Reflection Learning
Reflect upon your readings and personal or professional experience and address the following.
Defend the scope as the backbone of any project and why it must be accurately assessed by the project manager.
A project scope represents the crucial component of project planning involving the identification and documentation of a summary of precise set objectives, deliverables, activities, expenses, and deadlines of a project. The scope statement also gives rules for the team members to follow when making judgments regarding modification requests during the project. Project scope is the back born of any successful project since, without it, project leaders have no idea how much time, money, or labor is required in a project (Althiyabi & Qureshi, 2021). It serves as the foundation for every choice a project leader makes on the job and when things need to change, and an effective communication process guarantees success at every step of the project. The project scope also acts as a point of reference and benchmarking when things go wrong.
Managers can keep on track and guarantee that all deadlines are met with an accurately defined project scope throughout the project life cycle. An accurate project scope helps the management avoid typical problems such as constantly having goals and criteria in the middle of the project, which clearly defined goals through a project’s scope it becomes difficult to shift goals and timelines, thereby ensuring that the project is accurately delivered.
Describe how issues that occur during a project are frequently related to the scope. Examine how poorly defined project scope statements are often linked to project problems, or even to failed projects.
Project scope difficulties and challenge areas are instances throughout project implementation where the development team experiences problematic situations that may have an adverse effect on project scope. Some may have previously been identified as prospective scope impact issues, in which case they may be expected—and prepared against (Ajmal et al., 20119). On the other hand, others can be unanticipated and are likely to worry the project manager. Since projects impact many areas, be it the environment and the magnitude of the resources utilized within the project, the project scope is prone to challenges and problems that touch on industrial disputes, unexpected and sustained weather conditions that affect the schedules of the projects. The unexpected loss of key staff in the project also affects the scope of the project. Also, difficult and changing demands from stakeholders can be a bigger source of issues. Other issues such as the arrival of new technology, epidemics, and epidemics which might result in widespread absenteeism, are key issues to the scope of the project
A poor and inaccurately defined project scope leads to poor time management. Poor planning implies that the timetable that staff members are intended to observe is not established. As they work on the projects, the participants will have no idea what is required of them. There would be no deadlines to achieve, resulting in a sluggish attitude among the team members. Secondly, the budget, which is a key aspect to the project’s success, will either be constrained through changing objectives or be overbudgeted, which in the long run will lead to wastage or the lack of resources, which is detrimental to the success of the project—lastly, failure to plan subjects the project to unanticipated high risks and issues. This wastes time while the team tries to figure out how to tackle the project’s problems. Because time is money, the project funding will be spent to resolve difficulties that develop due to inadequate planning. As a result, the initiative will be doomed to failure.
