Instructional Sequences - Soft Skills for RIT Engineers

Soft Skills for RIT Engineers workshop is to teach RIT engineering student’s soft skills. This module, time management, is part of the overall Soft skills training. The outcome of the course will be that CET engineering students understand the principles of time management and apply them to structure their personal work schedule to accomplish assigned duties. (1-hour training session)

Sequence # 1: (Self-Instructional)

“Knowledge of the Time Management, Its Importance, and the Overview of Time Management Technique”

Prior to participating in the Before taking the time management 1 hour training session, students will learn should study about the basic of the topic Time Management. Before coming for the session, students should know about:

Objective: understand You cannot measure Understand- use an action verb- Explain, describe, list, define ……. the time management basic, ideas, concepts, definition, and identify techniques to manage personal time. the students.

Sequence # 2: (Self-Instructional)

“Knowledge about the Techniques of Time Management”

Within this module Four main time management techniques for will be taught. the part of the course. These four techniques are (1) Getting Things Done (2) Time Boxing (3) Covey’s Time Management Grid and (4) the COPE technique (Clear, Organized, Productive and Efficient technique).

Sequence # 3: (Self-Instructional)

“Time Boxing” technique of the time management”

Before taking the time management 1 hour training session, students will complete should study about the Time Boxing technique used in of the time management.

Prior to participating in the time management training session, students will learn and describe;

Objective 1: Describe all The principles and concepts of the time boxing technique used to manage time of the time management in order to make students of RIT engineering able to plan personal work schedules to accomplish assigned duties.

Objective 2: At the conclusion of the self-instructional module on Time boxing students will create a multi-phase project and establish a deadline for each phase of the project using the time boxing technique. and improve their ability to manage time and efficiency by understanding how preferred working conditions maximize creativity and productivity. Demonstrate their ability to submit given tasks according to an established date and deadline learned through time boxing technique that grow the skills of time management.

Strategy: Develop a self-instructional model for each student to tcomplete prior to the training session. Include in the module the exercise at the completion of the module indicating students will use the boxing technique to plan a project.

To Do Things: Study the topic in a training session, show video about how the level of employee’s productivity rises and falls after meeting deadlines and dates for the given organizational tasks, "How to be more productive by chasing deadlines” YouTube, Freedom. Study about the importance of deadline in an organization and how small management can increase the overall productivity of employees. Identify these components in the self-instructional module using Articulate.

Activity for Home: class discussion on importance of deadline of tasks given in an organization and how this small management can increase the overall productivity of employees. Identify the best and accurate period that can be more appropriate deadline for a particular project.

Sequence # 4: (In Training Session)

“Importance of the Studding ?Time Management”

Ask and then answer these questions mentioned below

The main questions that would be the part of the discussion during the training sessions include, what is time management? How can be time management beneficial for the students of RIT engineering? What is the importance of leaning time management skills? How can students learn time management skills in order to schedule their daily tasks? And what are the techniques that can be used by the RIT students to learn time management effectively?

This sequence takes 5 minutes of Training session.

Sequence # 5: (In Training Session)

“Recalling the Techniques of Time Management”

Objective: After clarifying that there are many techniques for time management, it is important to present the most effective ones those are related and comparable to the requirements of students of RIT engineering and their technical studies. Therefore, four main techniques for time management will be the part of the course. These four techniques are (1) Getting things done methodology (2) time boxing technique (3) Covey’s Time Management Grid technique and (4) COPE technique (Clear, Organized, Productive and Efficient technique). (Recall)

Use Strategy: A presentation slides to recall these techniques and presents all the important points that are basic, ideas, concepts, definition, and techniques of time management. Presenter will discuss the effectiveness of preferred working environments and use of time management techniques to increase productivity

Activity: Collectively, class will discuss and present the view point that which technique is more useful regarding their soft skills and field in order to learn time management. They recall the entire time management techniques y applying them in an activity of presenting each technique with a group in the class at the end of the week. If this is for the classroom session then label it that way. Provide more of a bulleted outline form identifying The topic, who will present and the outline of the topic content under each heading.

This sequence takes 15 minutes of Training session.

Sequence # 6: (In Training Session)

“Study remaining Two Techniques of Time Management”

1) Explain ‘Getting Things Done’ technique for time management skills

At the end of this part of the training session the student will:

Objective 1: Apply the “Getting things done” methodology to the time management personal planning. The main questions that would be the part of the discussion during the training sessions of “Getting things done” methodology include, what is “Getting things done” methodology? How can be “Getting things done” methodology beneficial for the students of RIT engineering? What is the importance of leaning time management through “Getting things done” methodology? How can students learn time management skills in order to schedule their daily tasks? And what are the activities that can be used by the RIT students to learn “Getting things done” methodology effectively? This should be in the outline form and actually teach what the components of the Getting things done” model is.

