PPMP20018 Theme 1 – Current State Workshop Guide Term1, 2020

Theme 1: Current State Introduction: This theme explores the ‘as is’ side of the ‘as is and to be’ views of project planning.

Understanding the current state is essential when scoping work needed (the gap) to achieve the desired project outcomes.

Ask yourself

Where do you want to be at the end of this unit?

PPMP20018 Theme 1 – Current State Workshop Guide Term1, 2020

Week 1 Workshop Activity - Group stand-up meeting Each week groups will start the workshop with a stand-up meeting (although the idea is for the meeting to be daily within the Agile team, here the groups will discuss the week. The time for this meeting will be time boxed to 15 minutes.

The group stands in a circle (standing encourages the meeting to be short) and each member gives a quick update of their contribution to the project for the previous day, what they plan to do today and any issues that may impact them getting the work completed today.

For the first stand-up meeting do it as a class. In future workshops, the stand-up meetings can be broken into groups.

Each member very briefly (1-2 minutes) provides the following information relating to this unit:

1. Name (Not needed when project team is established) 2. What you accomplished for the unit in the last week? 3. What do you intend to accomplish for the unit this week? 4. Are there any impediments to accomplishing what you need to this week?

Further Reading In your own time you can look at information online about stand-up meetings (also known as daily stand-ups, daily scrum, daily huddle etc.), links below are a good starting place:

Activity – Consequences Imagine a unit where you get to determine your learning outcomes and then assess your own performance?

In this next exercise, you will examine your perspectives and determine your personal objectives for the unit.

As this is the last unit within your Masters, some may say, ‘I just want to pass’. This is a legitimate objective especially when considering the cost of the alternative.

Consider the consequences if you failed this unit, use the box below to capture your thoughts.

Consequences of failing this unit

Now consider the opposite side of the situation and what it means if you pass the unit.

Consequences of passing this unit

How did you go? Which box did you find it easier to come up with ideas? Highlight or circle the box that best describes how you easy or difficult you found describing the consequences.

A. I found the first box ‘Consequences of failing the unit’ easiest to fill out.

B. I found the second box ‘Consequences of passing the unit’ easiest to fill out.

C. I found filling out the boxes were equally as easy to fill out.

D. I found filling out the boxes were equally hard to fill out.

The following activities align to the Baseline Assessment and students are encouraged to work on the template provided for that assessment as they work through the activities

Activity – Values This activity will ask you to identify your current core values.

Open the ‘Values Exercise’ file from Moodle or from the following web address:

https://www.cmu.edu/career/documents/my-career-path-activities/values-exercise.pdf

The activity is broken into three components, complete 2 and 3 in your RPA1_Baseline template.

1. Noting all values that resonate with you from the list provided 2. Grouping the values from step one into a maximum of five groupings 3. Deciding on one value from each group created in step 2 that best represents what is

important for you.

Activity – The Talent Triangle This activity will requires you to become familiar with the Project Management Institutes (PMI) Talent Triangle.

Access the PMI Talent Triangle from Moodle or the following web page:

https://www.pmi.org/-/media/pmi/documents/public/pdf/certifications/talent-triangle-flyer.pdf

You will use the Talent Triangle to reflect on your current perceptions of necessary skills and knowledge.

Specifically you need to consider each item within the three categories of the Talent Triangle with reference to the following:

• How important you feel each item is for your future career (you will be asked to identify your desired future career – it is OK if it is not project related),

• How important you feel each item is for project managers generally, and • Perform an audit of your current skills by rating your current capability in each area of the

talent triangle. Complete the audit in your RPA1_Baseline template.

Activity: Know yourself – CAPM / PMP self-audit The purpose of this activity is to reflect on and document your eligibility for the Project Management Institute Certifications Certified Associate in Project Management (CAPM) and Project Management Professional (PMP). You can complete the audit and analysis in your RPA1_Baseline template.

You will need to refer to the following:

• CAPM Certification Handbook (PMI, 2017) (Specifically the eligibility requirements page 6) https://www.pmi.org/-/media/pmi/documents/public/pdf/certifications/certified-associate- project-management-handbook.pdf OR PMP Certification Handbook (PMI, 2017) (Specifically the eligibility requirements page 6) https://www.pmi.org/-/media/pmi/documents/public/pdf/certifications/project- management-professional-handbook.pdf

Review the CAPM and PMP eligibility criteria, fill in the table, and answer the questions below:

Table 1: CAPM / PMP Current State Self Audit

(a) Your highest level of education attained

(b) Your project Management experience

(c) Your project Management education

Answer the following questions: Are you eligible for either the CAPM or the PMP now?

Which of the two would you is realistic for you to achieve in the next 12 months?

Activity – Resume Gaps This activity requires you to consider the current state of your resume.

What skills are employers looking? Find online and take a copy of the position description of a job that has been advertised that you would like to apply for. Map key skills and competencies stated in the position description to your current resume and your audit of talent triangle capabilities.

You will need the latest version of your resume.

Review the position description and map the criteria against the skills audit you performed.

Choose one soft skill and one hard skill from the position description. These should be skills that you want to improve during this unit. Use the table below to document which skills you have chosen. You can complete this in your Reflective 1: Baseline template.

