Project Proposal
For this project to run smoothly, it requires detailed planning. This entails the project team stays on budget, timelines are being met, and deliverables are being provided to managers. For our proposal, we have chosen to relocate ABC's IT Department to a new location. This expansion will allow the company to hire more employees, drive higher customer satisfaction internally and externally, and increase revenue for the company. Our proposal will identify stakeholders and how they will benefit, project overview, resource requirements, project team, and project sponsorship and leadership.
Identifying Stakeholders
The stakeholders are the project team, ABC’s Executives and managers, employees, and contractors that are supplying materials. Management benefits by the contractors providing a smooth move and set-up at the new location. The expansion of employees will allow the department to address IT concerns more quickly. Customers internally and externally will benefit because it will increase revenue for the company.
Project Overview
The mission and objective are to expand the IT Department to ramp up for the surge of online product orders from customers. To increase staffing to support the increase and meet customer demands.
Resources
After identifying the new space we’ll need a full team to execute the move and expansion. The move will require full support from our project team. Leaders must work to ensure projects get the support and resources to complete the project (Cobb, 2012).
The project team will consist of a Project Manager who will be the colleague responsible for the review of the overall project and the planning calls as well as budget calls through the project. The Project manager will also be responsible for communicating/negotiating with all of the stakeholders.
The Operations Manager will be the logistics main point of contact. The Operations Manager will be responsible to oversee the move process, for making sure standard operating procedures are followed and will work directly with the moving team to ensure things are going smoothly during the move. Our IT department is critical so the Operations Manager will monitor timelines and deliverables for the move.
The project will also require an Account Manager who will be responsible for managing the budget, working with our contracted vendor accounts, contracts, and funding. The Account Manager will communicate the budget and IT department move-related costs associated with the project to the project team and keep us on track with our estimated timelines and deliverables.
In addition to the core team, additional resources will be required such as a facilities manager, a moving team and/or company, an IT manager, an equipment support specialist (who can assist with the ordering of additional equipment needs), and an installation team who can assemble all of the existing and new IT equipment for a successful transition into the new location.
Project Team
The first step in being a project manager and creating the perfect team is to choose the right people for the job. Pick people with a set of skills as they apply to the project. The best approach is to have a range of people with different perspectives versus people with the same background to achieve the best outcome. Also, it may need to seem important but never underestimate the potential of a group that gets along with each other and can create a true team.
The next step seems simple, but it can be challenging due to opposing viewpoints and that is establishing ground rules. It should be done in the very beginning and make it clear who is in charge and what you expect from the team. According to Cobb (2012), establish what positions have responsibility and authority for accomplishing components of the project (Chapter 8). Make sure everyone is clear of their roles and responsibilities before the end of this meeting. Set some easy and achievable goals to build team spirit and enthusiasm. One of the most important things to keep in mind while managing a good team is to keep an open line of communication. Everyone should know what is going on, so no time is wasted. If there is a problem that will affect the outcome of the project everyone should on the same page to fix the problem as soon as possible. Sometimes a little friendly competition is healthy, but you should always encourage cooperation. These methods are not a guaranteed way to create a successful team but if you follow them it will go a long way.
Sponsorship and Leadership
The venture sponsorship is significant all through the task's lifecycle since it guarantees the accomplishment of the undertaking started by ensuring a viable assignment, giving inspiration to the task group during the execution stage. Sponsorship is also significant as it reserves the entire task, and securing great budgetary helps understand the venture objective as expressed from the earliest starting point of the undertaking. During each stage the sponsor must constantly oversee the team to make sure they are on schedule to complete the project on time (Schibi, 2015). The initiative also is significant as it gives the conservancy to the undertaking groups on the best way to execute the venture. Authority likewise helps provide the essential aptitudes in choosing the center group, affecting the patrons and partners to finance the venture execution. Initiative likewise helps with giving and building a coordinated venture plan.
Conclusion
Taking on this project to relocate ABC’s IT Department to a new location will allow the company to meet customer demand and increase revenue. By establishing an experienced project team leader and a team that can effectively put together a project proposal that identifies stakeholders, project overview, resource requirements, project team, and project sponsorship and leadership the relocation will be a success.
