What does a wedding planner do?
Wedding planners, also known as coordinators are one of the most important components of a successful wedding day. At the basic level, wedding planners handle wedding logistics, provide guidance, and coordinate every aspect of a wedding. They are tasked with bringing the vision of a couple to life by organizing all aspects of a wedding. However, the duties of a wedding planner vary greatly depending on various factors. The following are some of the key duties of a wedding planner:
Create a master plan
A wedding planner makes initial consultations with the bride and groom to come up with a vision for the wedding. The planner chooses the venue, sets the date, makes seating arrangements and plans many other aspects of the wedding to make the bride and groom’s vision a reality. This part also entails setting up a realistic budget for the entire event.
Hiring vendors
A wedding planner conducts their research to identify reliable and affordable vendors. A successful wedding requires multiple vendors including dress designers, florists, caterers, reception venues, entertainers and many more. The planner vets the vendors and negotiates contracts with the selected ones. The coordinator will also relay the bride and groom’s requirements to the vendors to deliver services that match the couple’s requirements. A wedding planner is also tasked with the duty of ensuring contracts are in order. From hiring entertainers to securing venues, a wedding planner ensures all the information in contracts is correct, and all vendors are meeting their contractual obligations.
Communication with vendors
A wedding planner keeps in touch with all the vendors to ensure plans are as per scheduled and everyone is on the same page. The planner is the point of contact between the couple and the vendors. If the vendors have any concerns, a wedding planner can address those issues and if it's necessary, they will relay the concerns to the couple and report back to the vendors. The wedding planner will also tour wedding venues to ensure they meet the required standards.
The wedding planner also makes arrangements for the necessary wedding supplies to be transported to the venue in a timely manner and inspects the equipment to ensure they are in proper working condition.
Working with the wedding party
It is the wedding planner’s job to guide the DJ, entertainers, bridesmaids, groomsmen, ring bearers, and flower girls on how to stage the ceremony. They also coordinate the giving of speeches.
Assisting the bride and groom on the wedding day
A wedding planner assists that bride and groom with whatever they need on the day of the wedding. The coordinator ensures everything on the wedding-day goes according to the wedding plan and timeline. They also run the rehearsal and solve any last-minute emergencies. A wedding planner may also help with planning and booking the honeymoon.
Generally, there can never be a definitive answer to the question, “ What does a wedding planner do?” because every wedding is unique. But nevertheless, the role of a wedding planner is to bring the bride and groom’s vision into fruition.
