SUBJECT:    PROPOSAL FOR FINAL PROJECT

 

We would like for you to approve the topic for our report recommending the upgrade to our medical records procedure to a Certified Electronic Record System for the Uptown Medical Clinic in California. The report will look at the best Certified Electronic Record Systems and the benefits they will provide to the clinic. The Three Core Value Consulting Agency will submit this report to Dr. Joseph Coleman, who is the Managing Director for the clinic, upon request.

Background

Uptown Medical Clinic is the only clinic offering services to the small town of Virgin River, CA. As the only clinic in the vicinity, we experience long queues for those visiting to seek rapid health services. Unfortunately, we here at Uptown Medical Clinic are still using outdated paper records for our patients, which makes finding and updating medical records laborious. The accessibility of paper-based records can be very problematic when other medical facilities and professionals request charts with a rapid expectancy rate, just for us to have them dispatched first, then electronically converted into the system before they can be accessed by other parties. This process has become time-consuming and inefficient.

Similarly, there have been various misdiagnosed procedures due to the inability to read handwriting which has caused a lot of missed overviews regarding patient history, as well as treatment. Poor handwriting becomes difficult for physicians to read, missing overviews could lead to errors in diagnosis, prescription, and treatments as well. The managing director, Dr. Joseph Coleman has requested my team and I to investigate the best alternative methods and possible recommendations we feel could be adequate to make the data services easier, as well as more accessible.

Proposed Project

The results of this project will be used by the clinic to help with advancing its system and improving the patients’ services. Therefore, we will look at the various advantages that will be brought about by the proposed system, and then our managing director will compare it with other methods to make an informed choice. Our project will follow the outline that is presented below:

4. The system used by the clinic

5. Policy, Legal Ethics, and Regulatory issues

6. The proposed EHR (Electronic Health Record System)

8. Implementing the new system

We will use this report as an opportunity to present Dr. Joseph Coleman with the benefits of converting over to a more reliable electronic procedure and system, our effective recommendations, and the goal to improve the reoccurring issues within the medical clinic, thus far.

Plan of Action

We are planning to visit Dr. Joseph Coleman to obtain more information regarding the kind of problems the facility has been facing, as well as his vision and goals for the medical facility’s new proposed electronic system. Our work will also incorporate getting insight from professionals from EHR who could weigh in and give suggestions regarding the best course of action. 

Qualification

Our team comprises members who have worked in various ICT projects, thus giving an assurance of completing a thorough project with well-informed decisions. Having gone through Doctor of Information Technology (DIT), Daniel Agbeniyi will be an excellent source of help in this process. Similarly, Talia Gamble has handled a CIO post in the Denzel Company, which is very competitive and stretched, thus adding vast knowledge and skills in terms of educational, theoretical, and practical skills. Busayo Oyewole, holding a degree in Health Information Management and Data Analysis, will be handling all projects related to updating system recommendations.

Resources

Our professors have agreed to help up us in various ways throughout this project to ensure that it is successful. They will help in terms of offering directions and advice on how to go about it. Managing Director, Dr. Joseph Coleman, has offered to assist us in terms of finances and other resources that we may need during the entire process. With the two experts on data within our team and all other materials that we require including, books on systems recommendation, we do not expect to have any issues working on this project.

Conclusion

We are eagerly awaiting Phase 1 of this amazing project. This will, without a doubt, help boost our knowledge, skills and expedite medical records to effectively maintain data going forward.

Talia gamble made a research on the topic, proofread, and edited the document for final submission.
