Technology Technology has made communication more versatile, as there are now many options for one-on- one or group communication. However, if technology does not work or if the person communicating does not understand how to properly use it, technology will have a negative impact on the message. Many forms of technology can assist with communication, including word processing software, spreadsheets, databases, presentation software, e-mail, instant messaging, web conferencing software, blogs, and intranets within an organization. These tools can all be used to enhance the message or to convey the message in the most effective way possible to the recipients. It is important that the audience is kept in mind when choosing the proper technology, as well as the type of message that must be conveyed. For example, if you are sending a short, simple message that does not require a response to many people, e-mail may be a great way to send the message. However, if you are trying to communicate the quarterly earnings to a group of board members, you may want to use presentation software in addition to charts and graphs that you created in a spreadsheet. If you cannot get everyone into the same room, you will need to use video conferencing software where you can still communicate "live" with everyone, but you all do not need to be in the same geographical area. One thing to keep in mind is that technology is not one hundred percent functional all the time, and at times it can be unreliable. Therefore, it is imperative that you have a backup plan for how you can convey the message, if something were to happen and if the technology did not work. For example, if the video conferencing software was not working, you could e-mail your presentation to the participants and have them on a phone conference instead, where everyone would follow along with their own copy of the presentation.
