Introduction

The project management is an approach to plan, initiate, execute and complete the project effectively and successfully. It provides an opportunity to the team members to work in the consolidated manner for the success of the project. The organizations use the project management to design an approach for the planning, execution and completion of the project under the budget, timeline, scope, resources and quality of the organizations. It is an effective practice for the success of the projects. In this consolidated portfolio, the learning outcomes of weekly tutorials and real life experiences on project management have been summarized.

Learning Outcome 1: Explain reasons why organisations adopt Project Management Methodologies

I have learnt that organizations consider the project management methodology for the success of their projects. The project management methodology helps the project manager for the effective planning and organization of the project. Along with this, it helps in team accountability, schedule management, cost management and change management. As the cost, time, quality and resources are the most important elements of the project management, they are important considerations of the project management to ensure the successful projects in the organization. The effective project management methodology defines the project scope, time, cost and quality at the initial stage; the defined project scope, time, cost and quality further followed by the project team to complete the project successfully. Project management methodology helps the stakeholders of the organization to work co-ordinately and collaboratively to ensure the success of the projects.

There was a real life scenario which also helped me to experience and witness the importance of project management methodologies and learnt the reasons of its adoption by the organizations. In the second last year of my schooling, my class was assigned to organize the farewell party for our seniors. In this party, Class Representative worked as the project manager. He followed an effective approach to organize the party. He prepared the plan at the initial stage to manage the cost, time and scope of the party. He had prioritized the tasks to organize the party and assigned these tasks to the rest of the classmates. The classmates had worked as an organization and followed the defined approach to execute the tasks according to their priorities. The team of my classmates had organized the party under the defined timeline and budget; this became possible only due to the prepared plan by the CR (Class Representative). This effective plan of the party proceeded the further processes of party organization. Due to the effective approach, my class had organized the party successfully on the time and under the given cost. In this way, I witnessed that how the project management methodology affects the success of any project whether it is in the personal life or professional life.

Evidence

I achieved the LO related to the organization’s considerations of project management methodology for the success of their projects by the mean of this unit. The farewell party during my schooling is another evidence of my learning outcome. This experience has also helped me to evaluate the reasons of project management methodology to be followed by the organizations. I have learnt and experienced that project management methodology helps to decide an effective approach for the accomplishment of the project under the resources, time and cost.

Learning Outcome 2: Critically analyse the impact of Project Management Methodologies upon stakeholders

Summary

The unit helped me to learn that project management methodologies put the critical impact on the stakeholders. The project manager is the most important stakeholder involved in the project management. He is imposed to have skills for effective planning, risk management, negotiation etc. The project manager is as the best project manager who considered all the requirements of the project in an accurate manner. Project manager is imposed to accomplish the project successfully. Under this imposition, the project manager administers and enforces the other project team members to execute the project tasks and activities under the prepared plan to ensure its success (Aston, 2017). Thus, it helped me to evaluate that project management methodologies enforce all the stakeholders to take their roles and responsibilities under the defined approach and constraints so that project could complete successfully.

There was a real life scenario where I have experienced and evaluated the impact of methodology upon the stakeholders. In the academic’s year 2015, I was assigned with the group assignment. In this group assignment, the members were asked to work jointly and accomplish the assignment on the time. I was the group leader and asked to prepare the plan for the guidance of the other team members. I prepared the assignment plan in MS project. In this plan, I had performed the task management, resource management and time management. I had further instructed the team members to work according to the prepared work plan. This plan had guided and pressurised the members to conduct their tasks within the given deadline. Along with this, I was also under the pressure to enforce and monitor the members to complete the task within the defined deadline. This was the real-time experience of my life to understand the impact of a project management methodology (approach) on the associated stakeholders.

Evidence

I achieved the LO related to the impact of the project management methodology upon the associated stakeholders by the mean of this unit. It helped me to evaluate that how the associated stakeholders of a project are imposed by the project management methodology to work under the defined constraints. My experience in the year 2015 of academics, helped me to experience the pressure to a project manager to enforce and monitor the activities of the team members for determining that they had been following the defined constraints. For the success of a project, the project management methodology is important to define all the constraints to the team members. The team members are pressurised to follow all the defined constraints.

