Profile of E.shine
E.shine is an event management group working in Shangri-La Hotels and Resorts which is built at the same time as the company in 1971. And E.shine has held more than one thousand events since its establishment and achieved high prestige about its superior and excellent services. E.shine possesses high level employees who have a lot of years work experience including wedding planning worker, golden master of ceremonies, professional video maker, and perfect make up worker, and so on. The management group will display a colorful weeding what the guest real want to have, such as E.shine can hold wedding in various styles, e.g. the Chinese style, church wedding, yacht wedding, candle wedding, air wedding, and lawn wedding and so on. In addition, the group will design the wedding according to the customers’ personal preferences and image, which can guarantee the uniqueness and specialty of the customers’.
The mission of E.shine is to delight our guests every time by creating engaging experience straight from our hearts, which is the same as Shangri-La’s mission statement, however E.shine will provide different slogans according to the various types of events organized by our group. For instance, the group strives to deliver a concept of this wedding held in Shangri-LA Hotel, which is “One Wedding, One Dream”.
Resources available
Take the last wedding held in Shangri-LA Hotel as an example; the resources needed in the last wedding can be used in the coming wedding as well. For instance:
Cars:
There was a luxury car group responsible for carrying the guests and the main car for the brides and groom was Lamborghini, which is a perfect choice for the couple in this wedding.
Flowers:
There was a large amount of pinky roses and lily used in the last wedding; however more fresh flowers will be available in this wedding.
Wedding hall:
The last wedding was held in Shangri-La Banquet Hall and this one will also be held there.
Music facilities:
The Yamaha Musical Instrument Company was the main sponsor for the last wedding designed by E.shine and it will continue be the partner of the flowing wedding.
Food & beverages:
In the last wedding, Shangri-La food and beverage department was in charge of the food and drinks during the wedding and this wedding as well.
Wedding costume for the bride and groom:
Vera Wang and Armani were the main sponsors of the costumes during the wedding, especially the bride’s wedding dress and the groom’s wedding suit and this time they may be continue to be the sponsors of our event for the reason that there is good cooperation.
Working staff:
E.shine will always be responsible for the make up staff, ceremony host, video maker, photographer and hotel service staff.
Project partners and their profiles
In terms of the partners of this wedding, the different departments in Shangri-La are indispensable because they gave much support to the event, e.g. food and beverages, security and the like.
On the other hand, there will be a lot of sponsors or investor to this wedding, for example, the Vera Wang, Armani, Yamaha piano, Cartier jeweler and so on, which are mentioned before.
At last, the couple of the wedding is also a type of partner to the E.shine because the group can get money from them and make good cooperation with them.
Event concept and format:
This is a private and typical western wedding. The host organisation is the Shangri-La Hotel Wedding Management Group—E.shine which is a department of the hotel. This wedding is held for a young couple and the guests of the wedding are all relatives and friends of the couples’. In order to create a sense of romance to the clients, the decoration of the wedding venue; the flowers that the bride carries; the wedding cakes; the candles; balloons and the like are all pinky for the reason that pink can create a sense of romance and fairy tale style to the wedding, which can also represent the pure love between the bride and groom.
Event objectives:
The objectives of the wedding are to celebrate the wedding of the couple, making the couple have a beautiful memory. On the other hand, we should let the friends and families of the couple enjoy their time in the hotel and have a satisfaction for our service. The wedding is also the proof of their marriage. The purpose of the event is to increase the reputation of our hotel creating more profit to the hotel, and providing high standard services to the customers. We try to make low costs and more benefit to the hotel and our departments in Shangri-La.
In order to hold the once lifetime wedding unforgettable to the couple, there will be three stages available for the customers made by E.shine, which are preparation stage; ceremony stage and entertainment stage.
· Preparation stage
3:30pm—4:55pm: some preparation work will be done during this period, for example, the staff briefing which should be guaranteed by the team leader of E.shine, the leader should make sure all the information about this wedding is delivered to the working staff; the table arrangement and the decoration of the venue are all completed during this stage. At the end of this stage, all the staff should be standing along the main entrance of the wedding hall to greet the guests.
· Ceremony stage
5:00pm—6:35pm: this period is the ceremony stage which contains guests arrival, drinks provision, photographs taken, wedding ceremony and the dinner time. The most important part of this stage is the ceremony held for the bride and groom’s marriage and there will be a well-known host for their wedding.
