THE SCOPE OF THE TENDER PROJECT

In this project we are going to focus mainly on the concept of mining, we have realized that mining is the considered to be the second earliest human activity after agriculture which was considered to be the first one; we have realized that the industry of agriculture and mining ranked together since they played the important role of early civilization. There is consideration of both fishing and lumbering as agricultural activities similarly both oil and gas production are considered as mining. Therefore, mining and agriculture have been used to supply all the basic resources by the modern civilization (very and Boyd, 2017, 63).

BACKGROUND INFORMATION

Mining has actually played an important role and therefore mining simply means the extraction of any natural occurring substances of minerals which may be in form of the solid, liquid and even gas. Mining has actually been used abundantly in the provision and creation of the wealth, since when it is marked in the open market, it enable s the countries which possess the minerals to actually obtain the valuable currency from the countries that are not capable to produce the minerals. Therefore mining in a given country is actually vital since the countries which are having the mineral are capable of receiving a high standard of civilization. We have realized that different countries are actually having different minerals that are essential for the development of that particular country and this helps in the attraction of the foreign traders who are interested in the trading of the minerals hence it helps in the creation of the wealth and also help in the civilization process of most of the citizens who are coming from the countries where there are minerals (Stone, 2015, 10-13)

1. TENDER APPLICATION PROCESS

1.1 PROJECT JUSTIFICATION AND THE CONTRACT PROCESS

The justification of the mining is actually to help in the confirming that the project is addressed concerning the needs and this helps in paving the ways for the improvement of mining. When mining is taking place the stakeholders and the parties which are involved come to gather to ensure that there is solution to the project especially when mining is taking place, the stakeholders will come up with the reasons why they think that the solution they are providing is the best, mining justification includes the environmental analysis, when doing mining project the environmental analysis should be considered where the business environment is considered if it is favorable (Zhang, Luo and He, 2015, 104)

The project initiator should actually ensure that the areas that require the improvement during the mining is taken care of and he or she ensures that he provides the solutions to the issues that might affect the project. The project initiators must also have the alternative analysis and on the same, there should also impact analysis that helps to solve the problems that if one solution does not work the other solution is likely to work. Cost-benefit analysis should also be done during the justification of the project and this involves focusing on the benefits that can be produced when the proposed solution is actually proposed. Financial analysis is also considered to be important in the justification of the project whereby it aims at developing the financial and the nonfinancial projections that help in the determination of what efforts and money are actually required in the performance of the project of mining.

2. ETHICAL VALUES

Tendering process and purchase of all the materials shall have to a bid within the ethical values of the company. Therefore, any form of discrimination or lawlessness shall be dealt with appropriately.

The following will be ensured by our tender:

· Conflict of interest will be dealt with appropriately.

· The company issuing the tender will be fully accountable for the tendering process and decisions made.

· Tendering process will follow the set legal order and policies of the company.

Therefore, all the stakeholders and person s that interest in this project are advised to conduct themselves in accordance with the laws and regulations and the ethics of the company. As such all vices such as ant0-competition, discrimination or kickbacks should be done away completely in order to create a good and fair battle ground for the best bidder to win the tender and carry out the project to completion successfully.

3 CONTRACT DURATION

The contact process in the case of mining includes the timescale, we have realized that for the contract to actually to take place there must be timescale that determines how long the contract will actually last. The contact process also includes the legal procedures that in case of any breach of the contract there should be a clear and legal procedure that should be followed and this helps the contract in the project to be honored by both the parties which are involved.

3.1 FINANCING OF THE PROJECT

The financing of the project is actually considered to be vital sine for the project cannot run without finance, the financing of the mining project can actually be done by the government since the government sometimes is willing to generate more income to the country, it can help to offer finance that will be helpful to ensure that the mining procedures take place. The other financing group that can help to ensure that the project is running well are some of the nongovernmental organization which are will to help boost the lives of the people in a given area can decide to finance the project of mining, the project can be financed by some of the big organization that is willing to benefit out of what they are doing and this will even help them to get some benefits, banks are also sources that can help in financing the project since they are benefit oriented organizations this has been essential since they help in financing the project to gain some benefits (Telsnig et al, 2017, June).

3.2 PROJECT CONDITION, TEAM AND THE PROCESS REQUIRED

For the case of this project of mining, we have realized that the conditions include legal scope this whereby the consulting contracts and some of the agreements are made a binding when they are confirmed by the contractor and signed and they include the written agreements. Another condition for this project includes preamble which are the general terms for the business consulting, this case involves the professional consultant and also the consulting firms. The other process which will be included in this project is the scope and the realization of the consulting contract and we shall also have the duty of the disclosure by the client this becomes the responsibility of the client to ensure that documents are well kept for the completion of the contract and they are made available to the contact consultants.

