Introduction
The project we are initiating as an organization is a batch record system that will save space, time, and paper. The critical parts of the initiation of this is project is making a mutual agreement between the following parties:
- Project sponsor
-Steering committee
- Project Manager
- Stakeholders
All of these people have to be pleased with the outcome of the project. The synergy they all have will result in the positive or negative outcome.

Sanofi Pasteur endeavor to move all Packaging and Batch Filling Records to Digital
Importance of project completion:
Environmental advantages on saving paper
Ensures completion of all required sections
Helps to verify information added by requiring additional verification steps
Enables quicker completion of inputs
Saves on cost by saving paper
Saves on space as the records will be stored electronically, versus in storage
Ease of access for later needs
Definition of Project Plan
Project will involve efficiently creating a digital batch record system that will save on paper, space and time for the company as a whole. This digitial batch record system will save on cost immediately, as well as in the long run as it will save on resources (e.g. paper and ink), as well as the cost of storage.
Goals
Involve the necessary team members to ensure all aspect of project are met
Investigate, test and validate digital batch record systems
Administer training to all necessary employees
Efficiently roll out digital batch record system to all the filling and packaging production buildings
Successfully move the entirety of previous batch records to the digital system for ease of access in the future
Objectives
Move Sanofi Pasteur in a more digital direction by successfully moving records to a digital bacth record system to save on errors, cost and time.
Project Sponsor
Our continues improvement team is the main sponsor of this project
By looking at other companies in the same industry Sanofi Pasteur is far behind the industry average for record keeping.
By moving to a digital record keeping system, we will be able to accurately keep records as well as find specific records more easily.
The Board of directors
To move in a direction that best benefits the company the board is also sponsoring this project.
Steering Committee
The steering committee for the Sanofi Pasteur endeavor is comprised of various people who are involved in the project, but on different levels. For instance, a board member expressed interest in holding a position on the committee, as did a senior level manager who oversees the records department. Additionally, an IT employee in the company joined the committee to add her expertise and knowledge in the mix. The last committee member is the project manager.
Project Manager
The project manager has a lot of previous experience moving organizational records to digital storage. She will plan the project, create the schedule and timeline, create the budget, manage and monitor the budget, send regular reports to all stakeholders, maintain and manage the work breakdown structure and project plan through each phase of the project, lead the team, and document every phase. She comes with a wealth of experience in project management with a niche in converting physical records to digital records.
Project Team
She has carefully selected a team who are all employees of Sanofi Pasteur. Each member is part of the records division. Teaming like this will present a unique opportunity for everyone to grow and learn, while learning the new records process. Some of the newer employees will be partnered up with a more senior employee on the team to ensure all tasks and project activities will be produced within the time allotted and within budget.
Other personnel associated with and/or affected by the project
Procurement team
By moving to a digital record keeping system the procurement team will adjust procurement from a large quantity of paper and ink to a few digital servers.
IT department
By moving to a digital record keeping system the IT department would have to set up and test the servers to make sure the data is safe.
Adding additional layers of security will be needed to ensure data is only accessible by Sanofi Pasteur’s staff and board members
Other personnel associated with and/or affected by the project
HR department
By moving to a digital record keeping system the HR department will have to change their hiring practices to move from paper record keeping to digital record keeping, to make sure the right people are hired and gain access to the information they need
Training department
By moving to a digital system, the training department will have to do a full overhaul of their training regiment and do a department-by-department training to get all current employees up to speed on new system.
To ensure new employees are trained properly the training department will need an addition three days of training for new hires before they are ready to handle the digital system.
Introduction
Background Information
The project is a result of restaurant closure in most parts of the world due to the Covid-19 pandemic.(Zhang et al., 2020)
The project is geared at the provision of a needed service in Beijing.
Project Approach
The project plan details the steps needed to have the proposed restaurant up and running through addressing budget constraints, construction challenges and staffing challenges.
The success of the project is determined by the successful launch of the restaurant on the planned date 1st September 2021
