Select a project that you believe would benefit from the use of MS Project at your current or previous employer, define the scope, and identify a key constraint of the project in question. Next, specify the primary manner in which you would benefit from the use the MS Project in the project you selected.
The project that I believe would benefit from using MS Project is the fiscal budget which supports our military. The reason why I chose the fiscal budget is because of its vast areas of creating the budget with the goals and objectives for the military. There are financial statements that will assist in developing a budget for example, income statements, balance sheets, debt, tax returns and projections these help with the estimates when it comes time to build ships or other uses of equipment they need. The scope of this are the funds that which are available for a certain period of time during that year. The issue that may rise is the actual appropriation of funds used and if you do not use the amount which is allocated, then you stand a chance of losing the funds before the next fiscal year. Determine the expenses and time intervals to create a budget using the MS Project which would track the money spent and received for the military spending budget. The benefit of using the MS Project is keeping all transactions in one location so that you can distribute the funding each year without guessing what or how much was spent in certain areas.
The five process groups within the PMBOK is initiating, planning, executing, monitoring & controlling and closing. Initiating is defining a new project or new phase of a current project. Planning is the process that is required in establishing the scope of a project, refining the objectives and defining the course of action to reach the objectives of the project. Executing is the process performed to completing the work defined in the project management plan to satisfy the project specifications. Monitoring & Controlling is the process requires to track, review and regulate the progress and performance of the project. Closing is the process performed to finalize all activities across all process groups to formally close the project or phase.
The most difficult process group for management is the execution of the actual project as managers may be good at planning, they lack when it comes to putting those plans into action. The execution phase is the most critical of the process as many cannot really approach the project with a good attitude in getting the task completed. I believe that making strategies work is more difficult than the task of strategy making when a project is on a timeline. The project we had in our organization was to save money by reusing tools and supplies instead of buying more new items. We had ten containers with everything from paper products to printers, so we needed to consolidate these containers into less than five in order to ship most of the items out to various locations. I had to do an inventory of each box within the container to create a list of every item in the box. After we went through every box, the final consolidation was approximate five containers with twenty boxes being shipped to the U.S. and Afghanistan. The total amount that we saved the organization came up to about $1.5 million. I learned that using each of the steps can be difficult only if you do not execute your plan and communicate with your peers in getting the task completed on time.