The project team for the case of the mining will actually include the mining engineers who are responsible to ensure that the work of mining is done well and the rules and the regulations are followed, the other team is the project managers who are responsible for the management of the project and to ensure that every aspect is actually put in line and finally we shall have the project stakeholders (Martinez, 2017).

The project process required in this case project initiation which is the starting point of the project and it majorly includes the activity of pre-sale. After that, we have the project planning and it is majorly there to ensure that it addresses the requirements scope of the project, budget, and the timeline. We also have the project execution process where the paperwork of the project is doe here to help in the achieving of the objectives of the project, we also have the control and validation of the project process and lastly closeout and evolution process and this happens once requirements have been achieved and the implementation system is handed over to close out the project (very and Boyd, 2017, 63)

4.0 TENDERING PROCESS

In this project of mining we have realized that the expected estimate to the tenderer for the project labor is actually is about fifty workers where we can have four engineers who are responsible for the supervision of the work that is done and also they ensure that everything is okay, we can also have machine operators which can be around 20 people these are people who are having different occupation in operating the machines that are used in the mining sites. The other 26 people remaining can be the responsible for subordinate staffing. The plant materials that are needed for this project are safety materials, machines that are used to make work easier, the contractors that are needed for this project can be around 3 the one responsible for the supply of materials needed, the one responsible for the safety materials used at the site and the ones that ensures that the machines used in the sites are adequate (Stone, 2015, 10-13)

4.1 REQUIREMENTS FOR PROJECT CHANGE

My requirement for the project is actually based on the failure to obey the conditions of the contract that was actually signed; another requirement is that when the project is done illegally without legal procedures if the project takes a long time more than the required time. The other requirement is that when the funds are not used well it may lead to a change of the project favorable (Zhang, Luo and He, 2015, 104)

4.2 QUALITY ASSURANCE AND CONTROL.

My requirements for quality assurance the materials that are used in the project are of a good standard to ensure that there is quality work, there must also be professional staff for the project this will actually ensure that there is a quality assurance in the project. On the other hand my requirement for the quality control is to ensure that better standards are actually uplifted in the project to come up with the best final products in the project, the other requirement in quality control is to ensure that there are better services to the workers to provide quality work in during the project because it helps for the project (very and Boyd, 2017, 63)

4.3 STATUTORY REQUIREMENTS

In this case, the requirement for my document management of the project should be in the hands of the director of the project for the transparency and easy access of the documents and also the stakeholders who are involved in the project to be. The contractors should also have a clear document that shows how they have to handle the project. The employees should actually bee reporting to their respective project coordinators and the project coordinator to report to the project manager who is responsible for the overall project coordination. According to my requirements, the project is supposed to be governed by the project manager and the respective stakeholders who are also involved in the project.

4.4 CONFLICT RESOLUTION

Disputes may arise in the project when funds are mishandled by the managers and the stakeholders, or the contractors, for the arbitration and mediation to take place when the project is actually going on and there arise some disputes, the stakeholders must be present from the tenderer and the ones who have taken the tender, the contractors, there should also be the managers of the project and a third party who is not directly involved in the project to help in solving the dispute and also a legal officer may also be included to help in the moderation of the dispute (very and Boyd, 2017, 63)

4.5 REQUIREMENTS FOR SAFETY

My requirements for safety in the project is that there must be healthy environment for the employees who are working on the project, safety materials like boots should be provided to the workers on the field life jackets, first aid kits should be available with those who are operating them to ensure that any injury is actually attended to, there should be health unit where the workers of the project are seeking medication when they don't feel well or in case of minor injury (Stone, 2015, 10-13)

5.0 OBLIGATION OF THE PRINCIPAL

5.1 DEFINITION OF THE PROJECT:

The main project under this tender is the delivery and supply of trucks to be used in the transportation of the raw materials from the coal mines to the site. Therefore, the tenderers are invited to the site for the bidding process and see the quality of the work that is required of them when they win this tender.

5.2 FINANCING:

Financing of the project is as quoted in the tender form. Tenderers must be aware that there is uniformity in the amount of allocated for the project and the winner of the tender will have to work with the located funds.

5.3 DISPUTE RESOLUTION

A fair platform will be provided for all tenderers. The associate council will apply alternative dispute resolutions in the event of a conflict .during the initial stages of conflict, in house mediation will be carried by the council. External practitioner will be contacted to conduct complex disputes that cannot be managed by the council where advanced disputes will proceed to the courts. In order to do away from disputes arising, the council will ensure that the tendering process is transparent, non-discriminatory and accurate. Successful tenderers will enjoy equal opportunities in presenting their bids where the tenders are passed through same procedure .those tenders who are not successful will notified to avoid further complains.
