Concept Phase
This is usually the initiation stage where goals are set; a project is identified and deliverables. The task at hand is a golf tournament under the name 'Class Charity Golf Tournament,' which aims to raise funds in cash and in-kind for the marketing scholarship fund. The project will involve a set golf tournament where the mass will have to pay tickets to participate, silent auctions, and mini-games at specified holes in the golf field. All the participants will, in turn, be issued with t-shirts and goodie bags as an appreciation from the team. In the end, all the sums of money collected form the activities will be reconciled and submitted to the fund.
Project Definition
This, too, is part of the initiation stage that involves the formulation of budgets, schedules, and a team that will spearhead the event. Being a charity tournament, no set budget was assigned to the team as the team focused on using what they must attract sponsors and donations. With this kind of project with no budget, the team needs to anticipate the cost and try to actualize them. With sponsors coming on board and in-kind donations, the team can use them to cater to the actualized expenses. Tracking of the finances would also be necessary to ensure that no coin is misused or lost. A tentative schedule is also required to aid in the planning of events and all activities that should be done within the set time.
The planning and actualizing of the event are set to take a total of 60 days, with the tournament event being held on 31st May. The team in charge will officially meet on 2nd April to familiarize and start off the team; once this is done, the team is expected to set dates for speeches and voting of the leaders who will spearhead the project. Once leaders are identified and announced, the team will be involved in the setting of the venue and finalizing dates for the events and all the activities involved. After that, the team will be expected to present their schedules, including the tournament and other activities that would help raise money for the scholarship funds. By 16th May a team had been formulated that included a leadership team and operation team as follows;
Planning Phase
This phase involves activities identification, the setting of timeframes and deadlines, and the layout of the location; it is part of the execution stage with key performance indicators (KPI). The activities to be incorporated include a gold tournament, which will be the climax of the whole funds drive titled 'The 12th Annual Spring Classic Golf Tournament’. The game will be held in Corona, California, at Dos Lagos Golf Course. The game will adopt a traditional concept of 18 holes with a scramble at the beginning of the event. In addition to the golf tournament, Rachels team will organize mini-games on specified spots, namely.

Dixon Golf will also participate in the mini-games by sponsoring holes number 10 and 15, with all proceeds being directed to the fund. They will also be responsible for overseeing the holes. The operation teams are expected to execute and arrange silent auctions where the bidding will begin at 11:00 am and will run concurrently with player registration; it will close at 7:pm once the banquet is finished and soon after the winners should be announced by 7:40 pm
In the schedule, the sponsorship and in-kind donation drive will be added three more days so that all the pledges made can be redeemed. Tickets for the tournament will be sold up to the last day to allow as many spots as possible. Everything else is set to follow the set schedule without delays.
Performance Stage
This is the actualization stage where the whole plan is executed where every plan made is implemented. The operation timetable is made to assign positions to people during the day of the event and in the field as follows.

Everyone is expected to execute their role with minimum supervision and should understand that failure form one end may cost the event. Everyone is expected to arrive before time and ensure that they have everything they need. The greeter should be smartly dressed, welcoming, and maintain the right attitude. The auction team should be well prepared with all the items require to ensure that the auction is successful. Photographers should be well spread to ensure that they capture as many and memorable photos as possible. Lunch is to be served on time without delays.
Attached to this is a chart indicating the flow of events, the people in charge, and the timing for each event.
Post Completion Stage
Once the event is over, the managers and team members are expected to meet and analyze the performance of the event and its outcome. A post-implementation meeting should be held to praise and critique where necessary so that the team can learn or commend every effort made. The team is expected to review the goals that had been set and countercheck whether they were delivered or not. At this point, it would be necessary for the team to suggest future amendments and lessons learned from the project to ensure that the next task is well implemented and executed. Funds collected should also be counted from the tournament, mini-games, silent auctions, and in-kind donations and sponsorship. This should be aligned with the expenses to ascertain just exactly how much money was raised.