Learning outcome 3: Explain and justify the major elements of a Project Management Methodology that might meet the needs of an organisation

Summary

I have learnt that cost, time, resources and scope are the four most important elements of a project management methodology. These elements are used in the project management to meet the needs of organizations. Work Break Down structure is the important practice of a project management methodology. It helps to define the cost, time and resources of each task involved in the project. The project team members follow these defined constraints to accomplish the project according to the needs of the organization. The project management involves the scope management plan to control the scope of the project so that project could complete under the acceptance criteria of it (KERZNER, 2016). This tutorial helped me to evaluate that project management is based on the elements like cost, time, resources and scope; the project executed under the defined constraints could only meet the needs of the organizations.

There was a real life scenario where I have experienced the importance of cost, time, resources and scope to meet the needs of a client. There was the case when I went to a dress designer with my mother. There a lady was present who was continuously arguing with the designer that he had spoilt her dress. The lady was asking to refund its money because the designer had not designed her dress according to the stated instructions by client. On investigation, it had found that client had asked to design the dress within a week. Due to the festival season, the designer was quite busy and he didn’t had enough resources and he opted for outsourcing. This outsourcing design the dress out of acceptance criteria; due to which the client become disappointed. In this way, I had experienced that how important are cost, time, resources and scope to meet the needs of client.

Evidence

I achieved the LO related to the major elements of project management methodology to meet the needs of client by the mean of this unit. In the real life scenario of dress designer who didn’t meet the acceptance criteria the client also helped me to achieve this learning outcome. The experience helped me to evaluate that the project out of scope, cost, time and resources would be of no cost and it would not be able to pamper any client.

Discussion and Conclusion

The weekly portfolios helped me to learn that project management is not an easy practice. It is a complex practice to ensure the success of a project. It is an approach which is followed by the stakeholders to complete the project to successfully for meeting the end needs. An effective project management can accomplish the project successfully but the poor project management could become the project failure.

Why Project Management?

Project management is mainly based on how to initiate, plan, control and execute. To complete a project in a given time .The project should be taken by a good project manager. A project manager needs both technical skills and organisational skills .project manager should have the capability of managing the team and budget at a time. he must be aware of quality, documentation and paper work of the project. The need for Project Management Methodology

The methodology is very important for the project management for which the selection of best methodology is also very necessary for the success. Different methodologies involve Waterfall, agile, hybrid, six – sigma etc. and all the methodologies have different features as well as benefits. What is project management life cycle

The project management life cycle basically involves four distinct phases such as initiation, planning, execution, and closure. These four phases should be managed properly for achieving all the objectives regarding the development of the project for any organisation or individual. The activities of these projects are also different, and the projects are scheduled separately. In managing traditional projects, the schedule is utilised as a mean of control of the project. On another side, in managing non-traditional projects, the schedule is utilised as a tool of communication.

I have studied that the time management is very important for the development of any project. The schedule of the project should be planned in a better way to get effective results.

Personal life projects in the process of planning

While doing the project planning, we learnt several steps as mentioned;

1. What’s the main objective of the project?

2. What’s the in scope and out scope of the project.

3. What are the main project deliverables that are to be delivered?

4. What are the features and functionalities of the project?

5. The skills needed by the team for the required outcomes.

6. How tasks are allocated using WBS (work breakdown structure).

I also learnt that if the planning phase of the project is done perfect, the outcomes can be achieved successfully.

In this process of learning .I used to know what was the main part of the project and how it should be completed in the given span of time. Coming to the scope of project, the project manager and his team should know what falls inside or outside the boundaries of the project. Scheduling and budget comes under in scope, and the things that cant done by the administration comes under out scope of the project. At the same time the functions and features of the project should be explained clearly by the project manager to the stake holders. Proper skills are to be required by the project manager and team members to get better outcomes. And finally the tasks should be divide in between team members and it should be done in given time.

Roles of functional manager in 3 levels of WBS

The main 3 levels of WBS are ;

1.Project Initiation

2.Project Planning

Firstly the functional managers should ensure the resources in their areas which are properly trained, evaluated and motivated. The functional manager should be responsible for the ongoing operations which are not going in as the project schedule. And in some times functional managers are responsible for project tasks. And they also provide resources directly from the project managers. The main two facets of the functional mangers are administration and displane leadership.

In this process I have learnt that functional mangers plays key role in the administration .functional mangers are not the owners of the project. They just are as custodians of functional resources. They are responsible for the resources which are available to fulfil project and operational needs. When they are in service role, they provides resources or deliverable for project managers. When the functional mangers behaves as the stakeholders the relation between the project managers and functional mangers will be strained.

As these are the main forms of steps we can develop all the main points in the work breakdown structure .And the sub clauses are
