MGT 4810 Virtual Presentation Instructions
Since our class is fully online, the presentations will be done virtually. In today’s world, virtual presentations are, and will likely continue to be, important to learn how to do well. As such, you will create a recording of your presentation, which can be done in a number of ways including PowerPoint and Zoom. The instructions for recording a presentation are included below. As a note, although this is not a “live” presentation, the level of professionalism of the presentation should still occur; if anything, the standards will be higher given that the team has the ability to record (and re-record and re-record!) to perfect the presentation.
PowerPoint Recording Instructions
To record and hear a narration, your computer must be equipped with a sound card, microphone, and speakers. Most computers have a sound card and speakers, and most also have a microphone built in, though you can use a different type (e.g., a headset) to ensure higher sound quality. It is imperative that you conduct your recording in a quiet space with good acoustics; remember, this should sound like a professional presentation that you would feel comfortable sending to your organization.
When you add a narration to a slide, a sound icon appears on the slide. You can either click the icon to play the sound or set the sound to play automatically.
Before you start recording, PowerPoint will prompt you to record either just the slide timings, just the narrations, or both at the same time. Keep both checked. When you record a narration, you run through the presentation and record each slide. You can pause and resume recording any time. Moreover, you can rerecord slides as needed (i.e., this does not have to be a “one shot” deal when recording). Here are the steps your team should follow:
1. Before you begin, make sure your microphone is set up and in working order.
2. Find the Slide Show tab, click Record Slide Show.
3. Select one of the following:
a. Start Recording from Beginning (if you are recording for the first time)
b. Start Recording from Current Slide (to pick up where you left off)
4. In the Record Slide Show dialog box, select the Narrations and laser pointer and select the Slide and animation timings check box. Click Start Recording.
a. Tip. To pause the narration, in the Recording click Pause. And to resume your narration, click Resume Recording.
5. To end your slide show recording, right click the slide, and then click End Show.
6. The recorded slide show timings are automatically saved, and the slide show appears in Slide Sorter view with timings beneath each slide.
7. After you are done recording, make sure you listen back to your work!
Zoom Recording Instructions
This option involves setting up a meeting in Zoom in which the presentation will be conducted and recorded. To utilize this option one member must host the meeting, share their screen containing the presentation, record the presentation, upload the Zoom mp4 recording onto YouTube as an unlisted video, and submit the link onto D2L under Assignments. More detailed instructions for the outlined steps are included below.
Recording Zoom to your Computer (Local Recording)
Start a Local Recording
1. Click the Record button in the meeting toolbar.
2. A menu prompt will appear, select Record on this Computer.
3. Hosts will see the following recording indicator in the top left corner when the recording has started.
4. Participants will see the following recording indicator in the top left corner when the recording has been started by another user.
Note: If the above icons are not visible in the meeting, the meeting is not being recorded.
5. In the participants window it will also display a recording indicator next to the user who is actively recording.
6. In the meeting toolbar you will notice the record button has switched to a Pause/Stop Recording button. You can click the Pause or the Stop button separately to perform those actions. If you click Pause it will switch to a Resume button. Clicking Resume will then resume the recording of the meeting.
7. Once the meeting has ended, a prompt will appear stating "You have a recording that needs to be converted before viewing." Wait for the recording to convert before it can be accessed.
Note: If the meeting unexpectedly shuts down or the conversion process is interrupted, the recording files could become corrupted and non-recoverable.
8. Once the conversion process is complete, the folder containing the recording files will automatically open.
Recording File Formats
· MP4: Audio/Video format the Zoom recording uses. This is named "zoom_0.mp4" by default. Each subsequent recording is then in sequential order: zoom_0, zoom_1, etc.
· M4A: Audio format the audio-only file uses. This is name "audio_only.m4a" by default. Each subsequent recording is in sequential order: audio_only_0, audio_only_1, etc.
· M3U: Playlist file to play/load all individual MP4 files (Windows only).
· Chat: Standard text or .txt file. This is named "chat.txt" by default.
Uploading Zoom Video to YouTube
Upload your Zoom MP4 file to YouTube as an unlisted video. Related instructions are available
at https://www.youtube.com/watch?v=tUWWc3abV94. Save the YouTube link in a word (.doc or .docx) or .pdf file. Submit the word (.doc or .docx) or .pdf file to D2L under Assignments.
