Write a two page executive summary of the findings and recommendations related to your organizational information system change project. Introduction
Note: Each assessment in this course builds on the work you completed in the previous assessment. Therefore, you must complete the assessments in this course in the order in which they are presented.
Now that you have completed a needs assessment, it is time to create an implementation plan for the organizational information system change. This plan should leverage the discoveries and feedback that came out of the stakeholder needs assessment meeting. The strategies you define for the interprofessional team with the implementation and go live of the information system will help to guide their successful use, and provide sustainability of the system change.
Having successfully completed your needs assessment meeting, you have gathered the necessary stakeholder information for your information systems change project. For the next step in your project, you have been asked to submit a written summary of the findings and recommendations from your needs assessment meeting. Additionally, you have been asked to create an implementation plan outline and an audio memo to help explain the plan to relevant stakeholders in the organization.
Instructions
Note: Complete the assessments in this course in the order in which they are presented.
For this assessment, you will prepare two parts. Part 1 will be a written executive summary. Part 2 will be a project management implementation plan outline and an audio memo.
Part 1: Executive Summary
Your executive summary should be a Word document of no longer than 2 pages. The content of your executive summary should include:
· The current informatics structure in the organization.
· What you recommend moving forward to complete the project related to informatics roles, project champions, and support for the implementation plan.
· The current clinical information system and what you recommend as the change to the system.
· Define what you anticipate to be improvements for patient safety and health care outcomes with the system change and implementation.
Part 2: Project Management Implementation Plan Document and Audio Memo
Create your project management implementation plan document in Excel, a Word table, or other program of your choice. Include the following components:
· The overall goal or goals for the project. Include 1–2 goals.
· The major milestones that need to be completed to achieve the goals. Include 2–3 milestones for each goal.
· The processes that will be developed and completed to achieve the milestones. Include 2–3 processes for each milestone.
· The steps you will need to complete each process. Include 2–3 steps for each process.
· The timeline for project completion. Include one timeline showing the goals, milestones, processes, and steps.
· Responsible parties (project champions and informatics team) for each step, process, milestone, and goal.
You can create your audio memo, of no longer than 3 minutes, in Kaltura. Your audio memo should describe the project implementation plan to the stakeholders and help them to create buy-in and raise awareness of the information system change.
· The stakeholders include the end-users, project champions, and informatics team working on the project.
· Comment on specific change management strategies that could help the stakeholders you are addressing as they communicate with their colleagues about the project.
Requirements
· Executive Summary Length: 2 pages, not including the title and reference page.
· APA Style and Format: Use APA formatting with a title page, running head, title on the first page of text, level 1 headings, and a reference list.
· Number of References: Include 4–5 scholarly sources used as parenthetical citations and in a reference list.
· Implementation Plan: Create an Excel or Word table to illustrate your implementation plan.
· Audio Memo Length: No longer than 3 minutes.
· Refer to Using Kaltura for directions on recording and/or uploading your video in the courseroom.

Needs Assessment Meeting with Stakeholders
Enhancing nursing informatics leadership is vital for me as the organizer of the assessment of client needs meeting. This stage is essential for understanding end-user needs, assessing the current system's functionality, and identifying changes that will improve treatment delivery outcomes (Guerci et al., 2023). Through this meeting, I consciously create a forum that allows stakeholders to feel empowered and emboldened to air their worries, bring their minds together, and arrive at a common vision for necessary changes in the information system.
Now who are the stakeholders? The project stakeholders come from diverse backgrounds, each contributing to the positive outcomes desired from implementing the information system change. They include decision-makers who guide the project's direction and allocate resources. Users, such as frontline health professionals, provide insights into usability and workflow efficiency. Interprofessional team members, IT staff, and informatics specialists offer technical expertise to help with the implementation (Guerci et al., 2023). Additionally, we will involve patients and caregivers as co-creators of these technologies, ensuring a patient-centered approach is undertaken, reflecting the importance of considering patients’ perspectives in the development and deployment of healthcare technologies.
Before commencing the needs assessment meeting, it is prudent to have a comprehensive understanding of the current state of the information system and the expectations of stakeholders regarding potential changes. Engaging in a dialogue that combines active listening and open discussion allows for a holistic exploration of the system's strengths and areas for improvement (Guerci et al., 2023).
By facilitating a dialogue that encourages stakeholders to voice their perspectives, concerns, and aspirations, a nuanced understanding of what is working effectively within the system and where enhancements are needed can be gained. Moreover, by collectively envisioning the best possible solution and capturing individual viewpoints and requirements, stakeholders contribute to shaping the purpose and trajectory of the information system change journey. This collaborative approach not only fosters a sense of ownership and buy-in among stakeholders but also ensures that the proposed changes align closely with the organization's overarching goals and objectives. Ultimately, this inclusive process lays the groundwork for a successful and sustainable transformation of the information system, driven by the collective wisdom and insights of all involved parties.
Concerning the incident of inspection and recognition of human error in the existing system, patients' safety would be prioritized. Stakeholders, among others, are the ones who clarify many risks associated with this system, including data security issues, privacy concerns, and message misunderstandings, as explained by Kujala et al (2022). Therefore, a comprehensive pre-assessment is essential to guarantee high-quality, risk-free care for patients of the system. Additionally, a complete understanding of current evidence-based practices is crucial for making informed decisions and ensuring compliance with regulations and standards. It serves as a basis for successfully establishing and managing information systems that are both ethical and effective, ensuring patient information protection and healthcare quality.
Along with stakeholders' input impacting the design of the system, including hardware and software features, it also becomes part of the system requirements and purchasing decisions. Regarding the information system's mission, which is improving the efficiency of workflow and communication among healthcare team members, stakeholders' insight becomes crucial in identifying the key functions that will achieve the objective. One benefit of including stakeholders' feedback in the system creation process is ensuring the system's effectiveness and consideration of the specialized needs of end-users. Additionally, it facilitates effective knowledge and information sharing across different fields of expertise. This integrated approach not only improves the effectiveness of the information system but also encourages stakeholders' participatory engagement, as the implementation is a cooperative effort.
The digital data entering system will have significant impacts. For example, it promises to be a great tool for expediting the process of note-taking. As a result, nurses and healthcare providers will be able to record patient data more efficiently and accurately. This system enables healthcare providers to achieve a comprehensive, prompt, and secure patient data accounting system compliant with FDA and HIPAA policies. The system modification initiative is initiated during the meeting, where top management, involved personnel, and other stakeholders discuss the project scope and long-term organizational vision and align their opinions. By collecting relevant stakeholders’ input and assessing organizational feasibility, the meeting results in the successful implementation that corresponds to the diverse needs of all stakeholders involved (Kujala et al., 2022). Additionally, the introduction of change management practices will be necessary to address resistance and engage stakeholders throughout separate lifecycle stages.
In conclusion, conducting a needs assessment meeting for stakeholders regarding organizational information system change is integral to the project's success. As a nursing informatics specialist, my role in facilitating collaboration and understanding among diverse stakeholders is pivotal. By engaging stakeholders in open dialogue and incorporating their perspectives, concerns, and aspirations, we can collectively shape the purpose and direction of the information system change journey. Through this inclusive approach, we foster a sense of ownership and buy-in among stakeholders, ensuring that the proposed changes align closely with the organization's overarching goals and objectives.
