Description of Project and Rationale
There has been many challenges our company has had to overcome, many of which could have been obsolete had we have been teleworking. As employees, we have developed an idea that would not only benefit us and our company, but most importantly our customers. Our idea is to enforce teleworking as an option to all employees. Teleworking would increase productivity, and effectiveness of our company’s overall mission. Our rationale stems from the many challenges we have faced thus far. Examples would include, but not limited to: inclement weather, protesters causings delays, medical reasons making commuting to work a burden, and lastly the morale of the employees. More work is liable to get completed from because the likelihood of an employee being late from home is very slim. That in turns, allows for us to better service our customers with prompt and excellent service.
Project Stakeholders
Identifying the stakeholders of a project is vital to ensuring the project’s success. “Important stakeholders in any project include the clients of the project and the host or performing organization in which the project is being done” (Cobb, 2012). For this telecommunication project, the primary stakeholders include the management of the company, specifically the human resource manager who will be acting as the lead of the project, as well as each individual that will be selected to work from home. The individuals working from home are the most invested of all of the stakeholders because their employment is reliant to the success of the telecommunication project.
Overview of Project and Resource Requirement
Overall, the ultimate mission is to develop a success work-life balance by incorporating teleworking. The high level task associated with incorporating teleworking so that is beneficial for the company is ensure that everyone “telework ready.” Being telework ready includes taking necessary informative online training; ensure everyone has been ensured equipment so that there are able to work productively from home, such as a laptop and mobile hotspot. Although it may seem expensive issuing equipment for the company, it will only cost the company an initial $125,00 for the equipment, and a monthly service fee of $10,000. The money will be funded from the Equipment Fund that barely gets touched every fiscal year. Once the contract for the telework equipment is approved, it should only take 90days before we can fully implement the telework agreement with the company.
In order for the telework agreement to be successfully implemented, it is imperative that the all resource requirements are met. The primary resources that are required are: funding source (we need money to purchase and sustain the equipment; will utilize our monies in our Equipment Fund given by Congress every fiscal year), proper equipment ( everyone must be equipped with laptops and portable hotspot for internet so that there are no obstacles with accessing the company’s network.) telework training (although it does not take a substantial amount of time to complete, all employees must go to Telework.gov and complete the Telework 101 Training in order to ensure that everyone is on the same page regarding safety, and the proper handle of confidential information.). With those resource requirements met, incorporating telework within the company should be a success.
Steps To Take To Assemble, Develop, and Manage the Project Team
As with most projects and ideas, there are several steps that need to be completed in order for thing to be successfully implemented. The idea of bringing telework to a company is no different. Like all projects, the biggest step is planning! Additionally, there are six steps requirements that must be met, which are: “Know your Telework Managing Officer and Telework Coordinator, Know your policy and procedures, Successfully complete mandatory training, Enter into signed, written telework agreements, Make good decisions about equipment, and Address safety and security responsibilities” ("Telework Basics", 2017).
Importance Of Project Sponsorship And Project Leadership
We all agree that if we allow our employees to telecommute from home, we will be able to provide better customer service to our customers and reduce the energy cost to our operation, which will be reflected on in our overall bottom line. As we move forward with having a more energy efficient workplace, our project will need someone from our Finance Department to be our Project Sponsor. The Project Sponsor should be someone with a vested interest in the outcome in the project. Our Finance Manager would be critical to role as they are looking for cost reduction whenever possible. The Project Sponsor will continue to monitor the overall cost savings of employees being able to telecommute from home against the previous energy cost of everyone reporting to our facility during the Same Period Last Year (SPLY) data. Our Project Leader during the life cycle of this project will be our Manager of Human Resources. The Manager of Human Resources has the most knowledge of employee availability. The Manager of Human Resources will be the best fit for planning and scheduling of who and when employees will be able to telecommute from home and when they will be needed to report to the job site.
