Running head: Execution phase
Execution phase 1
Executive Overview for Project
UP Company project is ready for execution as all the appropriate measures are put in place to execute the project. The necessary information has been collected to assist in delivering gym services that can meet the needs of the targeted customers. Also, a permit has been obtained to make it possible for UP Company to start its operations in Jeddah, Saudi Arabia. For example, UP Company has ensured the appropriate compliance to the local authorities is considered to avoid legal action. As a result, UP Company will operate without fear of the risks associated with legal action for non-compliance. UP Company will ensure the needed gym services that can assist in addressing obesity concerns in workplaces are addressed. The employees in different workplaces have been engaged in the process of designing the relevant gym sessions that can meet their needs. It is through the engagement of the customers that the gym sessions are aligned with the market needs hence making it meet the expectations of the targeted clients.
Procurements of the necessary equipment have been done to enable the execution process possible. This has been through proper management of purchases where the appropriate suppliers have been selected to supply the needed materials for the project. It is through the selection of the successful vendors that the project has been made successful and ready for execution. According to Meredith, et al. (2017), selecting the right vendors plays a crucial role in determining the success of the project. For example, through selecting the right vendors quality materials, and equipment necessary to allow the team to do work can be availed at the right time. Proper communication with the vendors has helped in making sure that they are aware of the quality needed to assist in the successful execution of the project. The team has ensured that the vendors have samples of the nature of the equipment and level of quality to avoid failure due to low quality.
The project has been managed using a strong team where each member of the team has been motivated to have the project executed. Communication has played a crucial role in making sure that the project team has proper coordination and sharing of the appropriate information. According to Michael Campbell (2014), it is through proper communication that project team members can be able to understand what they are expected to do. Teamwork spirit among the team members has proved to be crucial in making sure that the set objectives are achievable. For example, it is through teamwork that the members of the project have been able to understand their responsibilities and deliver them to the expected levels. Based on the efforts put by the team members it is clear that the project will meet the specifications in place thus meeting the needs of the employees for gym services in their working environment. The team members have been equipped with the appropriate skills and competencies that can ensure the objectives of the project are achieved. This has been possible through conducting market research to understand the needs of the employees for gym services thus aligning the service delivery and the expectations of the customers (Walker, 2015).
The expectations of the customers are properly managed by communicating the services that the customers need to expect. According to Turner (2016), communicating the services that the customers need to expect assists in minimizing the possibility of failure to satisfy the customers targeted. Over expectations are associated with many cases of dissatisfaction among customers. As a result, communicating to the customers concerning the gym services that they should expect is likely to lower cases of over expectations hence helping to satisfy the employees in their workplaces. The management team has worked towards understanding the preferences and taste of customers for the gym services. The expectations of the employees have been understood by the management team thus it will be easy to satisfy the employees by offering the relevant services. For example, the chief executive marketing manager has successfully managed to communicate the services offered by UP Company hence eliminating possible over expectations.
Quality Control Feedback
Feedback to the team
The quality will be controlled through constant assessments of the achievements of the project. The project team will compare the set goals and progressive achievements in order to determine the level of quality. High quality will be achieved through making sure that the project is able to achieve the set objectives in offering the gym services to employees in their workplaces. The team will be constantly updated on the progress of the project and the changes needed to achieve the set goals. This can entail encouraging consultations among the team members in order to identify the areas that need attention. Proper orientation has been done to the team to make sure that the members have the right knowledge and understanding concerning what exactly is needed in the project. According to Michael Campbell (2014), the project team can be made effective through encouraging communication among the project team. It is through communication that the progress of the project can be understood, and team members updated on the next courses of action.
In addition, feedback to the team members will help in ensuring the successful execution of the project through making sure that each team member keeps track of the project performance. The team members will be able to trace their efforts in ensuring that the project is executed successfully and also have the necessary measures in place to control the overall quality of the projects. According to Fleming and Koppelman (2016), constant assessment of the risks facing a project at each phase is crucial in ensuring successful execution. In the UP-Company project, the team members will constantly compare the project actual outcomes with the desired outcomes in the process of controlling quality. This is crucial in helping team members put in place measures that can assist in attaining desired outcomes. Therefore, feedback to the team members needs to be provided constantly to help them in controlling the quality level.
