they will be able to access it from where they reside on the global platform. The registration will be based on the basis of the student’s performance on their previous schools. After passing through the registration process the students will be allocated new identities. This document will outline a detailed description of the web based registration system. It will explain the features and purpose of the system, the interfaces of the system, how the system will react to external factors and also the constraints under which the system will operate.
The main purpose of the system is to automate the processes carried out in the institution with improved performance, reliability, efficiency, and cost effective means. The assumption and dependency of this system is that if the number of students for the same course exceeds the allocated size, there would be an automatic cancellation of the registration by the institution. The first come first serve policy applies and the admission are solely based on the institution’s principles and policies.
Some of the goals that are going to be achieved through the implementation of this system include the following.
· Managing a large information database regarding students and academic data.
· Managing all the information regarding the students who are registered for all courses and submit the appropriate information to the specific student’s account.
· Creation of student account and maintaining of the information effectively.
· Enabling the viewing of the students’ details by the administrators.
· Enabling activities regarding the updating, modification, deletion of records in an easier process.
· The system will also support the undoing of previous processes if needs arises.
The general requirements of the system includes the following:
· The system will enable the provision, representation, and storage of static course and class information.
· The system shall provide, represent and store dynamic course information.
· The system will provide an emailing system and text messaging system.
The following are the student’s requirements that will be facilitated by the system:
· The system shall enable the students to retrieve information about courses, classes and their professors or instructors.
· The system shall provide the history of all courses, professors and academic progress of the institution over the past years.
· The system will enable students to subscribe and unsubscribe to classes, courses and view exam results.
· The system will allow students to share notes, files, and other course materials with the goal of facilitating collaboration environment in a specific course.
· The system will allow the students to download and upload textual content for academic purposes.
· The system will allow students to send messages and emails to individuals including professors and instructors, teams or other course participants with the goal of upholding academic progress.
· The system will allow students edit their personal information as well as change their passwords.
· The system will be able to facilitate searches of static and dynamic information on course offered by the institution.
· The system will have the capability of notifying students about news and events that the institution finds appropriate through messages, emails, team invites.
· The system will allow the viewing of grades, and examination results statistics at the end of the semester and after each academic year.
The performance requirements of this web based student registration system include the following:
· The system database will only be able to accommodate 10,000 records of students.
· The online application will be able to sustain network traffic by supporting multiple users at the same time.
· The system will be able to provide the access to legacy course database with a latency of less than 10 seconds.
The non-functional requirements are outlined below:
· The system will be available 24 hours a day throughout the year such that the users will be able to access at any time.
· The system will be scalable therefore meaning that it will allow many courses with many students.
· The system will allow reliable and secure online activities.
The functional requirements of the system include the following interfaces:
Registration: This will enable students to register classes and courses.
Logon interface: This will facilitate the students, professors, course registrars and system administrators to log into the web based system.
The student billing interface: This will be the interface which will allow administrators to track and at the same time notify students on billing charges as needs arises.
Examinations interface: This will be used to display grades and examination results as soon as they are out. It will also help the administrators’ to display academic statistics of the institution.
