Welcome to the

Broadway Café! In business since 1952 and conveniently located in

downtown St. Charles, the café offers many different

kinds of coffees, teas, a full service bakery, homemade

soups, sandwiches, and salads.

There has been a recent change in ownership of the Broadway Café. A local

hotspot for many years, Mr. Griffin Thrift built the business piece-by-piece over

the last few decades. Mr. Thrift was an active member in the community and

knew almost everyone in the district. He was involved in all kinds of community

events from fairs and concerts to book clubs and school boards. He attended all

events held at the cafe to talk with friends, meet new customers, and solicit

feedback. With his recent demise, his grandson, Dr. Richard Hanson inherited

the Broadway Café.

The Broadway Café has great sentimental value to Dr. Hanson who spent many

boyhood vacations with his grandfather in the Café. Though he loves the Café

as it was, he knows that he will lose it entirely if the technology and other

workings aren’t updated. He has seen business steadily declining over the last

five years. Although his grandfather was an expert at running the coffee shop, it

is outdated and current operations need a complete overhaul. There are no

computers in the store and all ordering takes place manually. Mr. Thrift had a

terrific memory and knew all of his customers by name, but unfortunately, none

of this information is located anywhere in the store. The family recipes for the

baked goods and soups are also stored in the grandfather’s memory. Inventory

is tracked in a note pad, along with employee payroll, and marketing coupons. The Café does not have a Web site, uses very little marketing except word-of-

mouth, and essentially still operates the same as it did in 1952.

Dr. Richard Hanson has requested Lindenwood students to act as his consult-

ants and make recommendations for updates.

At The Broadway Cafe customers receive more than just a great cup of coffee -

they receive exposure to music, art, literature, and town events. The cafe’s cal-

endar for programs gives their customers a quick view into their corner of the

world - from live music and art displays, to volunteering, charity events and cof-

fee tasting. The cafe offers the following:

Music Center

Information to all live music events occurring in the area. The store also hosts

an open microphone two nights a week for local musicians. The cafe does not

receive any information on how many of its customers attend live music events.

Musicians typically maintain a fan e-mail listing and CD sales records for the

event, however this information is not always provided to the store.

Art Gallery

A space in the store filled with great pieces

from local artists. Artist gallery is run by several

local artists who pay the cafe a small commis-

sion on each sale. The cafe has no input into the

art contained in the store or information on

customers who purchase art.

Book Clubs

Customers can meet to discuss current and classic literature. Book club events

are booked and run through the local book store - Pages Up. Pages Up runs a

tab during the book club and provides the cafe with a check at the end of each

month for all book club events. The cafe has no access to book club customer

information or sales information.

Coffee Sampler

Customers can sample coffees from around the world with the experts. Coffee

sampler events are run through the cafe’s primary operations.

Community Events

Community event information is open to all members of the community. Week-

ly meetings are held where customers can find ways to become more involved

in their community. Each event is run by a separate organization, which provides

monthly event feedback to the cafe in a variety of formats from hand written

notes, to Word, to Access files.

Brewing Courses

Offer the finer details of the brewing, grinding, and blending equipment for sale

in The Broadway Cafe - from the traditional press to a digital espresso machine.

Also includes a trouble-shooting guide developed by brewing specialists. Brewing

and machine resource courses are run by the equipment manufacturer and all

customer and sales information is provided to the cafe in a Word document at

the end of each year.

Ordering from Brazil Beans

Brazil Beans, a wholesale distributor of coffee beans, buys overstocked beans and

sells them for a discount of over 50 percent to small and privately owned coffee

shops. Each month Brazil Beans has a variety of beans available for sale and Mr.

Whitaker needs to determine which beans to buy to make the most profit possi-

ble. He can order as much coffee as he requires. This month’s options include:

Shipping Costs

The beans are shipped from Guatemala to three distribution centers in the Unit-

ed States (Denver, Colorado; Santa Fe, New Mexico; and Fort Worth, Texas) and

are then shipped by truck to five roasting plants before transported to the cafe.

The roasting plants are located in Salt Lake City, Utah; Chicago, Illinois; Albuquer-

que, New Mexico; Jackson Hole, Wyoming; and Phoenix, Arizona.

Employee Time & Attendance System & Payroll

Mr. Thrift instituted a manual employee tracking system in the 1950s.The cur-

rent payroll process is manual and takes three employees two days each month

to complete.

Coupon Books

For the past 30 years, the Broadway Café hosted a coupon book fundraiser for

schools, sports teams, and charities around the district:. Each participant could

purchase coffee coupon books for $15 which they could sell for $20 netting a

$5 profit per coupon book. When customers return the coupons for coffee, the

lack of sales information gathered makes it impossible to tell how much money

the coupons are costing the café.