In the ‘Position description and ‘Talent Triangle’ columns provide the exact wording describing the skill as a quote “ “. Ensure you reference this quote appropriately and state which part of the document the description is located. In the ‘Current competency level’ record your competency as per your skills audit (against the Talent Triangle).

Position description Talent triangle

Current competency level

Soft skill (Choose one soft skill only that you want to develop during this unit) Specify skill: ___________________

(Quote the sentence from your chosen position description that notes this skill as a requirement for the position. Reference the quote correctly)

(Note the section and capability within the Talent Triangle that relates to this skill)

(Note the competency level you rated yourself against for the particular Talent Triangle capability. – note you want to target a skill where you have room for improvement.)

Hard skill (Choose one hard skill only that you want to develop during this unit) Specify skill: __________________

Theme 1: Current State Week 2 Workshop – People in Projects Activity - Group stand-up meeting Each week groups will start the workshop with a stand-up meeting (although the idea is for the meeting to be daily within the Agile team, here the groups will discuss the week.

1. Name 2. What you accomplished for the unit in the last week? 3. What do you intend to accomplish for the unit this week? 4. Are there any impediments to accomplishing what you need to this week?

Activity – iChange In this activity, requires you to complete an online introductory course on social innovation. It will take up to two hours, longer if you decide to do some of the challenges embedded. If you do not finish this activity during the workshop, you can complete it in your own time.

Students should complete the iCHANGE introductory course through their own student login. This will enable the completion of the course to be included on your study record.

The course includes videos (if you want to watch these in the workshop time ensure you bring headphones). No headphones – no worries, each section provides a script.

Group Activity: Form Project Teams Form your project teams, these should be no more than four people. You will work with these people on the group assessments throughout the unit.

Note down the team’s details and discuss the availability of meeting each other once you start working on the project.

Name Student number Contact details (e.g. phone number, email)

Availability for team meetings

Email the details of your team to your workshop tutor.

Group Activity: The social issue Consider the social issue for the current term. You can find information on the social issue on Moodle. In your project teams discuss the following questions, taking notes of the discussion for later reference.

Narrow your focus to a specific part of the social issue and explain this in terms of a problem or opportunity statement.

Term 1, 2020 – the social issue is the Sustainable Development Goals (SDGs)

https://sustainabledevelopment.un.org/?menu=1300

Consider a single SDG that the majority of the team is interested in. Each project team must choose one of the goals to align their project on.

Only one team will be able to align their project to a single SDG. Once that team has posted on the forum that they will be working on that SDG it will no longer be an option for other teams.

Other considerations:

This will be the area that your project must align to.

Each member of the team must work on a proposal for a project in this area – each proposal must be a substantially different project.

Proposals must not be research projects or based on homelessness (previous terms social issue.

Once you have decided on the SDG that your team wants to work, check the forum post to ensure it is still available. If it is available, to secure that SDG, reply to the forum post with the following information:

• The SDG your team will work on, • what campus and workshop you are in, • the names and student numbers of the project team.

Once you have posted, you will not be able to change your option.

9

PPMP20018 Theme 1 – Current State Workshop Guide Term1, 2020

Note the SDG that your team has agreed to below:

What do you currently know about the social issue? (Consider only your team’s SDG)

What are examples of social innovation related to the social issue? (Consider only your team’s SDG)

There may be examples within the resources section of iCHANGE.

With the narrowed focus in mind (your team’s SDG) - who are the people (list six) involved in or impacted by this narrowed focus of social issue?

Stakeholder Describe how the stakeholder is involved in and impacted by the social issue

Activity: Persona Pick one of the stakeholders above (each member of the team to pick a different stakeholder) and individually use the prompts below to investigate and make notes of the stakeholder’s context and situation. Then come together and share your thoughts with the other members of your team.

What resource have you used to gain a greater understanding of the stakeholder’s context and situation? Decide on a process or situation this stakeholder is involved in or impacted by from the investigating you have done above. 1. Seeing What is your stakeholder seeing during the situation? 2. Hearing What is your stakeholder hearing during the situation? 3. Doing What is your stakeholder doing during the situation? 4. Saying What is your stakeholder saying about the situation? (Written or verbal) 5. Feeling What do you think your stakeholder is feeling? (Do not worry if these might be contradictory – the aim is to explore possibilities). 6. Latent need List possible unmet needs that your stakeholder may have in relation to the situation.

11

PPMP20018 Theme 1 – Current State Workshop Guide Term1, 2020

Ideas for project proposals

Current State (here look at the unmet needs of your stakeholder and frame

that into a current state statement)

Future State (Describe what it would look like to the stakeholder if this

need was met)

What needs to be done? (What needs to be done to

meet this need? Consider what actions could be done to start to move towards meeting this

need, i.e. what would make the situation better?)

Given the ideas above, and thinking about your interests, strengths and skills, the skills etc. of your project team members, and the constraints in relation to time (completion within the term) and resources (whatever your team can provide) take one of the ideas above and consider how you could develop it you’re your project proposal. Discuss the idea with your team and ensure that each member has a different idea that they will develop into a proposal.

Before the end of the workshop each team member (four emails if four members in the team) to email their idea (form their own student email address) for the proposal to the workshop tutor, ensure that you state what SDG you are working on.
