Why It Matters: Written Communication
Why learn to write effectively?

What is the cost of poor communication? It is difficult to know exactly, but estimates suggest the cost could be billions of dollars and worker hours. Poorly-worded or inefficient emails, incessant text messages, memos and emails that go unread due to poor structure and writing, snoozy slide presentations, lack of understanding of the audience—all of these examples result in inevitable costs.
The waste caused by poor communication is real—in reduced productivity, efficiency, and lost business. In more personal terms, the losses are measured in wasted time, work, money, and ultimately, professional recognition.
REDUCING UNNECESSARY OVERTIME
Joanne supervises thirty-six professionals in six city libraries, and in recent months, she has noticed a ten percent increase in claimed overtime. To cut the costs of unnecessary overtime, she issued this one-sentence memo to her staff:
When workloads increase to a level requiring hours in excess of an employee’s regular duty assignment, and when such work is estimated to require a full shift of eight hours or more on two or more consecutive days, even though unscheduled days intervene, an employee’s tour of duty shall be altered so as to include the hours when such work must be done, unless an adverse impact would result from such employee’s absence from his previously scheduled assignment.
After the thirty-six copies were sent out, Joanne’s office received twenty-six phone calls asking what the memo meant. What the ten people who didn’t call about the memo thought is uncertain. It took a week to clarify the new policy.
Advances in technology have opened the door to a myriad of communication vehicles in business today. In any written business communication the most important aspect is to clearly convey the main ideas and purpose of the message to the audience. This is closely followed by how it is written and then the method of sharing the message. Harmonizing these three characteristics will determine how effective the message is when it is received.

With the rapid development of the Internet, the way we communicate has undergone a transformation from traditional to modern. Before the digital age, common methods of communication consisted mainly of letters, phone calls, and face-to-face interactions. What I miss, and what I think is still valuable today, is the intimacy and body language of face-to-face communication. While these methods may seem outdated today, they have irreplaceable advantages, such as more genuine emotional communication and richer non-verbal messaging. Nonverbal communication, such as body language, facial expressions, and vocal intonation, make up a sizable portion of our communication. These nonverbal elements flow naturally in face-to-face communication and are often missing in digital communication. They bring warmth and depth to communication that is difficult to replicate with any technology fully. In the current era of rapid digital communication, this deep level of face-to-face interaction between people remains of unrivaled value (Mehrabian, 1971).
The rise of modern methods of communication has had a profound impact on social trends, culture, and even radicalism. Digital communication has not only accelerated the dissemination of information, but it has also broken down geographical boundaries and facilitated globalization. In modern societies, the instantaneous updating of news and information has strengthened social awareness and collective action possibilities. Cyberspace has become a new platform for social movements, allowing activists to quickly gather forces to launch and organize social movements (Castells, 2004).
In business practices, modern communications have revolutionized the way businesses operate. Email, instant messaging, video conferencing, and social media have become essential for everyday business communication. These tools have made it possible to work remotely and collaborate internationally (Barnes, 2003).

The most common communication methods before computers were in-person meetings, handwritten notes, telegrams, and landline calls. The more thought and time that went into these methods made it more enjoyable to send texts, adding a personal touch and sense of anticipation to the process (Modernizing Business Messages | Business Communication Skills for Managers, n.d.).
A personal touch and thoughtfulness in composing letters make traditional communication techniques nostalgic. Writing, waiting for a response, and holding a letter or photo give a sense of closeness and intimacy that digital communication lacks. Communication was personalized and sentimental due to handwriting, stamps, and paper. Modern communication has transformed society, culture, and action. Social media and instant messaging make organizing movements, spreading awareness globally, and mobilizing people for causes simpler (Anonymous, 2023). This immediacy and extensive reach have changed social movements and activism, allowing them to start and support causes faster and more efficiently. Culturally, this movement has globalized trends, making them quickly popular worldwide.
Modern communication has transformed corporate operations. Business agility and globalization have increased due to real-time communication, document sharing, and collaboration. This has led to remote working, virtual teams, and a 24/7 company culture where decisions and transactions can happen anytime. Digital marketing and social media have created new channels for advertising, customer involvement, and feedback, enabling more targeted and interactive marketing techniques.
The change from old-fashioned to modern ways of communicating reflects larger changes in society that are moving toward speed, efficiency, and globalization. This revolution has improved communication and information access, but it also raises problems about our connections and speed of life. Experience in both worlds has taught me the need to blend current communication efficiency with ancient techniques' personal touch. A well-timed phone call or handwritten message can often accomplish what dozens of emails cannot in business settings. As we invent and incorporate new technology to fulfill our changing demands, this transition shows human communication's versatility and creativity.