Line of Business

The Broadway Cafe has five traditional lines of business: (1) coffee sales; (2)

music sales; (3) food sales; (4) retail sales; and (5) promotional sales such as

coffee-of-the-month. Besides serving gourmet coffee, sandwiches and desserts,

the cafe also provides entertainment in the form of local bands, Internet connec-

tions, and floor-to-ceiling books in the Special Events room.

Lists

Mr. Thrift maintained many different customer lists from his Music customers to

Art Gallery and Book Club customers. Dr. Hanson is unsure if customer ad-

dresses are even correct. Each time he develops a new product he is forced to

create an entire new system to track sales. He does not have an inventory of

current books.

Issues

Dr. Hanson has implemented four new es-

presso machines and it is taking employees

time to get used to using the new machines.

He also has four new employees who are

getting used to the many different café ma-

chines. During peak hours the orders for

frappuccinos and cappuccinos is increasing,

causing long wait times and lines for custom-

ers. He can tell that customers are frustrat-

ed and wants him to get his workforce up-to

-speed on the new equipment.

Updates

Coffee-of-the Month & Tea-of-the Month Clubs

Customers who join the clubs will receive a significant discount on two pounds

of a unique blend each month from Brazil Beans and China Teas.

Coffee Press

One of Dr. Hanson’s best new products is a small coffee press from China.

Customers can create a drawing on a special piece of paper that is sent to

China and created as the outside of the coffee press. Customers are ordering

the presses for everything from children’s drawing for mother’s day presents to

marriage proposals.

Broadway Café Web Site

After acquiring a computer and internet access, Dr. Hanson developed a

website advertising his menu, nutrition, gifts, online ordering, catering, and

coupons. The website has a mechanism where customers can communicate and

post feedback. Testimonials increase customer satisfaction so he reviews the

communication daily to help understand customer issues and concerns.

Mobile Coupons

Dr. Hanson has also been encouraging customers to come to the Café by

emailing mobile coupons to a select group of people. Mobile Coupons are

tracked for better data.

Future Projects

YouTube

YouTube has been used by other companies to share important messages with

their customers. Customers can access The Broadway Café’s message from

their personal device or from a TV monitor in the Café. Dr. Hanson considers

using YouTube as a venue to disperse important announcements.

Coffee-on-the Go

Dr. Hanson would like to have a Broadway

Café truck that will drive to the office park at

Clayborn Road offering coffee and other

items for sale each morning and afternoon.

Customers in and near the office park will

love this service as there are no other restau-

rants or food trucks nearby.

Music To Go Package

Dr. Hanson loves music and is working on a plan to offer an in-store music

service allowing customers to sip on a mocha latte while using headphones to

listen to any of 250,000 songs located on portable kiosks in the cafe. Customers

can order songs they like for a set price and a sales associate will burn them on

a CD and deliver the custom-burned CD to their table. The promotion is called

The Broadway Cafe Music To Go package. Dr. Hanson believes that selling

music can greatly increase the cafe’s revenue. Prices will be comparable to

Apple's iTunes service: $6.99 for five songs, the minimum purchase. Albums will

cost $12.95. To appeal to a younger set, he will eventually offer wireless

downloads to laptops or portable players. At the very least, being able to listen

or buy music at the cafe could enhance his core business and keep customers

coming back. The time it takes a customer to order a latte, they could have any

CD burned on demand.

Broadband Internet Access

With $100 million in equity financing, Current Communication plans to

introduce broadband service over power lines in St. Charles later this year.

Broadband Internet Access connected directly into electric outlets could

become a new service option in the café for his customers.

Future Projects

Dishwasher-safe Keyboards & Mice

The cafe has a limited budget for computer equipment. One of Mr. Thrift’s

most valued employees, Nick Zele, is highly technical and always insisting that

the cafe is outdated and needs to upgrade its equipment. Nick’s latest push is

for dishwasher safe keyboards and mice for the cafe’s kiosks. The spill proof

equipment would last longer and could be washed daily to remove germs and

bacteria. The cost of the new hardware is around $1,000 for a keyboard and a

mouse.

New Payroll System

Dr. Hanson wants to outsource the entire procurement, customization, and

installation of the new payroll system to PLY, a large consulting company that

specializes in systems analysis and design. The company has over 2,000

employees and first-quarter revenues reached $15 million. The company prides

itself on maintaining an 85 percent success rate for all project implementations.

The primary reason attributed to the unusually high project success rate is the

company’s ability to define accurate, complete, and high-quality business

requirements.

