Case Analysis: Competencies for Project Managers
Introduction
Context of Alpha Tech Solutions: Alpha Tech Solutions, a tech startup based in Bengaluru,
specializes in IT solutions such as AI, machine learning, chatbots, and software applications.
Founded by Sachin Kulkarni and his associates, the company aimed to establish a strong
foothold in the tech industry through innovative projects. “Alpha Tech developed a wide
assortment of software applications for e-commerce, financial services, and logistics firms”
(Mukul, 1)
Case Study Objective
The project management issues Alpha Tech faces with its MyApparel chatbot project, which
encountered difficulties with unclear client requirements, internal conflicts, and team
management.
Challenges Faced by Management in Project Leadership
One of the first challenges was there were unclear project scope and client expectations.
The chatbot project for MyApparel required specific functionalities, such as supporting multiple
regional languages. However, management struggled to clarify scope due to the clients’
fluctuating demands and lack of a well-defined project framework. (Mukul, 2). So, this effected
management because the ambiguity in client expectations led to inefficiencies, resulting in
project delays and increased costs. Management found it challenging to direct the team
effectively due to constant changes, affecting project consistency and credibility with the client.
Another challenge was.
communication and responsibility issues. Alpha Tech’s management team often shifted the blame
onto the client for project delays rather than addressing internal communication and project
oversight issues. This response reflected a lack of accountability within the management team.
So, the effect on management was that it lowered team morale, causing a lack of trust
between management and team members. The absence of proactive communication and
accountability hindered management’s effectiveness in leading the team and delivering project
goals.” Ensure that as many people as possible understand and accept the vision” (Kotter, 3)
Another challenge was the resistance to new project management practices. With Kritika Gupta’s
introduction as the new project manager, the team began adopting the Scrum methodology, an
agile framework that introduced short, iterative cycles (“sprints”). However, team members were
unfamiliar with Scrum and found the increased reporting demands overwhelming. The effect on
management was the shift in methodology created tension between Kritika and team members,
reducing project momentum. Management struggled to implement Scrum effectively due to
resistance from some team members, who preferred traditional project management practices.
The pros to a theorist by the name of Jaegar was his leadership “was that it is possible to increase
employees' job satisfaction, creativity, and ownership of their work by empowering them.
“(Goleman,4)
Key Skills and Competencies for Effective Project Leadership
The first skill is clear communication and active listening. The importance of clear
communication and active listening is to have effective communication it is essential for aligning
the team with client expectations and minimizing misunderstandings. Active listening helps
management understand team concerns and client needs better. The impact on project success is
with improved communication, management can clarify client requirements from the start and
convey them accurately to the team, helping to reduce scope changes and project delays. The
second skill is adaptability to agile project management. The importance of adaptability to agile
project management is in a tech-driven and rapidly evolving environment, management must
adapt to agile practices to handle frequent changes in project requirements. This flexibility
enables management to pivot quickly in response to client feedback and market changes. The
impact on project success is to have adaptable project leaders help foster a dynamic work
environment where team members feel empowered to respond effectively to project changes,
which can improve team engagement and project outcomes. Another skill is conflict resolution.
The importance of conflict resolution is that with a diverse team like Alpha Tech’s, conflicts
are inevitable. Strong conflict resolution skills enable management to address issues before they
escalate, promoting a collaborative team atmosphere. The impact on Project Success was that
conflict resolution fosters teamwork by addressing individual differences, which is crucial for
maintaining productivity and cohesion within the team. This competency ensures that project
objectives remain the focus despite interpersonal challenges.
Challenges Faced by Team Members
Challenges faced by team members was that there was a misalignment on project scope.
Because of unclear and changing client requirements, team members faced challenges in aligning
their work with project goals. Frequent scope changes led to confusion and frustration as team
members often had to redo tasks. The Effect on Team Members was that this caused a
misalignment, reduced productivity, and lowered morale, as team members felt their work was
undervalued or misdirected. Another challenge was there was a Differences in Work Styles and
Backgrounds. The team’s diverse backgrounds and experiences led to varying work styles and
communication preferences, resulting in misunderstandings and ineffective collaboration. The
Effect on Team Members was that the differences created internal conflicts, making it difficult
for some team members to work together effectively, which impacted team cohesion and
performance. Other challenges were Overwhelming Scrum Requirements and Reporting.
Kritika’s introduction of Scrum methodology increased the reporting frequency, adding to team
members’ workloads. The new daily reporting requirements were particularly challenging for
those with limited agile experience. The Effect on Team Members was that the adjustment to
Scrum caused resistance and decreased motivation, particularly among those who felt the
constant reporting distracted from their core technical work.
Skills and Competencies for Team Member Effectiveness
One of the skills and competencies for team members effectiveness is collaboration and
teamwork. The importance of the skill is to have a successful agile project, team members must
work collaboratively, understanding each other’s roles and responsibilities. Teamwork is
essential for maintaining alignment on project goals. The Impact on Project Success is that
Collaboration fosters a supportive environment where team members can rely on each other’s
strengths, improving task coordination and project outcomes. Another skill is Time Management
and Adaptability. Importance pf time management and availability is to be effective in time
management which allows team members to balance Scrum’s reporting demands with their
technical tasks. Adaptability enables them to adjust to agile requirements and changing project
scopes. The Impact on Project Success is good time management reduces stress related to
frequent reporting, while adaptability ensures team members can handle scope changes without
compromising productivity. Another skill is Effective Communication. The Importance of
effective communication is to have open communication within the team and with management
is crucial for minimizing misunderstandings and maintaining a clear focus on project objectives.
The Impact on Project Success is that Improved communication helps team members articulate
their concerns and contributions effectively, enhancing team cohesion and reducing conflict.
Recommendations
A recommendation would be to Implement Structured Communication Protocols. One way
would be to develop standardized processes for client interactions to clarify project requirements
early on, such as using a requirements traceability matrix or formalizing project charters. This
would minimize ambiguity and ensure both client and team have a shared understanding of
goals. Another recommendation would be Invest in agile training for team members.: By
Providing training sessions focused on Scrum principles and agile methodologies to equip team
members with the skills needed to adjust to iterative sprints and frequent reporting. Training can
improve adaptability and reduce resistance to agile practices. Other recommendations would be
Conflict Resolution and Inclusivity Initiatives. To Establish conflict resolution practices and
team-building activities to address interpersonal differences and build rapport among team
members. Fostering an inclusive team culture will help manage the challenges associated with
diversity in work styles and backgrounds. Lastly, define clear roles and responsibilities.
Management should clearly define each team member’s responsibilities and expectations, which
will reduce role ambiguity, enhance accountability, and help maintain focus on individual
contributions to project success.
Conclusion
The chatbot project was going according to plan, but Sachin was concerned whether his firm
could deliver a timely project to MyApparel despite his faith in Kritika and the other team
members. Due to recent leadership changes, changing work styles, members' priorities, and the
high level of uncertainty associated with the chatbot project, Sachin was confused and wondered
where things had gone wrong. In tech startups, where client expectations are dynamic, adaptive
project management and collaboration are crucial.