Resolving issues
The project will solve issues through applying its set risk mitigation techniques that are in place. The project management team has put the right risk mitigation measures aimed at making sure that the issues are addressed. According to Marchewka (2016), risk mitigation techniques are crucial in the process of addressing issues that can make a project fail to achieve its set goals. For example, risk avoidance will be used in mitigating the risks facing the project to make sure that the set objectives are achieved. Also, project management has put in place a team responsible for identifying potential issues and putting the appropriate measures in place to resolve them. The team will have sound risk management knowledge that can assist in resolving the issues faced in the process of executing the project.

Feedback to project team |
Providing feedback to the project team can assist in controlling quality. This is because the team members can be in a position to track the project milestones and areas that show deviance hence taking the appropriate measures. The management has already done the needed orientation of the project team to help in responding to the feedback provided in the right way. This entails making sure they have proper understanding of the set goals of the project in order to respond accordingly. For example, the project management will ensure that constant information is provided to the project team concerning the overall progress. As a result, the project team will be able to continue adjusting the project activities based on the feedback provided. |
|
Quality control team |
The quality control team will be responsible for coming up with the appropriate measures for ensuring quality is assured. it will work together with the appropriate stakeholders to ensure that the needed outcomes are achieved through putting the appropriate measures in place. There are some quality parameters that are already in place to ensure the quality specifications of the project are attained. For example, the management of UP has already set the necessary quality standards that need to be met by the project team. As a result, in the case of any variances in between the actual quality and expected quality the appropriate measures will be put in place to enhance the quality standards. For example, as a strategy of enhancing the quality the project team will ensure that the expectations of the employees targeted are understood. This will entail the nature of the gym services they expect and how they want the services to be delivered. As a result, the level of satisfaction will be improved through meeting the needs of the targeted customers and aligning the services delivered with their preferences. |
|
Resolving issues affecting the project |
The issues facing the project that are likely to compromise the quality of the project will be resolved. In the project, the issues can include any events that are likely to affect the ability of the project team to achieve the project objectives. This will entail the use of the risk mitigation techniques such as risk avoidance to ensure quality is controlled during the execution phase of the project. It is through the risk mitigation techniques that the project team will be in a position to put the right measures that can minimize impacts of the possible risks once they occur (Drouin, Müller and Sankaran, 2017). Therefore, the risk mitigation techniques will serve an important role in the process of managing the issues facing the project. |
|
Inspection |
Constant inspections will help in making sure that quality is enhanced during the execution phase. It is through inspection of the project processes that the areas that need improvement can be addressed and right measures put in place. The project team will be responsible for making sure that the execution phase is properly inspected to detect any deviation from the expected outcome. For example, the different project team members will be assigned their individual responsibilities in inspecting the project activities. However, the project team will work together to ensure the activities of the project are in line with the set guidelines that are aimed at making sure that the project can achieve the specifications. |
The human resources management
UP Company has the appropriate workforce management policy in place to make sure that the employees have the necessary skills and expertise for ensuring successful execution of the project. According to Morris (2017), the skills of the project team are crucial in determining the success of any project. This is because it is through relevant project knowledge that project team members can achieve the project specifications. For example, UP Company will ensure the project team members are constantly trained on the best ways of avoiding project failure. As a result, the project team will have the necessary skills for aligning project activities with the set objectives. Therefore, UP Company will in a position to offer gym sessions to the targeted workplaces in a manner that can meet needs of the employees for keeping physically fit.
Creativity Draft
The project has managed to meet the timelines in place. This has been possible through the project team members who are committed to ensure they deliver their tasks at the right time. The necessary resources have been put in place to ensure project activities are not interrupted hence helping in meeting the timelines. The necessary human resources policies are in place to assists in making sure that the needed project deliverables are achieved. According to Schwalbe (2015), availing the appropriate resources in project management is crucial in attaining the set project deliverables. For example, the project management has hired the necessary workforce that can ensure project milestones are kept ahead and the project goals attained. The necessary budgeting policies are in place to enable financing of the project to avoid interruption of the project activities due to lack of financial resources needed. As a result, the time frames, task duration and deadlines will be met because the necessary financial resources are in provided.

Financial issues experienced
The financial issues that UP Company is likely to experience are changes in government regulations and shifts in demand because of the COVID-19 pandemic. This is because the demand for gym services in the workplaces can decline as many employees are encouraged to work from home in order to minimize spread of the virus. Also, the government regulations might change in terms of costs as the government will be trying to recover from the economic turndown brought by the pandemic. According to Ko (2017), projecting financial issues and taking the right measures is crucial in project success. UP Company will address these financial issues by reducing number of employees to lower the operational costs.
