WORKSHEET 2.1: Letter of Inquiry Questionnaire

1. What is the purpose of this letter of inquiry? To whom is it being sent, and what is the connection?

The main and only purpose of this letter of inquiry is determining and presenting my organization, and its proposal fits with the eligibility of the funder’s foundation (XYZ) guidelines. Consequently, this letter aims at making sure the XYZ’s foundation goals, objectives and missions concur and are in line with my organization’s activities and missions before I put together a full proposal requesting funds (grants). The connection lies on the mission, activities and objectives of the Funder’s foundation and my organization (XTY). XTY thus aims at introducing itself, its activity of enhancing the learning and reading capabilities of Children at Orchard Middle School.

2. What year was your organization founded? What year was it incorporated?

My organization, XTY was founded three years ago on 25th march 2017. This was when my board members and I spotted the need of improving reading skills among children in middle school across Orchard region. After the formation of relevant organization bodies, my organization, XTY was incorporated on 24th May, 2017. Thus, the organization has legally operated within the last two years.     

3. What is the mission of your organization?

My organization’s first mission was to improve learning equipments in 20 middle schools in the Orchard region. This was the first step that ensured the 20 Middle school have current learning materials that would enhance and increase the reading skills of the pupils. This came after one school, Orchard Middle School, the largest middle school in the area has over 150 students at risk with poor reading skills behind their current grade levels.

4. What are the long-term goals for your organization?

First, my organization’s major long-term goal is to ensure there is zero cases of reading skill issue among pupils in Middle schools in the Orchard region. Secondly, the XTY organization aims at furnishing the 20 schools with latest adequate learning and reading materials. Third, XTY organization aims at building a mega regional library for junior students staffed with qualified personnel who will help the pupils with their reading and learning skills when schools are closed or during weekends.

5. What programs does your organization provide that support these goals?

Fist, my organization provides learning and reading equipments like books, tutorials, and teaching staff. Consequently, my organization provides the 20 schools with 5 trainers who take the teachers through on how to improve the reading skills of their pupils. My organization also provides socializing programs in form of co-curricular activities like sports, music spelling, and spoken word competition that encourages the students to improve on their reading skills.

6. What is the need in your community that you seek funding to address?

The Orchard community seeks to improve the reading skills of their little children since it has strong roots and beliefs in early child education. Secondly, my community’s per capita income is relatively low compared to tuition expenses. This explains why most Middle schools in Orchard area do not have skilled personnel and materials in helping the pupils to improve their reading skills.

7. How in your organization’s view is the need related to our programs, long-term goals, and mission?

My organization needs related directly with your programs since they both aim at increasing the literacy levels through supply of learning materials like books, pens, and training teachers. Both also have a relation since they sponsoring other co-curricular activities that increases the self-esteem and reading skill of pupils and students. Your foundation and my organization also engage in community activities like building classrooms, libraries, and programs like student motivation in learning.

8. What do we propose to do about this need?

On behalf of my organization XTY, we propose to equip Middle schools in Orchard with adequate and relevant learning materials that will help in improving children’s learning and reading skills. We also plan to reduce the high cases of reading problems among the students by organizing spelling, reading, and spoken work competitions twice a month. Consequently, we propose to seek adequate resources that will help the organization in building, and staffing the Orchard region’s library, and train local teachers on the m=new methods of increasing students’ reading and skills.

9. What outcome do we anticipate after the first year of funding?

The first year, based on our preliminary research, among the 20 middle level schools, about 800 students have poor reading skills with more close to half the number not capable to read basic English. Since the community is composed of mixed races, we anticipate that by the first year, we shall have reduced this number 40%, increased the current learning and reading material supplies by 50% and enrolled about 350 students in our weekend reading tutoring services. During the first year, we expect to commence the building of the Orchard library.

10. What is the total cost of our proposed idea for the first year (or multiple years if we plan to request multiple-year funding)? How much do we want from this funder?

