Current Process
The silo that I’ve selected is similar to my current job process of Teleworking
from home, more especially since covid-19 came into play. Telecommuting is defined as
working from home through use of the Internet, and Telephone. Many IT companies are
allowing the employees to work from home and to be able to complete the daily work tasks can
be challenging. The current process of working from home with my company could be improved
especially in technical support, Company customer support with HR, and hardware issues. When
the company have network outages, password log in issues, and other technical issues there is
much room for improvement. If there is a hardware issue with your pc then it’s not like being in
the office where you can get it replaced in a day or 2, at home the defective hardware has to be
shipped and in the meantime the worker is not able to work unless they go into the office. Team
meetings using skype business and also online training is defiantly a challenge. Some companies
have mandatory team training courses that are required online and sometimes once completed in
the end a network issue may cause the worker to start over again.
Scenario
Employees use company computers and varied networking technologies to do their job
assignments from home. These job assignments are the same as the traditional ones done at the
workplace, but with slight modifications to cater for its distributed and remote nature.
Improvements can be made to ensure that working from home have a positive impact on
productivity, efficiency, and overall employee satisfaction. The increased popularity of
telecommuting suggests that employees and companies highly value the beneficial outcomes of
working remotely. However, it is important for telecommuters and supervisors to consider the
implications of telecommuting in order to evaluate if flexible work arrangements are suitable for

the company’s culture and employees. One of the biggest challenges of telecommuting is
technical problems. IT glitches, hardware problems, and app and software issues can halt
productivity in its tracks. The fix: You can't prevent software bugs or hardware malfunctions, but
you can try to stay one step ahead of them, but all the other issues can be resolved by having a
good Telecommuting Policy, good technical support teams, upgrade networks with overloaded
network capacity, a good Team Camaraderie, and an excellent Internet Service Provider (ISP).
Stakeholders
The stakeholders include Manager, Employees (Team Leads, Technical Support, HR, ),
Contractors, Vendors, and Clients.
Distinct Business Activities
The distinct business activities include logging in to work, connecting to company's
network, log into skype business and email, completing daily work tasks, attend daily meetings,
attend mandatory training when assigned, submitting weekly timesheet, communicating with
team members and manager, setting up meetings with clients.
AS-IS Business Process
Prior to teleworking, teleworkers and their managers must participate in formal training,
and sign a telework agreement. For future teleworking agreements, managers will meet with the
teleworker individually to discuss objectives and prepare the teleworking agreement. Before an
employee completes a Telecommuting Agreement, the employee and supervisor must
complete an Employee Expectations Agreement. Employee agrees to perform services for
Employer as “teleworker.” Employee agrees that teleworking is voluntary and may be terminated
at any time, by either the Employee or Employer, if abused and rules are not followed in
accordance with the agreement with or without cause. Once training has been completed and the

teleworker agreement has been signed the daily work schedule for the days when working at
home is subject to negotiation with and approval by Employee’s manager. The manager may
require that teleworker work certain "core hours" and be accessible by telephone during those
hours. The teleworker agrees to have their work phone transferred to their home location on
telework days. The phone will be answered regularly as if on-site. A work schedule has been
discussed with the manager for time of day start and end time and days of the work week.
Employer may provide the necessary computer, modem, software, and other equipment needed
for teleworking. All of these items remain the property of the company and must be returned to
the company upon request. The computer, modem, software, and any other equipment or
supplies provided by Employer are provided for use on company assignments. The company
offers (AWS) Alternative work schedule and also flex time to allow the worker to choose if they
want to work 4 nine-hour days or work 5 days and take off a day of the week every other week,
all the details are included in the telework agreement. Teleworker should complete a work plan
prior to the planned telework day and forward to supervisor. Add tasks as applicable for telework
day. Supervisor and teleworker should review and adjust plan as necessary to ensure productive
use of teleworking day. Teleworker and supervisor should revisit Work Plan following telework
day, discuss accomplishments, challenges, and upcoming tasks. The teleworker must ensure at
the beginning of each week the business day starts out by logging into the company’s network at
the workers scheduled shift, once logged in time has started for work hours until the end of the
shift for that day. The teleworker must log in thru the company’s VPN network, if there are log
in issues technical support must be notified. Once employee is successfully logged in, they are
required to log into skype business which also tracks when they are on working or if they are
away from their PC and how long gone. Teleworker must also read and respond to emails, send

email to external telework colleagues, check in and give status update to team lead who sends
status to manager, catch up on reading related news/reports stuck in email box. Teleworker must
log into the time sheet portal and complete a weekly timesheet. During work hours telework will
escalate network issues to technical support. Teleworkers must develop regular routines and set
deadlines for completion of work. Teleworkers must complete a keep track of daily work
activities and complete a weekly status report that goes to the manager and program Director.
The teleworker agrees not to conduct personal business during working hours and to keep the
Outlook calendar up-to-date, and to check emails at all times. Mandatory training will be
conducted by all teleworkers at times schedule once notified of dates and times available.
Teleworker must attend all weekly team meetings, staff meetings and conference calls via
business skype, teleconferencing or cisco jabber. It is up to the teleworking employee to verify
time sheet and administrative items are correct, telework can log into the company’s HR portal to
verify personal information is correct and up-to date. The teleworker employee agrees to notify
their manager if their internet, phone, or VPN access is limited or unavailable immediately upon
becoming aware of it. The manager will decide if it is necessary for the employee to come to the
office to work the remainder of the day.