Updated Time & Attendance System

Time and attendance software is critical to the business because it can ensure

that Mr. Whitaker has the right employees, at the right place, at the right time,

which can increase sales. He never wants to find himself short staffed during

busy times and overstaffed during slow times. Also, accurately accounting for

employees’ time is crucial to effectively analyzing labor expenses, which are the

largest operating expense the cafe incurs. Conveniently, time and attendance

solution providers, time clock manufacturers, and software development

companies are developing high-quality affordable products.

Blogs & Newsletters

Dr. Hanson would like to develop a few blogs for customers and for employees.

The goals for his customer blog is to gather honest feedback, provide a place

for customers to interact, and help find new opportunities for the cafe. The

goals for the employee blog is to gather knowledge, collect employment feed-

back, and offer a place where employees can post anonymous feedback for is-

sues and concerns. He also wants to begin mailing a monthly newsletter to his

customers discussing everything from current coffee growing trends to commu-

nity events. He does not want to use e-mail to distribute the newsletter as he

wants to place a coupon marketing a free cup of the coffee in each newsletter. If

he e-mails the newsletter he could not control the free cup coupon.

Payroll Manager—Joan Tahoe

Joan Tahoe is Dr. Hanson’s cousin and has worked at the Broadway Café for

many years. Like Mr. Thrift, Joan is pleasant, works well with the employees and

is able to call many of the remaining customers by name.

As the payroll manager, Joan collects timesheets and reviews them for accurate

employee clock in and clock out times. She calculates regular, overtime, and

holiday hours as well as sick and vacation time, totaling them on the timesheet.

The timesheets are sent to Mr. Whitaker for approval. From the timesheets the

Joan calculates regular, overtime, and holiday pay, adding in commissions. After

the total pay is calculated, the timesheet is sent to the Ms. Kittredge to calculate

taxes. Sick time and vacation time are tracked in a separate document. Joan then

prints labels that state each employee’s name and pay period and places them on

a new timesheet and returned to the employee punch clock.

Joan acts supportive of changes, but Dr. Hanson senses some reticence. It is

unclear whether this is due to frustration with the inheritance or not feeling

needed once the changes are made.

Store Manager—Ted Whitaker

Ted Whitaker has worked at the Broadway Café for nearly 30 years. He has not

only worked every position in the store but has done some jobs that are now

obsolete such as cleaning customer’s shoes and taking garbage to the dump in

the back of his pickup. He always looks for ways to improve the Café and is

happy to work with new ideas.

As the store manager, Mr. Whitaker makes sure the Café runs smoothly,

cleanly, and meets budget and sales goals. He plans the daily schedule of

employees and the business, interviews, hires, and disciplines employees. He

makes sure the store is stocked, cleaned and in proper working order, creates

and maintains budgets, and coordinates with and reports to Dr. Hanson. Mr.

Whitaker reviews and signs timesheets after completion by the payroll

department, validates times on employee timesheets against their scheduled

work hours, tracks staff member’s vacation and sick time, and submits a

separate listing of each employee and their corresponding commissions for

initiation fees and memberships sold. He often works on the floor during rush

hour or when short employees.

Dr. Hanson has a wide variety of employees at The Broadway Cafe. Some of

the employees have been working at the cafe since before he was born and

some are brand new. Dr. Hanson trusts some of the employees as well as he

trusted his grandfather, and others are new to the cafe and he is starting to

build a working relationship.

Employee Bios

Tax Manager—Mary Jane Kittredge

Ms. Kittredge has worked at the Café a couple of years. She continues working

at the Café even though she believes it will not be in operation much longer. She

has little confidence that Dr. Hanson can stop the Café from closing. She per-

forms her job adequately but without enthusiasm.

Ms. Kittredge receives the payment amounts from the payroll manager. She

calculates all city, state, and federal taxes, and deducts health benefits and retire-

ment plan benefits. Ms. Kittredge cuts the check to the hourly and salaried em-

ployees, corresponding checks for taxes to the government, and reissues checks

if incorrect amounts were issued. In addition, Ms. Kittredge manually calculates

W2s and all quarterly taxes, tracks amounts owed by employees that have gone

over their sick or vacation time, and corrects personal information on employ-

ees such as change of address.

Ms. Kittredge complains that the part of her job that is time consuming is corre-

lating the total cash debit for all checks and the total amount calculated for all

(cont.) checks. These numbers frequently do not match, indicating that a check

was written for the wrong amount. Still, she does not trust computers to do the work she does and is distrustful of proposed changes in the Café.

Managers

The Broadway Café has a day manager, Arthur Balor, and an evening manager,

Carol Smith who work directly under the general manager, Ted Whitaker. They

manage day-to-day store operations, maintain high standards and conditions, and

see that baristas provide consistent fast, efficient, and friendly service.