· Entertainment stage
8:30pm—3:00am: in order to delight the guests come to the wedding, an entertainment stage will be provided to the customers after the dinner time. There will be some amusing and diverting shows available for the comers because E.shine strives to make the wedding not only a ceremony for the customers but also a significant experience to all guests.
Key stakeholders
As the theme of the wedding is romantic, hence the decoration of the hotel should be relative to the theme, for example we could use flowers, candles, balloons and so on to express a sense of love and romance. In addition, the food provided to the customers should be corresponding to the wedding, e.g. wedding cakes, special wines for the wedding, etc. Hence, there should be close and good relationship among these stakeholders to guarantee the rationality of the wedding held by our event management group.
First of all, it is wise for our group to clarify the different key stakeholders in order to hold the wedding successfully, and there are six main stakeholders involved in the event, which are host organisation, host community, suppliers, co-workers, media and volunteers.
· Host organisation
The host organisation of the wedding is the event management group – E.shine who works as a part of Shangri-La Hotel. The group is responsible for the design and management of the wedding, e.g. the decoration of the wedding site, the control of the procedures, the monitoring of the risks and the like.
By successfully holding the wedding, the event management group E.shine will achieve more experience and reputation besides the financial income.
· Host community
The wedding will be held in the Shangri-La Hotel banquet hall where is special for holding all kinds of events. All the departments in Shangri-La will assist E.shine completing the wedding properly, hence, the successful hold of the wedding can enrich the culture and experience of the hotel, on the other hand, the hold of wedding in the hotel may create some joyous atmosphere to the hotel in some extent.
· Suppliers
In terms of this wedding, the main supplier is the Shangri-La Hotel because the hotel is responsible for the supplying of food and beverages of the wedding. In addition, there may be some other suppliers related to the wedding, e.g. the flowers company, the company of wedding cars and the like. All the suppliers can get appropriate profit from the wedding.
· Co-workers
The co-workers of this event are main the hotel staff because no matter the design group E.shine or the waiters during the wedding are both workers of Shangri-La Hotel. They are working as a whole team for the wedding.
· Media
As the wedding is a private event, the attendants are most family members or close friends to the bride and groom, there will be less demographic restriction to the design of the wedding. The media involved in this event may mainly be the photographer and video maker who can take photos and videos for the customers.
Media is an indispensable stakeholder to the wedding, on one hand; it can create unforgettable memory for the married couple by taking photos and making wedding videos. On the other hand; media can also be an evidence provider to the wedding management group—E.shine through the photos and videos made during the event. Hence, these information and data could be used by E.shine to promote its services to the potential customers.
· Volunteers
The volunteers participated in the wedding are most the hotel volunteers who have the experience of assisting holding an event. They can provide the hotel suitable labour and brains support. In the meanwhile, the volunteers could also receive rich experience and knowledge by working in this wedding.
Venue assessment
The main venue for the wedding is the Shangri-La banquet hall which is a luxury and prestigious events holding place in the hotel. In order to hold the wedding successful, some risk assessment should be taken into consideration:
· Venue capacity
In terms of the capacity of the hall, it can be accommodated by 300 people, however there will be only around 80 guests attending the wedding; hence the risk of trip and fall or slip is low. In addition, the cleanness and tidiness of the floor should be guaranteed in case of some accidents.
· Layout of the venue
There should be reasonable layout of the holding place, for example, the working space should be enough for the staff to serve the customers. On the other hand, enough training and monitoring are necessary for the service staff making them professional in order to prevent any clash during the service,
· Fire way
The fire prevention facilities and escape path should be well designed for evacuation. The training of the usage of fire facilities is mandatory to each staff in case of fire.
· Hanging decorations drop off
The hanging decorations such as the lightings or other hangers may drop to the customers bring them injuries. As a result, there should be periodical check on the decoration of the banquet hall to make sure the successful hold of the wedding.
· Risks in the kitchen
Firstly, the safety of working in the kitchen should be guaranteed, e.g. it is better to provide the chef professional working suit to prevent any fire burn.
Secondly, the ventilation in the kitchen should be well designed to prevent any risk of gas leak.
Lastly, the event management leader should pay close attention to the food and drinks provided to the customers, food poisoning cannot be occurred in any mega event as it is fatal to the success of the wedding.
