Anytime you are involved with a change or implementation of a major
systematic or operational system like a Health Information Exchange
(HIE) you must make sure you include all of the correct people from
the beginning to the end. The first thing I would do is make sure I had
the process in place before presenting it at the Town Hall meeting.
This would happen in steps:
Determine Boundaries: Where will the process start and end.
Determine who the customers are: Know that there can be multiple
customers at different points in the process.
Map out the process: Keep up with the stages of the process.
Analyse the process: Take and keep good notes during the process.
Document any and all ideas on how to improve the process.
Create the process: Determine the ideal process and eliminate any
unnecessary steps along the way to reduce time but keep a smooth
flow in the process.
Anytime people hear the word change there is automatically a sense
of anxiousness. Minds go crazy anticipating problems before
improvement. As long as a solid plan of action can be presented there
should be many more that will accept it than poke holes in it. There
will always be the negative Nellie that will shoot down everything
that is put out but as long as the research and plan of implementation
is solid there will be many more on board with acceptance. You just
have to make sure you have addressed all of the potential issues
through mapping the process before you present it.
The stakeholders that should be involved are the business leaders,
those involved with the legal and regulatory departments. And of
course, the middlemen/women that will have a hands-on part of the
change. Standing before a group of people for anything can be scary
and intimidating but as long has you have done your homework the
outcome can be very satisfying and rewarding.