Arthur Baylor makes working at The Broadway Café fun. He is positive and

energetic. Despite his likeable character, he too is worried about his job. Be-

tween his concern for the declining clientele and the Starbucks rumors, Mr.

Baylor has been unusually uptight recently. As a day manager, he is responsible

for opening the Café.

Carol Smith’s easy elegance and designer touches to the dining room for

evening service makes the daytime coffee shop seem like a classy pub when the

sun goes down. She has her eye on a swanky job in downtown St. Louis. Howev-

er, if Dr. Hanson uses some of her decorating ideas, she could be persuaded to

stay. At the end of her shift, she closes and cleans the Café.

Cooks

The menu consists of soups, salads, sandwiches, and desserts. The cooks re-

ceive orders from the baristas, assemble the meals, and set them on the coun-

ter for the baristas to deliver to customers.

Louisa Durand, a close family friend, has been a short-order cook at the Café

for many years. With no family of her own, she is content to remain as long as

possible. She is always perfecting her recipes and calls herself a chef. Although

possessive over her kitchen, Louisa respects Mr. Washington’s skills. There’s a

friendly rivalry between the two. Louisa works day shifts while Mr. Washington

works evenings.

Jeremiah Washington wants to run his own restaurant someday but knows

he has a good position as a short-order cook at the Broadway Café. He doesn’t

plan to leave his position any time soon. He works hard and learns all he can

Assistant Managers

Assistant managers Deloris Smith and Josephine Williams work with Mr. Baylor

and Ms. Smith to insure the efficient running of the Café.

Deloris Smith is the quietest member of the Broadway Café staff and rarely

talks about herself. She works specifically with the new hires but is finding it

difficult with all the staff trying to learn the new expresso machines at the same

time.

Josephine Williams speaks English, Spanish, and French, which is helpful with

the Café’s non-English speaking customers.

Baristas-Level 1

Faye Wilson, Oswald Caldwell, Leon Tucker, George Thompson

Dr. Hanson hired these employees after he inherited the Broadway Café. The

baristas take orders for a variety of coffee drinks and other menu items. The

orders for other menu items are passed to the cooks but baristas prepare and

serve the coffee items. They must quickly master recipes and the machines.

It is taking time for them to learn how to use the machines, causing frustration

to both the employees and customers as long lines and wait times develop.

Baristas-Level 2

Level 2 baristas perform the same duties as level 1 baristas but are also able to

teach brewing courses and sell brewing machines of which they receive a com-

mission. It takes intensive training to be promoted to level 2.

Nick Zele started working at the Café during high school and continues

through college. Nick sees great potential in the Café and being highly technical

is always insisting that the cafe is outdated and needs to upgrade its equipment.

Cornelius Brown can operate the expresso, cappuccino, and Frappuccino

machines with his eyes closed, but it’s a good thing he doesn’t because he has

gorgeous brown eyes that attracts quite a number of the female population. At

times he has to be reminded to stop flirting but usually he manages to talk and

work at the same time.

Terri Rouse is a single mom with a 2 year-old son. She is particularly good at

sales and earns high commissions on the sale of Coffee or Tea of the Month

Memberships. Faye heard a rumor that Starbucks might be opening a store a few

blocks away. She and the other employees are worried that the competition will further affect Dr. Hanson’s business.

Sick Leave/Vacation

Cooks and baristas receive 5 paid sick days and 5 vacation days per year at their

base pay. If an employee takes more sick or vacation days than allowed, he/she

must sign a form stating that if they quit the job, they will pay back all negative

vacation or sick time.

All managers receive 10 paid sick days an 10 vacations days per year at their

base pay. If an manager takes more sick or vacation days than allowed, he/she

must also sign a form stating that if they quit the job, they will pay back all nega-

tive vacation or sick time.

Overtime/Holiday Pay

Cooks and baristas each receive time and a half for overtime and holidays.

Commissions on New Memberships/Coffee or Tea of the Month Club

Level one and two baristas receive $25 from a new sale from the initiation fee.

They also receive 10 percent of the type of membership sold. Membership types

Tips left by customers are pooled together and shared between level one and

two baristas.

Performance Review

Dr. Hanson personally interviews each employee bi-annually in which he discuss-

es work ethic, customer satisfaction, employee relations and personal improve-

ment. Employees are encouraged to share ideas for improving the workplace.

Training on Coffees/Blends

Thorough training is given on coffees and coffee blends, the machines, and

product demonstration. Level one baristas are promoted when they demon-

strate proficiency.

Discount Cell Phones

The Broadway Café recently teemed with Verizon Wireless to provide dis-
