Purpose: To better the organization Process
Ms. Morningstar, the purpose of this presentation is to provide you with a better organizational process for UMUC Haircuts. The clientele has been booming over the last 19 years. I would like to help you with a better way to plan and schedule more effectively for your staff and clients. As well as keeping track of your employees working schedules.

Too much paper and NO ORGANIZATION
As of now, scheduling for you is a bit of a chore by using the old paper and pen method. It’s hard to track cancellations and appointments and if your staff is in that day. Clients have been turned away because there wasn’t enough staff there to accommodate them. If you have a better organized electronic tracking system, the business will benefit greatly.

New Features New Solutions New Opportunity
I would like to implement a new feature which is the Outlook program to your business. It will help get you organized and you will know everyone’s schedules and appointment. It an electronic calendar with an emailing system. You will be able to email your clients with their appointment times and dates. There is also a contact list which will allow you to save all of your clients information in the system. This will be a huge step for the opportunity to not have to turn away clients.

OUTLOOK USERS
You and your staff will be the ones that will use the Outlook program. Outlook is relatively easy and can be learned quite quickly. Most people train themselves on the feature. You can first learn and then train staff or you can have one of your staff learn and train everyone else. You can also provide them with a cheat sheet.

What is NEEDED
All you will need to do is get a computer, the microsoft office suite and call Verizon or Comcast to set you up.

Channels of COMMUNICATION
The information that you send from your computer channels through to your clients computer, ipad or their smartphone.

The RISKS
The risks are spam. You will need to purchase malware and spam services. That will ensure that threats on her computer will be secured quickly and not affect any of her clients information. Loss of data. Computer moving slow. All systems aren’t perfect and the chances aren’t always likely.

Microsoft office is used through communications of the appointments. Clients will be able to accept or decline the invitation sent. For those clients that doesn’t have access to a computer, can quickly call the shop and you can manual note the acceptance or cancel the meeting invite. The data quality for Outlook is ultimately better organized and laid out better on the computer. On an app or using it on a phone, the information is there but it’s not as neat. The good though, is for appointments and all of your clients would need to see is the date, time or will be able to accept or decline from their phone.
Myra, you will need authentication for your log-on information. You’ll have permission to utilize the system so it is required for her to have a log on and password.

Myra, you will use the database to store all of your clients’ information. You can create groups. You can also store her products, due dates, schedules as well as recurring appointments.
Taking all software into consideration for Myra’s business and Microsoft Office is best suited for the improvement. The new process will have the business more organized and brought up to date in today’s technology.
Sending digital id’s from you to client is important. You would be able to add their certificates to your contacts.

Serving for the better
Once the Outlook program is set up and running, UMUC Haircuts will be better organized and the focus will be more geared to accommodating the clients better. This will also bring your business up to speed with bringing technology into your business envirnonment.
