Structure of an RFP

1.1. Key sections of an RFP

You can easily identify the key sections you should include in your RFP by simply answering each and any of the following questions:

1. Why?

Description of the client/organization.

Reasons why your client/organization needs a new solution.

Life is running and growing so fast, so the responsibilities are increased and it gets harder to constraint on all of them. Because of the busyness there are many people are suffering from managing their payments and controlling their bills such as students, professors, doctors, employees, and business owners, etc. Here is where the idea the new app came from. PaySmart is an app that’s going to make your life easier. You’ll be able to pay your bills and control them smartly and safely.

2. Who?

Info needed in this section:

Description of the client/organization

This app would be available for every single individual who has bills to be paid, specially those who are having a contract for more than a couple different sources.

3. What?

Info needed in this section:

Nature of your project.

Our app allows you to edit and make the sittings of the method of payment that fits your need, also it will suggest you the best method for your budget, and offer you some good deals so you are not just paying your, but you are also gaining from doing so. Furthermore, our app will calculate your budget, then it will give you some advices about how to save, how to spend, and how to invest, so you can make money.

4. How?

Info needed in this section:

Contract.

Information needed from suppliers. Proposal evaluation criteria.

We’re going to gather as much as we can of the organizations and businesses that have contracts with their customers. For example, Comcast, T-Mobile, At&t, Western Dental, Pg&e, insurance companies, and Residential rentals. Thus, the customer will only go to one source to pay all his or her depts.

5. When?

Info needed in this section:

Selection process timeframe and deadlines. Persons to contact.

First of all, we going to contact the organizations and businesses that we’re going to gather in our app, then we’re looking forward an agreement as soon as possible so we can start with the next step. Whenever we reach an agreement with the stakeholders, we’ll start with our next step which is creating our app. After that, we’re going to test our application before we make it available for the users to use it.

1.2. Statement of Purpose

Info needed in this section:

Describe the extent of products and services your organization is looking for, as well as, the overall objectives of the contract.

1.3. Background Information

Info needed in this section:

Present a brief overview of your organization and its operations, using statistics, customer demographics, and psychographics. State your strengths and weaknesses honestly. Don’t forget to include comprehensive information on the people who will handle future correspondence.

1.4. Scope of Work

Info needed in this section:

Enumerate the specific duties to be performed by the provider and the expected outcomes. Include a detailed listing of responsibilities, particularly when sub- contractors are involved.

Detail In Scope, and Out of Scope

1.5. Outcome and Performance Standards

Info needed in this section:

Specify the outcome targets, minimal performance standards expected from the contractor, and methods for monitoring performance and process for implementing corrective actions.

1.6. Deliverables

Info needed in this section:

Provide a list of all products, reports, and plans that will be delivered to your organization and propose a delivery schedule.

1.7. Term of Contract

Info needed in this section:

Specify length, start date and end date of the contract, and the options for renewal.

1.8. Payments, Incentives, and Penalties

Info needed in this section:

List all the terms of payment for adequate performance. Highlight the basis for incentives for superior performance and penalties for inadequate performance or lack of compliance.

Clearly and concisely present the timeline for the steps leading to the final decision, such as the dates for submitting the letter of intent, sending questions, attending the pre-proposal conference, submitting the proposal, etc.
