Problem/Opportunity Currently, PASBO is running Microsoft Exchange 2000 on an eight year old server. The hardware – processor, memory and hard drive space – is being pushed to the absolute limits. The server is unstable which makes access to email services unreliable. In the past year, the Exchange server has been unavailable numerous times which is unacceptable to the PASBO staff and has affected productivity. In addition, Microsoft discontinued support for Microsoft Exchange 2000 on December 31, 2005. This means that if there are any issues, Microsoft will not provide assistance for resolving those issues. Similarly, Microsoft is not releasing any additional software patches or correcting any additional known issues. Migrating to a newer version of Exchange using new hardware will address these issues and provide improved service and additional functionality to PASBO staff. |

Goal The goal of the Microsoft Exchange Server Migration project is to install Exchange 2003/2007 on new hardware, migrate all PASBO staff email data to this server and provide remote access within 3 – 5 months. |

Objectives · Determine compatibility of currently used 3rd party products with available versions of Exchange · Select the version of Exchange for implementation based on research of compatibility, requirements and functionality · Install selected version of Exchange · Migrate all staff data, including email, contacts and calendar information, from Exchange Server 2000 to newly installed version · Decommission the current Microsoft Exchange server · Provide all staff access to the newly installed Exchange server and related services · Provide remote access to all email services to PASBO staff · Improve the overall email experience for PASBO staff with added product features and functionality and ensure stability by adhering to the 99.9% uptime standard |

Success Criteria · All email data is migrated to the new server (including email messages, contacts and calendar information) · All staff can remotely access their email messages, contact and calendar information 24x7 · Server and email are more reliable and stable and consistently meet the 99.9% standard of uptime meaning that the total downtime per year is no more than 8 hours, 45 minutes and 57 seconds per year |

Assumptions/Risks/Obstacles · An assumption is that the PASBO staff will be trained to use the new version of the Outlook Web Access client and the new features and functionality · Currently PASBO runs many 3rd party products that integrate with Exchange 2000 including GFi MailEssentials (a SPAM filter product), Sophos PureMessage (an email anti-virus tool) and Exchange Group Calendar (a tool that automatically consolidates all staff calendars onto one calendar). Compatibility of these products with newer versions of Exchange could be an obstacle · Coordinating schedules and the amount of downtime during the actual migration could be a risk · My lack of Exchange 2003/2007 knowledge is an obstacle · Availability of staff to assist with the migration is an obstacle and could adversely affect the schedule · User support of the switch to a new version is a potential obstacle |