Marketing ---Promotion
The promotion of this wedding includes advertisement on the Internet, TV, magazine, poster, and so on. Because of our group – E.shine has many videos about wedding held before, so we put them on the Internet, for example, Youtube. People can see the videos when they search videos about wedding. They should have an impression for E.shine. We also invite some celebrities who held wedding in Shangri-La to make advertisement to promote E.shine, and then put these advertisements on TV and Internet. Make some beautiful poster in some places where there are many young people. We make some leaflets to the place where is relative to the wedding, such as matrimonial agency, and flower store. The young people prefer flower stores during variable festivals, for example, Valentine’s Day, they will see the leaflets in the store, which is a good way of promotion. We can also put them on the promotion table of Shangri-La hotel, then the friends of the bride and groom can get it and it is also a promotion for E.shine.
There are some sales promotions for E.shine. We have some discount vouchers for the guests of the bride and groom. They can get the discounts if who need wedding next time, if they want their weddings held in Shangri-La. During the wedding ceremony, there is a part called lucky draw for the guests who attend the wedding and the largest award may be one night free live in Shangri-La hotel, which will be very attractive for the customers.
Budget
The couple will spend £8800 in total for their wedding which includes £5400 on the food, £3000 on the drinks and £400 on the additional items of the wedding. There will be 60 guests attending the wedding and the event management group E.shine will strive to guarantee the hotel 70% profit for the wedding, therefore £2640 will be spent on the wedding in fact and Shangri-La Hotel will achieve £6160 income without VAT. Stakeholders’ management plan
· Host organisation
· The host organisation of the wedding is E.shine.
The E.shine belongs to Shangri-La Hotels and Resorts and the purpose of the group is to bring benefit to the hotel and their working employees, hence, E.shine needs to plan, arrange the work, analyze the problem and solve them, know the needs of customers, and then the group could get the maximized profit.
· Other departments
Other departments in Shangri-La Hotel help E.shine managing and monitoring the wedding, hence, hey also have many responsibilities to the wedding, for instance, to train staff more professional,keep the quality of product and service and the like. Their efforts will also determine the success of the event. If the event is running well, it will bring a large amount of benefit to them. As a result, E.shine needs to attract more customers, monitor the service process to improve service quality in order to bring profit to the other departments of the hotel.
· Host community
As one of the stakeholders, Shangri-La hotel needs more people to come for consuming, if the event is successfully run, more profit will be available for the hotel. As a result, E.shine should organise the event properly and safely in order to create large profit to Shangri-La.
· Sponsors
· Photograph sponsor
The photos of the couple are free because they are taken by a new photograph studio and we committed for its promotion during this wedding, so we use the logo of the studio as the background.
· Wedding dress sponsors
In the last wedding, VERA WANG is the main sponsor for the bride’s wedding dress and the bridesmaids’ costumes; Armani is responsible for the suit of the groom’s. In order to emphasize the wedding dress and highlight our sponsor, during the ceremony, we switched off all the bright lighting, because we want to make the wedding dress to be the focus at the same time with the bride.
· Jewellery sponsor
In order to highlight our jewellery sponsor Cartier, we made a close-up on the bride’s earrings and crown, and the logo of the jewelry company will appear on the big screen at the same time.
In order to promote our sponsors’ products, the logos of all the sponsors and investors will appear on the screen during the show time. and at the end of the wedding ceremony, we will invite the couple and their close friends to the stage to express their thanks to the audience; actually, we want to make it a costume show for our sponsors again.
· Working staff
Every staff is a cell to Shangri-La, the staff can provide service to customer, if the employee is able to meet customers’ needs making them come back next time, it will bring more business opportunities for E.shine and this could also help the hotel get more profit. As a result, there should be enough training for the staff who work for the event. They need learn more professional skills to develop themselves. And pay attention to their quality and behaviour.
· Customers:
The customers are the main consumers to the hotel, they pay for our service, if we have some specialty to attract them, they will be our frequent caller, and we could have a steady income. If they don’t like our style, we have no business to do and we should try to create wonderful quality of event service and comfortable environment.
· The government
Government works as a monitor to control the food hygiene, employee rights, the security and so on, all the work needs to follow the regulation. Hence, it is necessary for E.shine to work according to the laws.
