Project Management Journal

Project Journal

· February 3th

· Today was mostly spent assembling the group and brainstorming. We exchanged emails and phone numbers. With this, Ali’s idea about collecting used books stood out the most. For now, Ali will take the lead.

· February 10th

· We met briefly after class to further discuss the finalization of our project topic. We asked questions regarding where we could get used books and some of the basic requirements.

· February 17th

· Today we made the final decision that we will be managing the collecting used books for underprivileged families’ project proposed by Ali. We as a group focused more on producing detailed requirements and started thinking about what the expectations from the client/end user would be.

· February 24th

· It is nice to see things moving along. Today we reviewed the first draft of the project plan. There were a few gaps at the time, but it will become more defined and likely change as we progress.

· March 10th

· This meeting allowed for us to get a lot accomplished. I contributed event coordination ideas from my experience assisting with the coordination of medium-sized music conventions and a couple of events I was a part of to help the less fortunate. We also put together a draft of the WBS.

· March 17th

· Using the WBS as a reference, we discussed and distributed work accordingly for the weeks to come.

· March 24th

· Today we focused on budget and resource allocation. I factored in corporate support to our models and we were able to envision the budget from both optimistic and pessimistic viewpoints. We prioritized resources, staff, and activities accordingly and contingency plans for lower than anticipated book-vendor support. The other team members put together cost estimates for resources and staffing.

· March 31th

· We discussed risk in brief and scheduled events based on priority and budget.

· April 7th

· After reviewing the budget in further detail, we decomposed it for risk analysis. I assembled a 5x5 risk matrix chart to be used officially. After identifying the risks, we discussed mitigation of the risks that warranted the most attention (highest consequences and likelihoods). In light of risk management, Najla reminded us about quality management and that we will discuss it in our next meeting.

· April 14th

· Today our focus was quality management as reinforced by the client. Officially, we decided we can quantify quality with feedback after the event.

· April 21rd

· Tonight we reviewed and determined items to be in our paper/presentation. We finalized the event planning, and Abdullah has made sure that no task will get overlooked. Lamya and I together decided to take measures against high consequence risks such as cost overruns and plan changes, respectively.

· April 28th

· Everything is more or less finalized, and tonight we will put it all together for the paper and presentation slides. After some revisions, edits, and rereads, the final draft will be completed via email.