Since this is a multiple year project, our organization’s proposed budget was $3,000,056 for the entire project’s life cycle of 3 years. This amount will enable us to execute the first year’s plans effectively since $1, 325, 869 will be used in the first year alone due to the number of activities set to start. From our international donors from Spain, State government and the federal government’s funding, we managed to secure $2,800, 045. Therefore, we ask your foundation to assist use in closing the $200,003 gap in achieving our target fund.

RE: READ TO SUCCEED! PROJECT

Dear Sir Charles,

I am grateful for the time Jon Reyes took to communicate with us on how our organization’s programs fit and relate directly with XYZ’s founding regulations and priorities besides his heart-warming encouragement. Thus, the behalf of XTY board of management and staff, I am privileged to submit this precisely written Letter of inquiry that introduces XTY organization, an educational program in Orchard that helps 20 Orchard’s Middle Schools to improve the reading and learning ability and skills of pupils and students. We humbly request your consideration of a $200,003 to help the organization fill in the project’s deficit that will see its expansion from one school to 20 schools around the Orchard area.

Formed and registered in 2017, under the 601(D) 2 act of the Orchard State the mission, and objectives of the XTY is to eradicate cases of reading and learning problems among the children in Orchard State. This is because the area was spotted by the Federal education Authority to have increasing cases of inability to read, write, and learn among middle school going children, with a major incident reported in the largest Middle school having 150 students with reading problems. XTY also aims at staffing the 20 spotted middle school institution with enough reading and learning materials, qualified and skilled staff, a major library and incorporate sponsored co-curricular activities that will encourage students to register in our weekend reading training program. These activities, besides eradicating reading and learning problems will boost students’ morale, self-esteem, and confidence in any form of communication. The mentioned activities are currently in progress at Orchard Middle School where more than 120 students have participated with all its 26 teachers actively taking part in the organization’s reading program. Therefore, since our initial project encompassed only one major school out of 19 that were affected, we would like to expand our activities to the remaining Middle schools located in Orchard State.

In Orchard, the need for programs like the one XTY provides are high since the community is composed of Spanish, Mexican, and Arabs who have long stayed in the area that has a different set of life in terms of education compared to the one offered in our country currently. With their little income, the community struggles to educate their young population who end up learning to speak Spanish, Arab and Latino instead of learning English that will expose them to the larger outside world. Due to the poor living standards of the community, the people have opted to home school their children while the majority has sent them to public schools that are overpopulated and have inadequate educational facilities.

Throughout the project’s lifespan and after the programs are completed, the organization aims at continuing to eradicate the problem of reading among the Middle school levels in Orchard state, help in funding co-curricular activities and interacts the students and supply of educational materials. This will go a long way in increasing the reading level and skills, communication skills and personal confidence and esteem while communicating with their peers and children from other races.

With your assistance in funding our program, the 20 Middle-level Schools in Orchard state will enable be able to have adequate, and relevant materials and the students will be able to improve their learning and reading skills, from a tender age. In addition, through your funding, the local communities will be grateful and there will be an increase in terms of students registering in middle schools due to improved learning system and conditions and achieve our target population of the number of schools we plan to serve in 2019 to 2022. The following are the achievements we hope and aim to achieve:

• Staff the 20 local Middle school libraries with the essential learning and reading materials such as books, computers, internet, reading, and educational tutorials, and offer basic computer lessons.

• Build a State major library filled with educational materials, trained staff, and part-time teachers from the 20 schools.

• Eradicate reading and learning problems among the Middle School goers

• Training 100% teaching staff population in the 20 Local Middle-level schools

• Conduct, twice a month general State spelling, reading and spoken word competitions for the scheduled 3 years

• Increase the overall turnout in terms of registration and enrollment of Middle-Level school goers in Orchard State.

The above result will represent an 85% success from the already 15% completed the goals of our organization.