Objective 2: Describe and provide an example of each of the five step process found in “Getting things done” methodology, which includes collection, processing, organizing, reviewing, and doing.

Use Strategy: Explains “Getting things done” methodology and its five step system by the visual aid and presentation, with an activity, discussion session, and quiz. Presentation, speaker reviews how to plan a system in an organization to increase time management skills of the employees, how to collect work, how to process it, how to organize it, how to review it, and finally how to do it and what would be its effects. Class discussion on “Getting things done” methodology for time management and a productive workplace, identifying the best and accurate five step system of collection, processing, organizing, reviewing, and doing for an organization in order to increase productivity. 2) Covey’s Time Management Grid technique for time management and improved productivity

At the end of this part of the training session the student will:

Objective 1: Explain and describe all the factors and concepts of Covey’s Time Management Grid technique to the scheduling of daily tasks for increased productivity.

Objective 2: Maintain employee’s satisfaction level, providing communication bridges among colleagues and remove minimal conflicts in among them as well. Providing satisfaction help to increase their productivity and also increase the time management skills as they do more work in less time with more efficiently. Eliminate

Again teach the Coveys time model- put into ann outline form for the instructor.

Use Strategy: In initial presentation, speaker discusses Covey’s Time Management Grid concepts: critical chain, critical path, and how to estimate the satisfaction level of the employee’s duration’s different organizational operations they have to do. Another strategy is breaking off into small groups and using the list of satisfactory strategies to promote satisfaction among employees. Also create and identify the give tasks as which is urgent and important and which is important but not urgent, which is urgent but not important, and which is not urgent but important.

This method can be included in the outline form- do not forget to give the instructor notes of how to teach the model in outline form- then you can include in the class session an activity to apply this model. The COPE technique (clear, organized, productive and efficient technique) for time management and increased productivity

At the end of this part of training session the student will:

Objective 1: Describe all the factors and concepts of the COPE technique (Clear, Organized, Productive and Efficient technique) to personal time management skills of the students of RIT engineering to enhance their productivity. The main questions that would be the part of the discussion during the training sessions include, what is the COPE technique? How can be the COPE technique beneficial for the students of RIT engineering? What is the importance of leaning the COPE technique? How can students learn the COPE technique in order to increase productivity? And what are the techniques that can be used by the RIT students to learn time management effectively?

Objective 2: Utilize time management software provided by their employer to schedule, track, deliver, and maintain work. You do not know if the employer has this software so cannot include- delete and describe an exercise they can go through in the class session as part of your instructional outline.

Use Strategy: revisit the weekly plan previously created for objective 3; assign a category to collection, processing, organizing, reviewing, and doing tasks in an organization. Another is to give a presentation, in which speaker reviews that how each schedule of an individual is available and considerable to all the colleagues in order to schedule the meetings according the availability of each employee without disturbing their time and decreasing their productivity, by reviewing the ability to deem time "busy", "tentative", "out of office", etc.

Sequence # 7: (Activity in Training Session)

Activity: Use any one technique among studied four technique to schedule the given tasks in a pattern of the urgency and importance arrange the personal schedule with those tasks deemed as urgent and important first, important but not urgent second, urgent but not important third, and not urgent but important forth. Students can use Covey’s Time Management Grid, Covey’s Time Management Grid technique, “Getting things done” technique, and the COPE technique as options.

(This will take 10 to 15 minutes)

Pre Test before Start of the Training Session

1) Identify four hours of the day; two hours when you are most productive and two of your least productive hours, please list the times, in one hour increments.

2) How often do you put effort into managing the time you spend during working hours? Choose one of the following responses:

· Sometimes

· Often

· Always

3) List the characteristics of a scrum meeting; do you feel these characteristics add value and save time in your working day?

4) How often do you think you will utilize managing software (or other technique) date and deadline functionality to manage time and prioritize tasks in the workplace? Choose one of the following responses:

· Sometimes

· Often

· Always

1) Identify 4 activities in your work space that can maximize the productivity and efficiency and save time in the organization.

2) Identify the timeframe where your personal creativity and productivity is maximized.

3) Identify two goals of a scrum meeting regarding saving maximum time.
